Welcome to the Child & Family Research Institute! This handbook has been designed as a resource document to use during your time at CFRI. It contains a wealth of information about the institute, including relevant facilities, services and contacts you are likely to utilize over the next few years.

Trainees are valued members of our community and integral to the research that takes place at CFRI. Since 2002, the Research Education Office has provided professional development and funding opportunities for trainees to help build their research and career development skills.

Each year a host of seminars and workshops are organized specifically for the trainee community. In June the Research Education Office organizes CFRI’s annual Trainee Research Forum. This is an opportunity for the institute to showcase the outstanding work undertaken by our trainees and to recognize their significant contributions to the research endeavours within the institute.

The institute also provides funding opportunities for trainees, including studentships, fellowships, and travel grants. Information on the CFRI trainee funding opportunities is available on the CFRI Training website at www.cfri-training.ca.

In addition to the resources and services provided by the Research Education Office, CFRI trainees have access to the CFRI Research & Technology Development Office, and specific to postdocs, the CFRI Postdoc Fellow Mentor. I encourage you to become familiar with these resources.

WELCOME TO CFRIThe Child & Family Research Institute (CFRI) is dedicated to research spanning a wide range of children’s and women’s health concerns. As a member of the CFRI community you are among some of the most respected scientists and trainees in their fields.

Incorporated in 1995, the institute features facilities in the heart of Vancouver that afford researchers close access to leading-edge health care organizations serving children and women from around the province. It is the largest research institute of its kind in Western Canada.

CFRI’s success over the past several years has spurred exceptional growth. To accommodate the boom, a $58.1 million complex with sophisticated equipment was added, effectively doubling the institute’s size. The new facilities, which opened in 2008, were designed to cultivate increased collaboration among basic, clinical and population health researchers.

CFRI is home to more than 200 faculty members associated with the University of British Columbia, BC Children’s Hospital and BC Women’s Hospital & Health Care Centre. Our members cover a wide variety of research interests on the leading edge of children’s and women’s health and health care services, including: Childhood Cancer & Blood Research Diabetes, Nutrition & Metabolism Developmental Neurosciences & Child Health Genetics & Health Immunity in Health & Disease Innovations in Acute Care & Technology Reproduction & Healthy Pregnancy

Getting Started at the Oak Street Camps

All new research trainees arriving onsite and working with CFRI members are required to complete the following.

The Child and Family Research Institute offers basic science and clinical research mentorship that is second to none. The goal of the Research Education Program is to support the development of an enhanced, multidisciplinary learning environment for students by providing opportunities to augment research skills, knowledge and attitudes. The program also promotes public awareness, undergraduate student training, high school mentorship and clinical education.

Along with the elements inherent to each student’s program of study, the CFRI offers: • extra-curricular training opportunities to build research and analytical capacity and to

enhance their career development skills • a wide range of special events that exposes students to research across disciplines and

offers them opportunities to present and discuss their own work • funding on a competitive basis for scholarships, subsidize conference participation or

short-term external training

Terminology Trainee - The term ‘trainee’ is used by CFRI to describe full-time graduate students, postdoctoral fellows, and clinical trainees who are conducting research under the supervision of a CFRI researcher. At present the institute has trainees in programs of study ranging from pathology, reproductive and developmental sciences, medicine and microbiology, to epidemiology, health services research, and nursing. Term Students - The phrase ‘term students’ is used by CFRI to describe undergraduate students, medical students, summer students and part-time or visiting graduate students or postdoctoral fellows. Faculty members at CFRI may hire term students through a university affiliated program throughout the academic year. This provides students an opportunity to integrate their academic education with experiential learning through relevant and monitored work placements.

Volunteers - The term ‘volunteer’ is used by CFRI to describe students onsite to acquireknowledge or skills related to CFRI’s operations and/or services who are not receiving financial compensation. For more information on the CFRI Volunteer policy contact [email protected].

Education SupportResearch Education Office - The Research Education Office at CFRI identifies and develops training opportunities for students and clinical research coordinators including lectures and workshops, provides fellowship and studentship information, administers trainee registrations and awards, manages the reading room, organizes public education events, and addresses general trainee education inquiries. Contact [email protected] for more information.

