Key Management

• Medeco key system (a high security lock system requiring proper records & proper controls to maintain its integrity)

• Security Services supports the McGill locksmiths with the administration of the system

• Management of the system is an administrative burden as we have no functional key management software presently in place (we presently use multiple databases & a paper-centred process)

• Looking forward to the key management module on FAMIS to be implemented in order to be quicker & more efficient by having a centralized location of storage of information which will also allow easier maintenance of key records and for the Medeco key system to become paperless. This software will permit Security Services, the Locksmiths unit, Building Directors & department key administrators to have an ease of access to tools & information required.

Security Device Management

Advise Security Services every time there is a change in room function, new occupants, or alterations to the room because security devices may no longer be compatible with changes.

Existing security devices that will no longer be used by new occupants need to be removed as part of the move (panic buttons, intrusion systems, cameras, etc.).

Understand your liability with security devices, especially cameras and their repair and replacement costs. Consult the grid in the Service Level Commitment for Security Devices document online.

The Building Director’s Roles…

• Promote the importance & need for the creation of the evacuation team

• Maintain an updated list of team members

• Liaise with the Fire Prevention unit for training and any other issues or questions regarding Evacuation Teams

What’s up with pallets left on loading docks?

Procurement Services, in collaboration with FMAS has set-up a regular pick-up scheme.

• This service is being provided by an external firm.

• Pallets are being picked-up every other Thursday morning at the following sites:

• Pallets are also being picked-up, every four Thursdays at the two Music buildings

What’s up with pallets left on loading docks?...

The contract covers the picking-up and sound recycling of the following materials:

• All pallets or pallet fragments, regardless of their shape, colour or material content (plastic/wood/particle/metal).

• Wooden components (crate pieces) as long as they are of a manageable size (can be picked-up and carried safely by one man).

What’s up with pallets left on loading docks?...

Collection stats since the beginning of the program:

• 20 pick-up runs

• 728 pallets have been picked-up

• 420 pallets were good to be reused

• 105 were damaged but could be repaired

• 165 were non-standard sized pallets

• 38 were pressed-wood pallets

• About 80 other random pieces of wood were also collected

McGill’s new IT Asset Management Regulation

• Developed in collaboration between Procurement Services, IT Services and FMAS

• Aligns the lifecycle management of our IT assets with:- McGill’s Procurement Policy- McGill’s Sustainability Policy- University’s Policy on the Responsible Use of IT Resources

• The Regulation also directs the

University towards the sound

management, the longevity and

optimization of its IT assets, in

compliance with Québec Government

legal requirements.

Current scope: Equipment purchased in whole or in part with University funds.

Managing used and end-of-life IT Equipment

• IT Assets are currently being inventoried (especially desktops, laptops

and display devices).

• We are currently identifying Technical Stewards and Asset Stewards for

each department and/or unit.

We’ll make the list of names available as soon as it is completed.

• Only Technical Stewards or Asset Stewards should request HWM to pick-up

obsolete IT equipment (because they manage the inventory and proper data-

wiping).

• No McGill IT equipment should be given away and/or recycled through other

channels.
