Registration

All booth personnel must be registered to gain access to the Exhibit Hall. Exhibitors will receive wristbands from Security on Monday and should pick up their badge starting on Tuesday.

Individuals can print their badge at any of our Registration Kiosks.

Opening Night Party

All booths receive two complimentary tickets to the Opening Night Party on Wednesday, October 18 from 6-7:30 p.m. in 1D at the Javits Center. Any member of your Staff can sign for the tickets at the Assisted Registration Counter. You can purchase additional tickets on site for $35. Make sure to have some extra tickets on hand to give out to your clients and prospects!

Move-in

All booths must be set by 4:30 p.m. on Tuesday, October 17. After this time, Show Management reserves the right to rent or use any unoccupied space in a way that will complement the overall appearance of the Show and shall not be obligated to refund the space rental or any other fees.

Delivery or removal of any portion of an Exhibit will not be permitted during Show Hours.

Material Handling / Drayage

Hand carry will take place on 11th Avenue at the Crystal Palace entrance. If there is congestion, Javits Staff may ask you to load in at the inner roadway, where you would then need to take an elevator to Hall 3B. Please review all policies on the NEXT PAGE.

Show Days

Booths must be staffed during Exhibit Hall hours on Wednesday, October 18 and Thursday, October 19 from 10 a.m. to 6 p.m. Persons with an Attendee Badge will not be permitted entry to the Hall outside of the published Exhibit Hall hours. No one under the age of 16 is permitted on the Show Floor at any point during move-in, Show days or move-out.

Move-out

Exhibitors may not dismantle any portion of their booth before 6 p.m. on Thursday, October 19. EACs will have access to the Hall, starting at 6:15 p.m. All boxes/cartons are to remain out of sight until the Exhibit Hall closes.

Empty crates and containers will be delivered after aisle carpet has been removed and no later than 9 p.m. on Thursday.

Exhibitor Appointed Contractors (EACs)

If you hire any non-exclusive vendors other than the official Show vendors, you must register each company as an Exhibitor Appointed Contractor (EAC. At this time, you can only do so ON SITE. The EAC must supply a certificate of insurance that meets the following coverage limits:

General Liability Coverage Limits

• General Aggregate: $2,000,000

• Products - Comp/Op Aggregate: $1,000,000

• Personal and Advanced Injury: $1,000,000

• Each Occurrence: $1,000,000

• Damage (Any one instance): $100,000

• Medical Expenses (Any one person): $5,000

Workers Compensation and Occupational Disease insurance shall be in full compliance with all federal and state laws, covering all of the EAC's employees engaged in the performance of any work for the Exhibitor.

JAVITS CENTER REMINDS CUSTOMERS ABOUT HAND CARRY POLICY

TO MINIMIZE TRAFFIC CONGESTION

Approved During Hand Carry Operations:

• Individuals moving these items must be employees of the exhibiting company and must carry identification to verify their position;

• Exhibitors moving items must use doors and routes designated by event management; • Hand-carried items can be brought in through the front of the building (east side) and at

specified times, the north side, as long as traffic regulations are obeyed; • Exhibitors may use nothing larger than a two-wheeled baggage cart (plastic or rubber

wheels only) to move their items; • Hanging clothing racks with four wheels are allowed for moving hanging garments; • Pop-up displays – equal or less than 10 feet in length and capable of being carried by

hand by one person – may be brought into the building; and • The Javits Center reserves the right to search any box, bag, container, crate, etc. to

ensure full compliance with the building’s regulations.

Prohibited During Hand Carry Operations:

• The Javits Center will not accept freight via hand carry from any truck or trailer through any 11th Avenue entry point or any entry point other than through our loading docks. All such trucks should check-in at the store front general contractor locations prior to entering the loading docks on 12th Avenue and 39th Street.

• Power tools, ladders or any other type of carpenter/construction equipment are not permitted in the building, unless specific written approval is obtained in advance;

• Any freight from any size- box truck, moving truck or trailer; • Any freight moved on equipment larger than a two-wheeled baggage cart; • Any freight that cannot be hand carried by one person; and • Any freight transported by a moving or freight company, contractor or any persons

other than Javits Center freight handlers or direct employees of an exhibiting company engaged in approved hand carry operations.

• For your safety and the safety of others, freight may not be transported up or down Javits Center escalators.

On the west side of 11th Avenue between 34th Street and 40th Street:

• Hand carry operation hours are specific and designated by event management; • Loading and unloading of vehicles is limited to vehicles no larger than a standard van; • All vehicles are allocated 30 minutes, and the time limit will be strictly enforced; • Vehicle hazard lights must be engaged at all times • Drivers must present identification upon arrival • A Javits parking placard will be issued • All vehicles must be parked alongside the curb, and double parking is strictly prohibited; • All vehicles must be attended at all times by a licensed driver; • Parking or standing on the east side of 11th Avenue is strictly prohibited; • Exhibitors recommend pack all exhibit items before staging a vehicle curbside; and • Failure to follow the above regulations may lead to a fine and/or vehicle towing.