All graduate students and postdoctoral fellows are required to register online with the CFRI Research Education Office . This allows our office to keep trainees informed of relevant research news, funding opportunities and upcoming education events. Registered trainees are provided with an online profile to promote their accomplishments, and have access to staff that assist with grant applications. CFRI Postdoc Fellow Mentor - In 2012, the CFRI Postdoc Fellow Mentor position was established to support the Institute’s postdoctoral fellows. The CFRI Postdoc Fellow Mentor works with the Research Education Office to identify and offer professional development opportunities for CFRI postdocs.

The CFRI Postdoc Fellow Mentor will also work with the Research & Technology Development Office to help increase the success of postdoctoral fellowships, and is available to meet with postdocs on a one-on-one basis for general mentoring and advice. Contact [email protected] for more information.

Research & Technology Development Office (RTDO) - The RTDO provides graduate students, postdoctoral fellows and clinical trainees with expertise on applying for funding, writing grants and strategic career planning. Their goal is to provide trainees with the skills, techniques and experience needed to find and obtain funding. They offer teaching sessions, workshops and one-on-one meetings to help improve trainees’ understanding of and success in the funding application process. Research Skills

This component of the Research Education Program seeks to help build trainees’ skills and confidence to design scientifically, statistically and ethically sound research. The following sections highlight some of the sessions currently offered or planned for the upcoming year

Ethics How to Prepare Your Ethics Submission – This interactive workshop will take you through the steps of preparing an ethics submission and will provide examples of common problems and issues with submissions. (Held each fall) RISE Seminar – This workshop will take you through the UBC RISE system. (Held each fall)

Behavioral Research Ethics Workshop - This workshop will guide you through a BREB application, including: the difference between clinical and behavioural research ethics, the application process, and common pitfalls when filling out a application. (Held each fall)

Research Design Biostatistics Series – This 10-part series covers the following: introduction to statistical terms and concepts, introduction to SPSS, summarizing & presenting data, correlation, inferential statistics, regression, survival analysis and multivariate methods. (Held each winter/spring)

R Workshop – This one day workshop facilitated by the Statistical Consulting and Research Laboratory at UBC, reviews R basics, importing/exporting data and data manipulation (Held every other summer)

Academic Development

This component of the Research Education Program offers courses and workshops for trainees to gain and sharpen the skills required to make the transition from trainee to independent researcher and mentor.

Proposal Development Proposal Writing from Start to Finish – This series of workshops have been developed to cover the lifecycle of a research funding application, providing essential skills and knowledge to better navigate the periods before and during the writing process. (Held each winter)

Communications Visual Thinking Matters - This interactive participatory workshop will introduce concepts of visual thinking and strategies for effective use of visual tools for conveying information in science and health research. (Held each spring)

Poster Presentation Skills - This interactive workshop covers the elements of an effective poster from preparation, poster layout and design, to presenting. (Held every other year in spring)

Complex Ideas, Simple Phrases – This interactive workshop reviews how to explain complicated research. (Held each summer)

Plain Language, Keeping it Simple – This workshop is about learning how to present complex scientific materials in plain language for non-experts and lay audiences. (Held each summer and winter)

Funding Applications Studentships & Fellowships - This session covers the CFRI Trainee Funding application form, expectations and the review process. If you are planning to apply for CFRI funding it is highly recommended that you attend this session. (Held each fall)

Clinical Seed Grant Info Session - This session covers the fundamental elements of a successful application. If you are planning to apply for CFRI funding it is highly recommended that you attend this session. (Held each fall)

Academic CV Writing - This seminar will focus on free-form, personalized academic CV’s. (Held each summer)

Single sessions are offered to trainees that review the fundamentals of successful award applications and provide targeted support for preparing for specific competitions based on demand.

Professional Life Skills

This component of the Research Education Program offers courses that focus on preparing graduate students and postdoctoral fellows to manage various aspects of professional life, not typically included in formal education.

Financial The Canadian Tax System - This workshop includes an overview of the Canadian Tax system, the process for filing a tax return, individual responsibilities for filing Canadian tax, and eligible tax exemptions. (Held every other year in spring)

Trainee Orientation

The Research Education Office encourages students new to CFRI to attend a Trainee Orientation. Held each September and February, this session reviews the services and resources available to CFRI trainees onsite. Trainees will also have the opportunity to meet with members of the Research Education Outreach Committee, Research Technology & Development Office, the Postdoc Mentor, and other new trainees onsite. An optional tour of the Oak Street campus is also offered.

UBC Faculty of Medicine Post-doc Professional Development Series

CFRI, together with UBC Faculty of Medicine, Providence Health Care Research Institute and Vancouver Coastal Health Research Institute organize four workshops and a Career Day annually. The goal of this series is to provide professional development opportunities to Postdoctoral Fellows and prepare them for careers in academic and non-academic positions.

