3. ParkingThere is an off-loading area behind the hotel with access by lift to the first floor exhibition space.
Seaway Car Park has space for four hundred cars and the Park Inn has negotiated a special daily rate of £5.00which must be booked in advance. Please indicate if you require parking on the booking form attached
and include an extra £5.00 to your booking total, a voucher will be sent to you for use on the day.
Alternatively parking is available in The Royals Car Park opposite, the fee for 7+ hours is £15. Please note there is a height restriction, vans need to be parked in the Seaway Car Park.
We have a lot of interest in this event, so please book your stand now. We may restrict certain exhibitors or ask you to collaborate. This is in the interest of providing an exciting and well balanced event.

workshop and we will contact you to discuss further.
Please note we have limited spaces available so to avoid disappointment please submit your form as soon as possible to ensure your place.
Not only will this event be full of inspiring business women, we also have a holistic treatmentroom with mini-treatments available which are bookable by visitors on the day.

8. Insurance
As an exhibitor, you need to have adequate insurance. Exhibitors are required to have as a minimum, £2 million pounds Public Liability Insurance.
The Essex Business Women’s Experience shall not be liable for any claims arising from death or bodily injury, damage to or loss of property caused by the Exhibitor or any person or company acting on their behalf. The Exhibitor will indemnify The Essex Business Women’s
Experience in respect of each and every such claim and all actions, claims, costs, proceedings and demands in respect thereof.
Please send a copy of your Public Liability Insurance with your application and bring a copyto the event. Please ensure all documentation is available on the day for review.
If you do not have your own Public Liability Insurance, we can add you to our insurance policy for an extra charge of £15.00.

Exhibitor setting up times: From 08.00 to 09.30 Friday 17th June 2016, in the lounge and corridor areas.
From 18.00, Thursday 16th June 2016, in the Royal View and Ballroom.
Show opening times to the public: Friday 17th June, 10.00 - 15.00
Note: External loading doors will be closed at 09.30 prior to the show opening at 10.00am. All exhibitors’ stands
must be set up by 09.30 on the day. An exhibitors briefing will take place at 09.30.
1.On Arrival: On arrival and before off-loading, exhibitors must first book-in with the “Booking-In Desk”. The desk will
be located at the entrance area.
2. Parking: There is an off-loading area behind the hotel with access by lift to the first floor exhibition space.
Parking is available in The Royals Car Park opposite but the fee for over seven hours is £15.
Seaway Car Park has space for four hundred cars and the Park Inn has negotiated a special daily rate of £5 which can
be booked in advance at time of booking. Please indicate if you require parking on the booking form attached and a
voucher will be sent to you for use on the day.
3. Smoking: The Park Inn Hotel has a No Smoking Policy, which is strictly adhered to, for the duration of the show
including build-up & break down periods.
4. Security: Exhibitors should ensure adequate measures are taken to protect individual stands, property and stock.
The Essex Business Women’s Experience and Park Inn shall be under no liability whatsoever for any loss or damage.
5. Gangways & Fire Exits: The gangways used in these venues are the minimal permissible by law. Under no circum-
stances will exhibits, stand dressings, tables and chairs etc be allowed to encroach into gangways. Please ensure you
keep to within your stand limits. Please also ensure that you do not obstruct any fire exits at any time.
6. Children: For safety reasons, children under 16 will not be permitted on site during setup and break down.
7. Refuse Disposal & Packaging Materials: All stand holders are responsible for disposing of their own refuse and
to ensure no build-up of waste materials occurs. No storage for packing cases or packing materials is provided within
the venue. Please note that you will be charged for any excessive waste left in the venue at the end of the event.
8. Stand Content: All products and services offered must be listed on the booking form, details of which will also be
included in the event programme. At any time before or during the event, Exhibitors may be requested to remove or
withdraw any products or services that are not listed on the booking form. No Exhibitor will be permitted to install
displays or exhibits in such a way that in the opinion of organiser or The Essex Business Women’s Experience team
member, restricts access to neighbouring stands, obstructs the light or impedes the view along open spaces and/or
gangways. Therapists are reminded that one therapy per stand is practiced only, unless agreed by The Essex Business
Women’s Experience and confirmed in writing prior to the start of the event.
9. Exhibitor Passes: Two exhibitor passes will be issued per stand except under prior agreement.

10. Sub-Letting: Sub-letting of stand space is not permitted without specific agreement, which must be received no
later than 28 days before the show starts.
11. Food Sampling/Catering: Anyone wishing to sample any food or drink from their stand should submit details
of what they wish to sample, and the control measures they have in place to ensure food safety and hygiene. These
must be submitted to The Essex Business Women’s Experience 10 days prior to the start of the event. Please ensure
all relevant documentation is provided.
12. Electricity/Electrical Equipment: If you have requested electricity for your stand, please ensure that the
maximum output is no more than 3 amps per outlet.
PLEASE INDICATE ON THE BOOKING FORM WHAT ELECTRICAL EQUIPMENT WILL BE USED (IF ANY) ON THE
STAND. EXHIBITOR IS TO PROVIDE OWN LEADS/CABLES/EXTENSION LEADS AND SAFETY CERTIFICATES. ALL
ELECTRICAL EQUIPMENT WILL NEED TO HAVE BEEN PORTABLE APPLIANCE TESTED (PAT).
13. Cancellations/exclusions: Cancellations must be made in writing to Rosemary Cunningham. No refund can
be given within 6 weeks of the event. If the event referred to in the Terms and Conditions is cancelled due to forces
outside The Essex Business Women’s Experience control, The Essex Business Women’s Experience shall not be liable
for damages or costs on any grounds. The Essex Business Women’s Experience reserves the right to exclude any
Exhibitor from the event without providing an explanation. The aim of the Essex Business Women’s Experience is to
ensure a well-balanced event at all times. A booking accepted for the event in no way guarantees a repeat booking
for that event at the same or other venues.
14. Insurance and Documentation: As an Exhibitor, you need to have adequate insurance. Exhibitors are