On the Inner Roadway along 11th Avenue:

• Hand carry operation hours are specific and designated by show management; • Access granted to exhibitors only during a specified time frame • Access granted to exhibitors on a first-come, first-serve basis; • Vehicle hazard lights must be engaged at all times • Drivers must present identification upon arrival • A Javits parking placard will be issued • Loading and unloading of vehicles is limited to vehicles no larger than a standard van; • All vehicles are allocated 30 minutes, and the time limit will be strictly enforced; • Recommend exhibitors pack all exhibit items before parking a vehicle; and • Any vehicle left unattended will be towed at the owner’s expense.

On the Javits Center Loading Docks:

• All vehicles transporting freight larger than a standard van, moving truck or box truck, are required to load and unload via the Javits Center loading docks;

• The loading docks are accessible during designated hand carry hours for all such vehicles and can be accessed without an appointment via the entrance on 12th Avenue; and

• All such vehicles are required to check-in with the general contractor at the new truck check-in location on 12th Avenue and 36th Street prior to entering the Center’s loading dock entrance at 39th Street and 12th Avenue upon arrival.

Enforcement for Hand Carry Operations:

• The Javits Center’s Security and Safety Solutions Department and the NYPD will provide security on the Inner Roadway and on 11th Avenue during all designated hand carry hours of operation; and

• All vehicles on public roads surrounding the Javits Center are subject to all traffic regulations enforced by the NYPD.

Exhibitor Appointed Contractors are allowed access to the Exhibit Halls during move-in and move-out only. For morning and evening access on Show days, you must obtain a Booth Maintenance Pass from Security.

Security

Tips for Securing Your Booth:

• Do not leave your booth unattended, particularly during move-in and move-out.

• Do not leave personal items unattended at any time.

• Activate the tracking system on iPhones and iPads.

• Cable lock items such as laptops, monitors, iPads, etc.

• Regularly take inventory of products throughout the day.

• Consider hiring overnight security.

• Keep small portable products out of sight, under lock, or take them with when you leave the Exhibit Hall.

• Remain in the booth approximately 45 minutes after the Show closes each day, as it may take that long to clear all Attendees from the Show Floor.

Labor and Union Regulations

Booth Installation / Dismantle

Exhibitors can do some work in their booths. Exhibitors may install and dismantle their own exhibit and lay their own carpet if the booth size is 250 sq. ft. or less and the following conditions are met:

• No tools are used in the assembly or dismantle.

• Individuals performing the work must be full-time employees of the exhibiting company and carry identification to verify this fact.

• Exhibitors can unpack and repack their own products (if in cartons, not crates) and can do technical work on their machines, such as balancing, programming, cleaning of machines, etc.

Carpenters must perform crating, re-crating and all work involved in the erection and dismantling of booths. Carpenters are hired through the Convention Center by Freeman or your Exhibitor Appointed Contractor (EAC).

Electrical

Javits Center is the exclusive provider of all electrical services, including installation and removal of electrical wiring, load centers, disconnects and distribution panels. Javits Center’s electricians must install and dismantle all lighting, electric signs, sound systems, and communication and video cables UNDER CARPET and between or outside exhibits.

Full-time employees of the exhibiting company can do the following:

• Install and dismantle lights in a 10' x 10' (3m x 3m) pop-up booth with four or less lights.

• Plug in devices and equipment for properly ordered 110-volt electrical service of 1500 watts or less.

• Plug in devices of 110 volt/ 1500 watts.

• Connect modems, printers, computers and keyboards.

• Install light bulbs.

• Test and tune equipment.

• Run communication cables between machines in the same booth ABOVE CARPET.

• Install and dismantle lights in booths 100 square feet or less without the use of tools or ladders — provided that the service order is for no more than 500 watts.

• Connect up to eight (8) pieces of computer and/or telecommunications equipment to cables run by electricians.

Booth Cleaning / Porter Service

Javits Center is the exclusive provider for cleaning and porter service, including vacuuming, shampooing, sweeping, emptying waste baskets, and supplying containers for removing hazardous waste. Cleaners are represented by the International Brotherhood of Teamsters, Local 237. Exhibitors may clean and wipe down their products and display merchandise, but all other cleaning must be ordered through Javits Center.

Show Management Rules

Storage

Fire regulations strictly prohibit the storage of product, literature, empty packing containers, or packing materials behind back drapes or under draped tables. Exhibitors may store a limited supply of literature or product appropriately within the booth area, so long as these items do not impede access to utility services, create a safety problem, or look unprofessional. You can order accessible storage from Freeman at the Service Desk.