Professional development workshops are held between November and May of each year. These half-day workshops focus on topics such as: conflict resolution, writing a successful grant, managing your research budget and taking ownership of your postdoc. Career Day is held in October to help graduate students and postdoctoral fellows explore their career opportunities with presentations from professionals in various fields. http://med.ubc.ca/research/grad_pdf/ppd/.

TGIF

TGIF is the Child & Family Research Institute’s signature seminar series. Each week, this event brings together established investigators and up-and-coming trainees from across the Oak Street campus to share their research findings, exchange ideas and foster collaboration.

This weekly seminar series takes place at 4:00 p.m. on Fridays in Room 2108 (Sept-June) and is followed by a networking session at 5:00 p.m. A complete list of upcoming speakers is available online at www.cfri.ca/news/tgif.

Social Events The Research Education Program includes social events throughout the year. These events provide opportunities for trainees to meet and network with trainees from different labs and to have a much needed break from their everyday routine. Details on these other events are available on the CFRI Training website at www.cfri-training.ca/research-programs/events.

Trainee Research Forum The Trainee Research Forum is held every year in June. This half-day event provides the institute with an opportunity to showcase the outstanding work undertaken by trainees onsite and to recognize their significant contributions to the research endeavours on the Oak Street Campus.

Trainee Poster Presentation - The poster session is open to all graduate students, postdoctoral fellows and clinical residents or sub-specialty fellows onsite. Note the trainee must be the first author and present their poster during the poster presentation. If the trainee is unable to present for the forum their poster may be displayed but will not be judged.

The abstract submission form will be available on the CFRI Training website in early May. Space is limited therefore submissions are accepted on a first come basis.

Outstanding Achievement Awards - Each year nominations for the Trainee Research Awards are sought in the following categories. These awards recognize achievements in research directed at improving the health of children, youth or women. The award nomination form will be available on the CFRI Training website in early May.

Online Training

The following online courses are offered free of charge to our research community. Research trainees involved in clinical or population based research are strongly encouraged to discuss with their supervisor which of the following courses they should complete. For the description of the required online safety courses refer to the ‘Health & Safety’ section of this handbook. Ethical Conduct for Research - The Research Ethics Board (REB) recommends students engaged in research with human participants take the following tutorial online at http://tcps2core.ca/welcome.

The “Introductory Tutorial for the Tri-Council Policy Statement 2: Ethical Conduct for Research Involving Humans (TCPS2)” tutorial consists of 8 modules focusing on the guidance in the TCPS2 that is applicable to all research regardless of discipline or methodology. The tutorial takes an average of 3 hours to complete but the modules can be accessed at your own pace. CITI Training - The CITI-Canada Program offers comprehensive courses on a variety of research related matters for Network of Networks (N2) member organizations. CFRI Funding Opportunities A range of funding opportunities are available to trainees, including the institute’s well-established scholarship competition for graduate students and postdoctoral fellows. The Research Awards Committee (RAC) provides impartial review and adjudication of all trainee applications.

Child & Family Research Institute Graduate Studentship - Studentships are offered to highly qualified students who are undertaking full time training in research, leading to a master’s or doctoral degree, in the area of children’s or women’s health.

Child & Family Research Institute Postdoctoral Fellowship - Fellowships are designed primarily for individuals with a PhD or MD degree undertaking postdoctoral research training in children’s or women’s health at the institute or at the Children’s & Women’s Health Centre of British Columbia, and who are planning to pursue a career in academic medicine or research.

Targeted Studentships & Fellowships - In addition to the CFRI Studentships & Fellowships, there are several targeted competitions each year (selection may vary).

Trainee Travel Grants - Trainee Travel Grants are designed to assist trainees to travel to prestigious national and international meetings and conferences to present their work, network and learn. Approximately 17 grants are available over four rounds of competition each year.

Research Methodology Training Grants - The Research Methodology Training Grant is designed to help defray the cost of travel and living expenses for trainees who wish to participate in specialized training opportunities unavailable locally. A limited number of training grants are available.

