VSAF Badminton Tournament 2013

Event Report

ForewordBy all means the Tournament is received positive feedbacks and were even expected to

organize the event soon in the coming winter. For that we see our initial goal to establish

a concrete ground for new challenge-takers to take responsibility organizing the

Tournament more frequent (as least once every year) has been nicely satisfied.

Besides the main purpose of creating a mutual playground for Vietnamese students in the

summer, this event also brings benefit for the Association in near future: upcoming

Members of Board will be selected from great personalities of the Event Organizing

Team. Once again we would like to thank you all who helps making this event a success

and good luck for the development of VSAF in the long run. Cheer !

AboutThe Vietnamese Students Association in Finland (Vietnamilaiset Opiskelijat Ry -

abbreviation VSAF) founded in 2003 with the aim of organizing social activities that help

preserving national culture among Vietnamese oversea students and Viet-origin Finns in

Finland.

So far since establishment, weve managed to hold several sport events, cultural-

exchange activities and other welcoming activities for newbies to help them integrating

with Finnish social life, weve also organized Finnish Education Seminars in Vietnam.

1.General InformationConcept, date and timeThe Badminton Tournament lies in series of activities to celebrate 40th year anniversary

of diplomatic relation between Finland- Vietnam (1973- 2013) and Vietnam NationalDay September 2nd. This year is the second time the Tournament takes place, the first

one was held in Lappenranta, 2010.

Event date was chosen to be at the last weekend of July (27-28) in Meilahden

Liikuntakeskus, address Mississipinraitti 1, 00250 Helsinki, Finland.

GoalThe goal of the Badminton Tournament, together with the Football Championship

(September 2013) is to raise awareness of physical activities as well as public well-being,

to promote and contribute to the development of badminton in Finland and to have funplaying sport through friendly competition.

TargetDue to shortage of preparation time, wed limited the participants to Vietnamese under 30

years of age only and set target of 45- 50 players sign-up. However the target had not

reached yet.

AttendanceOn-site events attracted around 60 people each day, of which 36 were badminton players.

Participants from the greater Helsinki area are mainly students and post- graduates ofHaaga- Helia UAS (15%), followed by Metropolia UAS and Laurea UAS students.

IssueTaken that the event was held in summer time,

almost every university was closed so that we

could not rent its free-of charge courts and

other facilities. We also encountered some

difficulties in in-kind support fundraising

because most of the personnel were onholiday.

With a brand new fanpage for the Tournament, the event got attentions very slowlyduring the first month. However boosting of individual shares and publishment of

promotion videos prove to be a proper approach. These are some statistics reflect the

reaches to audience via social media channels from 1 July -15 August, 2013.

3.Financial ManagementBudgetWe made a profit of roughly 300this year.

Profit from the event will be kept separately from the Associations main account and

would be used as capital for the next Badminton Tournament.

4.Future DevelopmentWe can do it in a better way, why not? The following improvements are suggested after

weve received some feedbacks

Travel Compensation for participants from othercities outside Helsinki areas. In this way we could

gain more players from Turku, Vaasa, Kouvola,

Lahti,

On-site lunch for every player. The Womens Doubles game can be added if the

number of female players increases.

Co-operation with local UAS to have a free-of-charge court, this would hugely reduce the cost of

venue, one solution is scheduling the event to

happen in early summer (late MayJune)

Open age restriction to 35 so that we could attractmore attendance from Finns and players from other

nationalities.

Strengthen facebook page exposure by postingnews from outside source (which is referred as

External referrer rate. The source for example

could be VSAF Forum, VSAF Linkedin and other Badminton News page.

Reaching to public news in local Finnish print media and online newspapers.