Photography / Videotaping

Photographing or videotaping any Exhibit, other than one's own contracted booth, is strictly prohibited. A booth and/or its products(s) may be photographed or videotaped only with the express written permission of the contracted Exhibitor of that booth. Photographing or videotaping in communal areas, or the Show in general, requires written permission from Show Management.

Booth Personnel / Models / Hosts / Hostesses / Mascots

Booth Personnel, Manufacturer Representatives, Models, Hosts/Hostesses, and Mascots must wear an Exhibitor or Manufacturer Representative badge always, remain within the confines of the contracted booth space, and maintain a professional appearance. Any gender used by Exhibitors to promote their products at NAB Show New York by using overtly sexual or suggestive methods is prohibited.

Suitcasing / Outboarding

Suitcasing and outboarding rules and regulations pertain to the Show Floor, NAB Show New York public areas, the Javits Center and official Conference hotels.

NAB Show New York restricts Exhibitors from hosting or participating in competing or conflicting events or activities that occur during official NAB Show New York hours; this is considered “outboarding”. Exhibitors violating this policy will be subject to cancellation of their booth without refund and may not be invited to participate in future events.

NAB Show New York has a zero-tolerance policy regarding “suitcasing”. All marketing and promotion must remain within the contracted exhibit space. Marketing materials may not be placed on conference tables or other areas that are not within the boundaries of the booth, both inside and outside of the Exhibit Hall. Show Management reserves the right to remove individuals or discard display materials that do not comply with these guidelines.

WHAT ARE FREIGHT SERVICES?As the official service contractor, Freeman is the exclusive provider of freight services. Material handling includes

unloading your exhibit material‚ storing up to 30 days in advance at the warehouse address‚ delivering to the booth‚

the handling of empty containers to and from storage‚ and removing of material from the booth for reloading onto

outbound carriers. It should not be confused with the cost to transport your exhibit material to and from the convention

or event. You have two options for shipping your advance freight — either to the warehouse or directly to show site.

HOW DO I SHIP TO THE WAREHOUSE?• We will accept freight beginning 30 days prior to show move-in.

• To check on your freight arrival‚ call Exhibitor Services at the location listed on the Quick Facts.

• To ensure timely arrival of your materials at show site‚ freight should arrive by the deadline date listed on the Quick Facts. Your freight will still be received after the deadline date‚ but additional charges will be incurred.

• The warehouse will receive shipments Monday through Friday, except holidays. Refer to the Quick Facts for warehouse hours. No appointment is necessary.

• The warehouse will accept crates‚ cartons‚ skids‚ trunks/cases and carpets/pads. Loose or pad-wrapped material must be sent directly to show site.

• All shipments must have a bill of lading or delivery slip indicating the number of pieces‚ type of merchandise and weight.

• Shipments received without receipts or freight bills, such as Federal Express and UPS, will be delivered to the booth without guarantee of piece count or condition.

• Certified weight tickets must accompany all shipments.

• Warehouse freight will be delivered to the booth prior to exhibitor set up.

HOW DO I SHIP TO SHOW SITE?• Freight will be accepted only during exhibitor move-in.

WHAT ABOUT PREPAID OR COLLECT SHIPPING CHARGES?• Collect shipments will be returned to the delivery carrier.

• To ensure that your freight does not arrive collect‚ mark your bill of lading “prepaid.”

• “Prepaid” designates that the transportation charges will be paid by the exhibitor or a third party.

HOW SHOULD I LABEL MY FREIGHT?• The label should contain the exhibiting company name‚

the booth number and the name of the event.

• The specific shipping address for either the warehouse or show site is located on the Quick Facts.

HOW DO I ESTIMATE MY MATERIAL HANDLING CHARGES?• Charges will be based on the weight of your shipment. Each

shipment received is billed individually and is subject to the applicable show weight minimum. The shipment weight will be rounded to the next 100 pounds. Each 100 pounds is considered one “cwt.” (one hundred weight). All shipments are subject to reweigh.

• On the Material Handling Order Form‚ select whether the freight will arrive at the warehouse or be sent directly to show site.

• Next, select the rate for the freight category that best describes your shipment.There are four categories of freight:

Crated: material that is skidded or is in any type of shipping container that can be unloaded at the dock with no additional handling required.

Special Handling: material delivered by the carrier in such a manner that it requires additional handling‚ such as ground unloading, stacked and constricted space unloading‚ designated piece unloading, loads mixed with pad-wrapped material, loads failing to maintain shipping integrity, and shipments that require additional time, equipment or labor to unload. Federal Express and UPS are included in this category due to their delivery procedures.

Uncrated: material that is shipped loose or pad-wrapped, and/or unskidded machinery without proper lifting points.

Carpet and/or Pad Only: shipments that consist of loose carpet and/or padding only require additional labor and equipment to unload.