Clinical & Translational Research Seed Grant - The CFRI Seed Grant has been developed to support clinical and translational research projects by promoting research collaborations between postdoctoral fellows and clinical trainees or new clinical investigators. A total of up to $5,000 will be awarded for one or more projects that demonstrate innovation, collaboration, multidisciplinary expertise, and have direct relevance to the health of children, adolescents or women. Child & Family Research Institute Summer Studentships - Each summer, CFRI welcomes undergraduate and medical students from UBC and abroad into our summer student program. Approximately 17 studentships are given to top ranked students based on scholarly achievement, scientific merit of the proposed project, and the potential benefits applicants will gain from the experience.

Other Funding Opportunities Canadian Student Health Research Forum (CSHRF) Travel Award - This award is given to nominated PhD students in health sciences to travel to the CSHRF. www.grad.ubc.ca

Graduate Student Travel Fund - Graduate students are eligible for reimbursement from the Graduate Student Travel Fund once per degree program. This fund provides travel support to a maximum of $400 per graduate student. www.grad.ubc.ca

PDF Travel Award - The Postdoctoral Fellows Office administers Travel Awards for postdoctoral fellows. Travel support is provided to a maximum of $500 per recipient for travel within Canada or $1000 per recipient for travel outside of Canada. www.grad.ubc.ca

Mitacs Accelerated Project - Mitacs Accelerate is a national research-based internship program, open to postdoctoral fellows who are within 5 years of receiving their PhD. Through this program postdocs are funded to undertake collaborative research-based projects (4 months or longer) with companies and businesses located in Canada. www.mitacs.ca

There are a number of granting agencies in British Columbia and nationally that offer graduate studentships and postdoctoral fellowships. Trainees are strongly encouraged to seek funding through these agencies.

All UBC graduate students traveling abroad for university activities must register with the Student Safety Abroad Program, this includes conferences, research, volunteering, service learning, varsity sports, and studying abroad. Details of registration requirements will vary depending on the travel destination.

Public Education

The Research Education Office offers education events on various topics. These events give trainees the opportunity to discuss their work, its context and implication, to prospective students interested in careers in science and technology.

Research Week - Celebrate Research Week is a week-long showcase of diverse events highlighting research excellence across CFRI.

CFRI sponsored events include the CFRI Open House and Public Lecture on leading-edge research (presented in conjunction with Providence Health Care Research Institute, Vancouver Coastal Health Research Institute and UBC Faculty of Medicine).

The CFRI Open House is an interactive event that offers high school students and teachers an opportunity to visit research labs, interact with research trainees and participate in research activities. The event is free and open to students and teachers across the Lower Mainland. Each year we invite science teachers to nominate exceptional students whose enthusiasm and performance in science show great promise. Trainees who volunteer to participate have the opportunity to host a lab tour or be a group tour guide.

Mini Med School - Mini Med School is a lecture series designed to engage the public in science and leading edge research. Researchers and trainees at CFRI help to educate the public on current and innovative research happening at CFRI. Each year, this popular event is open to senior high school students and members of the general public.

International Gairdner Symposium - Held each fall the International Gairdner Symposium gives high school students an opportunity for a behind-the-scenes tour of world-class CFRI research facilities, and the opportunity to meet Gairdner award winners and other health science experts. Trainees who volunteer to participate have the opportunity to host a lab tour or be a group tour guide. This event is hosted in conjunction with the Center for Molecular Medicine and Therapeutics (CMMT) at CFRI.

TD Discovery Days in Health Sciences – Discovery Days is a one-day event that gives secondary students and teachers the opportunity to explore a variety of career options in medicine and health sciences. The day is comprised of a dynamic keynote lecture, hands-on workshops and a career panel discussion. Students gain a clear picture of what it would be like to be a health professional by interacting with researchers, clinicians and educators in their real-life work setting. Trainees who volunteer to participate have the opportunity to be a group tour guide.

The Research Education Program uses a variety of communication tools to ensure students are provided with current, accurate information regarding education opportunities and resources. The following describes the many ways in which we try to keep trainees informed.

Training Website - The CFRI training website (www.cfri-training.ca), developed through consultation with trainees, is a mechanism for providing event, funding and trainee information to current and prospective trainees. Information on past and current events, funding opportunities, trainee awards, recognitions and other accomplishments is located on the website.

Wiki - The CFRI intranet (https://wiki.cfri.ca), provides information on research support and services, CFRI research groups, communications and core facilities at CFRI. The Directory contains contact information for all CFRI members, trainees and affiliated research personnel on site. The wiki can also be accessed externally via the VPN with your CFRI login. Need a CFRI logo or other branded materials? The CFRI Communications team has various professionally designed templates available for download at https://wiki.cfri.ca.

Trainee Bulletin – The Research Education Program publishes a monthly newsletter which is distributed to all CFRI trainees. The email highlights events on and offsite and is a source of news and all things related to research training.

Operations Newsletter - The Operations Newsletter features news that supports your research. This includes news from CFRI, our partners and the broader research community. The Operations Newsletter is send via. email every other week. To submit content for publication, contact [email protected].

Research Reporting - Research Reporting showcases news from CFRI’s research community. This includes new publications, grants, awards and noteworthy media stories about our researchers. We also feature stories on how research is improving the health of children and families in B.C. and beyond. To submit content for publication contact [email protected].

Social Media – The CFRI also uses social media to highlight news and events onsite.

Trainee Recognition Wall - Each year the Research Education Program acknowledges trainees who have received external funding awards on the Trainee Recognition Wall. Information is collected by email in early spring and notices will be placed in the CFRI Trainee Bulletin and on the website. The Trainee Recognition Wall is on display in the foyer between the North Block and South Block.

Research Education Outreach Committee - The Research Education Outreach Committee (REO) provides input to guide the development, implementation, promotion and evaluation of the Research Education Program with an emphasis on education outreach and networking.

REO is involved in planning the Research Week Open House for high school students and organizing trainee networking events. In addition to these annual events, REO supports networking activities within research clusters, promotes Research Education activities to trainees and provides recommendations to help promote CFRI as a research training institute.

The committee consists of trainee representatives and meet on a monthly basis. If you have feedback or suggestions regarding Research Education at CFRI please contact your cluster representative.

Alumni - The Research Education Program has more than 500 alumni who have completed their graduate studies (masters or doctoral degree) or postdoctoral training since the research institute was established in 1995. Many of these alumni have moved into successful careers in research, academia, industry and government.To give alumni the opportunities to stay intouch with the institute a Child & Family Research Institute Alumni group has been created on LinkedIn. All CFRI alumni are encouraged to join the group.

The Child & Family Research Institute offers a wide array of services to support student and staff needs. These include the following -

Communications Team - The Communications Team at CFRI provides a range of strategic communications services to further the local, national and international reputation of CFRI. Smoking Policy All of the hospitals located at the Oak Street site have adopted a NO SMOKING policy. Smoking is not allowed in any hospital building, parking lots or grounds.

CFRI InfrastructureCFRI facilities are located in the heart of the Oak Street campus. The Institute has both ‘wet bench’ laboratory and ‘dry lab’ clinical research areas, and other areas to facilitate particular areas of research and training such as animal care facilities, a stores facility, education centre and a study centre.

The institute also oversees research space in both the BC Children’s and BC Women’s buildings, as well as additional labs/offices housing University of British Columbia personnel on the Oak Street campus.

CFRI’s Facilities team is responsible for waste management, lab & equipment services, shipping & receiving, safety & security and general building info. Identification Card

Identification cards must be obtained by all trainees and must be made visible at all times when on the Oak Street Campus. Identification cards are the property of PHSA and must be returned to the C&W Protection Services office at the end of the students term.

Obtaining an ID Badge - To request an ID Badge your supervisor or manager should follow the steps below -

• Visit https://support.cfri.ca/, go to ‘ID and Security Access Request Form’ and download the ‘Photo ID Request Form’

• Complete the form fields (no need to print the form), go back to https://support.cfri.ca/ and upload the form to ‘CFRI ID and Security Request Form’

• The CFRI member or manager will be notified when the paperwork has been processed (paperwork is usually reviewed on Monday mornings)

• Once the paperwork has been processed, the trainee can report to Room A1-141 to have the ID Photo taken. Photos are taken Mondays, 8:30 - 11:30am & 12:30-4:30pm

• The form and picture will then be sent offsite. The final ID will be delivered to Room A1-141 within 5 business days. The trainee will be contacted when it’s ready for pick-up. If time is of concerns, a limited supply of temporary ID badges are available. Contact [email protected] for more information.

Finding Room A1-141 - CFRI Operations is located on the ground floor of CFRI’s Translational Research Building. The easiest way to find the office is to go down the main corridor linked to the atrium (past the reception area) and take the elevator to the 1st floor. Turn left out of the elevator and through the double doors going outside the building. Once outside turn left towards the shipping/receiving bay, the main door is propped open during business hours. Room A4-141 is around the corner on the left.