• All inbound and outbound shipments are subject to overtime charges if the shipments are received, loaded or unloaded during the overtime hours specified on the Material Handling Order Form. This includes both warehouse and show site shipments.

• Add any late delivery or off-target charges listed on the Material Handling Order Form if the freight will be received after the deadlines listed on the Quick Facts.

• The above services‚ whether used completely or in part‚ are offered as a package and the charges will be based on the total inbound weight of the shipment.

WHAT HAPPENS TO MY EMPTY CONTAINERS DURING THE SHOW?• Pick up “Empty Labels” at the Freeman Service Center. Once the

container is completely empty, place a label on each container individually. Labeled empty containers will be picked up periodically and stored in non-accessible storage during the event.

• At the close of the show‚ the empty containers will be returned to the booth in random order. Depending on the size of the show‚ this process may take several hours.

HOW DO I PROTECT MY MATERIALS AFTER THEY ARE DELIVERED TO THE SHOW OR BEFORE THEY ARE PICKED UP AFTER THE SHOW?• Consistent with trade show industry practices‚ there may be

a lapse of time between the delivery of your shipment(s) to your booth and your arrival. The same is true for the outbound phase of the show — the time between your departure and the actual pick-up of your materials. During these times‚ your materials will be left unattended. We recommend that you arrange for a representative to stay with your materials or that you hire security services to safeguard your materials.

HOW DO I SHIP MY MATERIALS AFTER THE CLOSE OF THE SHOW?• Each shipment must have a completed Material

Handling Agreement in order to ship materials from the show. All pieces must be labeled individually.

• To save time‚ complete and submit the Outbound Shipping Form in advance‚ or you may contact the Freeman Service Center at show site for your shipping documents.

• Once we receive your outbound shipping information we will create your Material Handling Agreement and shipping labels. If the shipping information is provided in advance, the Material Handling Agreement will be delivered to your booth with your invoice. Otherwise the Material Handing Agreement and labels will be available for pick up at the Freeman Service Center.

• After materials are packed‚ labeled‚ and ready to be shipped‚ the completed Material Handling Agreement must be turned in at the Freeman Service Center.

• Call your designated carrier with pick-up information. Please refer to the Quick Facts for specific dates, times and address for pick up. In the event your selected carrier fails to show by the final move-out day‚ your shipment will either be rerouted on Freeman’s carrier choice or delivered back to the warehouse at the exhibitor’s expense.

• For your convenience, approved show carriers will be on site to book outbound transportation if you have not made arrangements in advance.

WHERE DO I GET A FORKLIFT?• Forklift orders to install or dismantle your booth after

materials are delivered may be ordered in advance or at show site. We recommend that you order in advance to avoid additional charges at show site. Refer to the Rigging Order Form for available equipment.

• Advance and show site orders for equipment and labor will be dispatched once a company representative signs the labor order at the Freeman Service Center.

• Start time is guaranteed only when equipment is requested for the start of the working day.

DO I NEED INSURANCE?• Be sure your materials are insured from the time they

leave your firm until they are returned after the show. It is suggested that exhibitors arrange all-risk coverage. This can be done by riders to your existing policies.

• All materials handled by Freeman are subject to the Terms and Conditions, which can be found in the exhibit service manual or online at www.freeman.com.

OUTBOUND SHIPPING Carriers must be checked in by 8:00 AM on Friday, October 20. Shipments not claimed by this time will be removed from the Javits Center and shipped or stored according to the instructions you have chosen on your Material Handling Agreement.

If using a freight carrier, you must have Freeman move your boxes to the

loading dock where your carrier can pick them up. No freight carriers are

allowed on the show floor except for Freeman.

If you wish to mail your packages using a parcel service, such as FedEx, UPS,

and DHL you must hand carry your boxes to a shipping center.

____________________________________________________________________ FREIGHT CARRIERS If you have contracted a freight company (such as Freeman Transportation,, etc.) you must do the following:

1. After packing, completely close, seal and label your freight.

2. Complete any forms required by your carrier.

3. Pick up a Material Handling Agreement form from the Freeman Service Center. Fully complete the form and return to Freeman. Please do not leave your Material Handling Agreement in your booth.

4. Leave your freight in your booth. NOTE: for the safety & security of your product, we recommend that you or a staff member wait with your freight until they it is picked up by Freeman. Freeman cannot guarantee the safety of items left unattended.

5. Freeman will pick up your freight up and bring it to your carrier.

Empty Container Return

Aisle carpet must be removed prior to the return of any empty

containers. This will take approximately one hour after the

show closes.

Your empty containers will be returned to you starting at 6:00pm

and may take up to 6 hours to reach your booth.

Freeman Exhibit Transportation is the recommended freight carrier for

this event. Please visit the Transportation representative at the