Not affiliated with CFRI? Trainees affiliated with other members (PHSA/C&W) on the Oak Street campus will be required to take the ‘PHSA Contractor Photo ID & Access Request’ form to Shaughnessy Room AB100 during the following times to have a Photo ID taken: Monday, 12:00 - 2:00pm. IM.IT Services

IM.IT Services are available to all students onsite and include aspects such as hardware, software, network and security support related to research activities only. In order to access any of the following CFRI IM.IT Services you will first require a network account.

Privacy Training - Privacy Training is mandatory for all students and staff onsite. A network account will not be issued until the privacy training module has been completed. For any questions or concerns regarding the online privacy training contact [email protected]. To complete the training the student should follow the steps below -

• Visit https://learninghub.phsa.ca/• Select ‘Sign Up for an Account’ and create a ‘Affiliate’ login or login to your account• Select ‘Find a Public Course’ from the home page bar, search ‘Student Practice Education:

Privacy & Confidentiality’• From the search results select ‘Privacy and Confidentiality (All PHSA Agencies)’• Select ‘Register for Credits’ and ‘Start Course’ to begin the course.

The course takes an average of 30-45 minutes. The quiz must be completed and passed before the confidentiality agreement and certificate is viewable. A record of the module completion will be sent to the appropriate groups.

CFRI vs. PHSA - Trainees onsite may access the CFRI network and/or the PHSA (C&W) network. Trainees who need to view any clinical systems (eChart, eHealth Viewer, M*Modal Dictation, etc) will require a PHSA network account. Trainees supervised by CFRI faculty members who are primarily undertaking research activities will require a CFRI network account.

To request a network account and e-mail address your supervisor or manager should follow the steps below. Note the appropriate clearance will be verified before access is granted. User accounts are deactivated at the end of the trainees term or if there is no activity in the account for five months.

Medical students and clinical trainees with placements in a clinical settings may also require access to Cerner (eChart) and the M*Model Dictation system. Wireless - Onsite wireless networks allows faculty, staff and students to connect to the internet at high-speeds, 24/7 without plugging in a cable. The following networks are available -

CFRI Drop-Box - The file transfer service provides temporary storage to students wishing to transfer large amounts of data. https://dropbox.cfri.ca/

REDCap (Research Electronic Data Capture) - REDCap is a web-based, metadata-driven EDC software solution and workflow methodology for designing and capturing data for research studies. REDCap allows users to build and manage online surveys and research databases quickly and securely. For more information on REDCap contact [email protected].

SPSS - IBM SPSS Statistics software can be accessed without having to purchase an individual license. CFRI’s Clinical Research Support Unit has purchased several SPSS site licenses to be used as a shared resource. The IM.IT Department is hosting the software on a secure terminal server which can be accessed by researchers with a CFRI login. Note because the number of licenses available is limited, there may be times when all are in use simultaneously and access may be temporarily unavailable. For instructions on accessing visit http://wiki.cfri.ca.

Printing & Photocopying - The majority of work spaces onsite include a printer, check with your supervisor about accessing these. At CFRI 3 multi-function printers/fax machines are available for general use; foyer of the East Block next to the elevators, on the 3rd floor mezzanine and across from the elevators and on the 4th floor of the Translational Research Building. An access codes for using these machines is required, check with your supervisor about the number.

The cost for printing is automatically billed directly to the lab. Printing black and white pages will cost $0.07 per page and printing colour pages will cost $0.14 per page. For large scale printing, copying, scanning and graphic design contact the C&W Print Shop at [email protected].

Transportation

Cycling - The Oak Street Campus has many options for bike parking onsite. For access to locked bicycle cages contact [email protected]. If you are interested in cycling but need more information on bike routes visit www.cyclevancouver.ubc.ca.

Children’s & Women’s Shuttle - The C&W Shuttle is available to transport trainees between the King Edward Canada Line Station and the Oak Street campus free of charge. The shuttle departs from the Northwest corner of Cambie and W 24th Avenue approximately every 15 minutes (6:38am to 10:00am). In the afternoon the shuttle departs at the BC Women’s Hospital & Health Centre Entrance 77 approximately every 15 minutes (starting at 3:04pm).

Parking - All parking on site is pay parking, effect 24 hours a day and is available on a first come basis. General parking rates are $3.50/hour or $14.25/day. All UBC/PHSA staff and registered students are eligible for the Daily Pay Parking Program. To be entitled to the $6.50/day rate you must apply for a Multi-Site Daily Pay Parking Hanger and provide a $20 refundable advance deposit.

Transit - The Oak Street Campus is easily accessible by public transit. Translink buses #25 Brentwood Station/UBC and #17 Oak/Downtown are within steps from the main buildings. The King Edward Skytrain station is a 15-20 minute walk from the main campus. For more information on planning your route visit www.translink.ca.

Inter-Hospital Shuttle Service - Free shuttle service is available to all the hospitals in Vancouver including the Children’s & Women’s Health Centre, Vancouver General Hospital, St. Paul’s Hospital and UBC Hospital. The shuttle operates from 7:00am to 5:30pm, Monday-Friday. Please note the times below are subject to change without notice due to weather and road/traffic conditions. The shuttle also offers free courier services to and from the shuttle stops. All packages must be properly labelled, handed directly to the driver and must be picked up from the driver at the specified destination.

The Recycling Renewal Program is an important part of the PHSA’s Zero Waste target to reduce land-fill waste by 70% by 2015. Since its beginning in November 2010, the Recycling Renewal Program has been implemented at 12 acute care and 13 residential care sites.

How to book a room using Outlook:• Open your Calendar in Outlook and click File > New – Meeting Request • Click on the Scheduling tab, then click on the “click here to add a name” line (it’s just below

your name), and then click the “add others” button at the bottom of the column and select “from address book”

• Type the word “room” in the box that says “type a name ...”, this will bring up all the rooms that can be booked online

• Scroll through the list and when you find the room that you wish to book, double click on it to add it to the ‘Required’ box, then click OK

• Select the date and start/end times (blue bars indicate that the room is already booked) • Once you have confirmed the availability, click on the Appointment tab • Under Subject, type the name of the meeting or education event, and include your name and

Additionally, the majority of work spaces have lunch areas for students. At CFRI there are several lunch areas located in the South Block (3rd floor), North Block (3rd floor), Variety Club Building (3rd floor), and the Translational Research Building (4th floor). Each area is equipped with a refrigerator and microwave. Some also have a kettle and vending machines. When using these facilities clean up after yourself and wash any dishes and appliances you have used.

Secure Storage Built-in lockers are available in various locations through CFRI for students and staff to store personal items (you will be asked to provide your own lock). Check with your supervisor for more information on which lockers are designated for your lab.

Study Facilities

Reading Room – Located in Room 3051, the David Hardwick Reading Room is a quiet study space for trainees. The room will be under renovation for fall 2014, re-opening spring 2015.

Study Carrels - Built-in study carrels are available in various locations throughout CFRI for trainee use. Check with your supervisor for more information about using the carrels onsite.

Study Learning Commons - Learning & Development (BCCW) has partnered with the UBC Faculty of Medicine to provide a Study & Learning Commons (SLC) to all students in F4, Shaughnessy Building, BC Children’s and BC Women’s. The area includes PHSA & CFRI networked computers, a computer lab, group student room and videoconferencing facility.

To access the Study & Learning Commons area go through the North Entrance of Children’s Hospital and follow the corridor, veering left at the junction (past the cafeteria). Continue down the corridor following the signs for “A to L, Women’s Health Centre”. At the intersection take the elevators to the 4th floor. The commons area is on the left (past the red couches)

Mailing & Shipping

For Children’s & Women’s Hospital the mail room is located in the Shaughnessy Building, F100. At CFRI there are three main mail stations. The main station is located on the 1st floor of the Translational Research Building next to the loading bay entrance. The other stations are located on the 2nd floor of the Variety Club Building next to the photocopier, and on the 3rd floor of CFRI South Block next to the photocopier. All outgoing mail must be placed in labeled bins.

Mail going to BC Children’s or BC Women’s Hospital (onsite), PHSA agencies and corporate service offices must be placed in the Inter-Department Mail bin. Mail going to UBC must be placed in the UBC bin. All other mail must be placed in the Canada Post bin. Ensure all mail is appropriately marked and for outgoing external mail ensure each envelope has appropriate postage or is coded on the upper left corner so it can be charged to the appropriate cost centre (ask your supervisor for your cost centre).

FedEx picks up from CFRI at 2:30 Monday-Friday from the shipping and receiving area. If you have something to be shipped out it must be brought to the outgoing packages table next to the mail station with all the necessary paperwork correctly filled out by 2:00. For incoming courier packages ensure that the courier company has your full address including name, lab (PI) name, room number and bay number.

Security

The Oak Street campus has full time security personnel who provide overall security services which include security patrols, emergency response, staff and visitor escorts, key control, lost & found, parking enforcement, staff education, security audits and investigations.

During work hours they can be reached via the non-emergency line at x2999. For 24-hour emergency support contact x899. Security will provide safe walk escorts for students on the Oak Street Campus upon request. If you require an escort to your vehicle, contact x2999. If you require an escort from your vehicle, contact 604-875-2999.

To stay save onsite, security recommends the following - • Always wear your Photo ID while on site• Lock/close your work area including windows when you leave, especially if working alone or outside of regular hours• Ensure all personal belongs, including laptops are safely locked up, and do not leave keys in plain sight• When coming or going from buildings outside of regular hours, go in pairs or groups

Criminal Record Check PHSA & UBC have mandated that all students, staff and volunteers complete a Criminal Record Check (CRC) every five years. This applies to anyone (temporary or permanent) who works/volunteers at the Oak Street Campus, including BC Children’s Hospital, Mental Health, Child & Family Research Institute, Sunny Hill Health Centre for Children and Women’s Hospital and Health Centre. The students at any of the above mentioned locations could potentially have unsupervised access to children and pose a security concern.

Student payroll and security access may be suspended if a CRC isn’t completed in a timely manner.

Counselling Services UBC Counselling Services provides free, confidential counselling on the Oak Street Campus for UBC students (undergraduate, graduate students, and medical students). Speaking with a counsellor can be helpful if you think you might be experiencing a mental health problem such as depression or anxiety. Counselling can also help you to identify ways to understand, manage or overcome challenges you face so you can live well, feel good, and achieve your goals. Lab Safety A number of important policies and information related to waste disposal, Work Safe BC, ergonomics in the laboratory, and the UBC Accident/Incident Report Form used by CFRI can be downloaded from the CFRI Support website http://support.cfri.ca.

General lab etiquette includes:

• Never eat, drink, smoke, or sleep in the lab• Do not store food or drink in a lab fridge • When using non-lab equipment and when leaving the lab, remember to remove your lab coat and gloves (when leaving the lab remember to wash your hands in a hand wash basin) • Know who to report to if something breaks, spills, smells ‘off’, leaks, etc. • If you are asked to use a piece of equipment that you have not used before, be sure to ask someone to assist you; do NOT use equipment that you are unfamiliar with

It is also important to protect yourself from potential hazards by dressing appropriately while onsite.Personal protective equipment includes:

• Protective clothing (long pants, lab coats, aprons, sleeve guards, chemical resistant suits)• Eye protection (goggles, safety glasses) • Gloves and protective footwear • Hearing protection and/or respiratory protection

Training Courses

CFRI/UBC has made the following training courses MANDATORY for all trainees and staff onsite.

Fire Safety - Session are held quarterly and advertised in the CFRI Operations Newsletter. For more information contact [email protected].

Preventing and Addressing Workplace Bullying & Harassment - All students employed by the University are required to receive training about the new workplace bullying and harassment policies. To register visit www.riskmanagement.ubc.ca/courses.

Depending on the trainees responsibilities they may also be required to enroll in a selection of the following MANDATORY lab safety courses.

Workplace Safety Orientation: Safety Training Record - All students working in a lab setting must receive appropriate training and orientation in the hazards of their work sites. The orientation must be documented in the ‘Safety Training Record’, signed off by the student and the training records kept for possible review by WorkSafeBC inspectors or internal auditors. National Animal User Training - The Canadian Council on Animal Care (CCAC) has developed a National Institutional Animal User Training (NIAUT) program for all personnel involved in the care and use of animals for research. To access the Animal Care Facility onsite personnel are required to pass the NIAUT online certification examination. Trainees can register for the online course at www.ors.ubc.ca/contents/animal-care-training. Once complete forward your certification to [email protected] to have your security access modified.

Introduction to Lab Safety - The Introduction to Laboratory Safety course is mandatory for all students who may be potentially exposed to hazardous materials. Completion of this course does NOT certify students to work unsupervised.

Laboratory Chemical Safety Course - The Chemical Safety Course will cover: chemical hazards, WHMIS, safe handling, storage, hazard recognition and control, waste management and emergency response. The course includes an online component and practical session.

Laboratory Biological Safety - The University Biosafety Committee requires successful completion of the UBC Laboratory Biological Safety Course (RMS155) for all personnel working with Risk Group 2 or 3. Only required for trainees working with biological materials.

Radionuclide Safety - The course meets the basic training requirements of the Canadian Nuclear Safety Commission. Only required for trainees working with Radioactive Materials
