Team Parent Purpose & Responsibilities

PURPOSE – The West Covina Youth Pony Baseball (WCYPB) volunteer position of team parents is intended to carry out duties as directed by the Team Parent Coordinators.

ORGANIZATION – Team Parent helps the coach by following through on the non-coaching details so he or she can concentrate on coaching.

NOTIFICATION – Team Parent makes the phone calls, texts & emails.

TEAM SPIRIT – A fun team is a Happy Team! Team Parent can help by organizing team functions off the baseball field.

INFORMATION – Parents will come to you first with all of their questions. As the Team Parent, you are their best source of information about your team and league. So keep your Parent Handbook and Bylaws close at hand.

MANAGER HELPER – Your first and most important duty is to help the manager/ coach with all the little things they are too busy to do. Our children

have limited time during practices and in order to free the coach up to spend more time with the kids, its is your responsibility to help with the “non-coaching” things that are required to make a great team. Try to attend as many practices as possible to aid in the communication with the coaches and parents.

SPECIFIC DUTIES AND RESPONSIBILITIES – The team parent is expected to:

Distribute information to the coaches, players, and families of the West Covina Youth Pony Baseball team(s).Assist team parent coordinators with the distribution of team and individual photos, fundraising materials, and awards or certificates to the players.Communicate with managers, coaches & parents regarding games, practices, snack/drink schedule and upcoming events.

Qualifications and Desired Skills To be considered for the position of team parent, the applicant should:

Be a good organizer.Be a good communicator.Be dependable.

Supervision ProtocolsWhile performing as the team parent, the volunteer is:

Subject to the bylaws, rules, regulations, policies, procedures, and guidelines of the WCYPB.Under the overall authority of and directly supervised by the WCYPB board membersTo maintain the recommended supervision ratio of 1:8 or less; that is one adult for every eight or fewer children and two adults be present at all times. For the protection of both the children and the volunteer, no volunteer should permit himself or herself to be alone with any child or group of children (except his or her own) during WCYPB sponsored activities.

PHONE CALLSYou will sometimes need to help the coach with calling team members. Sometimes practices are canceled and the players need to be notified as soon as possible. Please be willing and ready to help your coach get in touch with the team if this situation occurs. Work with the coach to relay information to team members. Find out from families when and where are the best way to contact them. Give every team member a team roster. Encourage parents not to drop off kids and leave, but to walk out and say hello to the coach. If the coach or another responsible adult is not at practice yet, they should not leave the child unattended.

SNACKSAt each game there should be one family responsible for providing a snack at the end of each game, plus extras for the coaches and umpire. Traditionally, the snacks consist of a bag of chips and a drink, or a cookie and a drink. Or any treat preferred by the children. We also have great snacks available at our snack bar, but be sure to allow snack bar attendee enough time to prepare, usually right before the game begins is a good idea. You may want to take the first game’s snack so you can set an example as to what to provide for the other parents. If it is at all possible try not to ask the coach to bring snacks to a game. They are busy enough with the responsibility of coaching and already having enough things to carry to the field. The snack schedule can be incorporated with the game schedule. Try to remind the designated parent a couple of nights before the game. Encourage the children to pick up after themselves.

BE SURE TO ENCOURAGETry to make every effort to encourage team friendships by introducing parents to one another throughout the season. A team will bond together more quickly if friendships form among the parents and the players. Keep your eyes open for opportunities to help parents and team members to get to know one another. Set a good example to display courtesy and respect all the coaches, other participants and most importantly the umpires.

SNACK BAR DUTYYou will receive a schedule as to when your team is assigned snack bar duty. Please encourage parents to sign up or they will lose their opportunity to earn back their $40 snack bar deposit. Once snack bar duty is complete a check will be issued the following week. You must be at least 18 years of age to work in the snack bar.

COLLECTING MONEYCollecting money for the fundraisers, banner, parties, and coaches gifts will not be your favorite duty, but it has to be done. You can manage the team finances the way you are comfortable. Some teams collect a set amount up front. Other teams collect as things become due. Unless you are planning an expensive coach’s gift, you will want to collect $20 - $30 per team player to cover these expenses. Adjust the cost as you see fit. Your team may also want to purchase shirts or sweatshirts with the team name on it, if so, this may be an additional expense, but try not to make those who cannot afford to purchase them feel badly. A running spreadsheet showing your teams finances is always a good idea to show your parents what their money and your time is going towards. It’s also a good idea to have a receipt book to show proof of money collected as well.

PLEASE MAKE NOTE THATALL MONEY TURNED IN FOR FUNDRAISERS WILL BE IN FORM OF MONEY ORDER OR CASHIER’S CHECK ONLY!!

TEAM BANNERS OR PENNANTSEach team should have a banner or pennants. The Team parent is responsible for the organization and the preparation or purchase of the banner or pennants. Design it during practice, getting suggestions from the parents and players. The banner can be made inexpensively with simple craft items such as felt, glue and scissors, or if the team prefers, money from the parents can be collected and one can be ordered through a banner company. It would be great if the banner or flag can be completed by picture day, as it makes a great backdrop for the team picture. The following should be included on the banner or pennant: Team name, team sponsor, players, manager, coaches and Team Parent.

YEARBOOK Each player will receive a yearbook at the end of the season. The yearbook will capture pictures of the players, teams and events throughout the season. We will also offer “Tags” for parents to purchase. Tags are special messages written by you and parents for your players/team and will be featured inside the yearbook. *Tag Purchase information will follow soon.* Please contact your Team Parent Coordinators Gloria Hernandez or Angela Esquivel for more details.

COACHES GIFTSAt the end of the season the team presents the coach with something to show their appreciation for all the time and effort they have put into coaching. It is the Team Parent who decides what to get and makes the purchase. Lucky You! The cost of the gift is shared by all of the team’s families. Some suggestions can be Coach’s shirts, photo albums, scrapbooks, coffee mugs, plaques, key-chains and or gift certificates. Get parents to donate their second prints to put together a photo album that the players themselves can personalize. Get input

from the parents. Anything with the team name, year, personalized by the players is always a big hit.

SAFETY/FIRST AIDIt is also a good idea to have some basic first-aid supplies on hand at the practices and games. Mild sprains and scrapes are quite common. The following items will cover most injuries: antiseptic spray or ointment, band-aids in several sizes, and ice packs. This should be brought to each practice and game. All incidents that occur when a player is injured needs to be reported to the board member on duty and an incident report will need to be filled out.

Please make sure you carry the player/parent medical release & code of conduct forms at all times. There will be random checks for them throughout the season.

FIELD USEPlease be aware of the all regulations that we must abide by while using Walmerado Park and Walnut Grove School. Please refer all parents to our Code of Conduct. We all need to follow the league’s Code of Conduct. This Code needs to be followed during the practices as well as the games. There shall be NO ALCOHOL beverages on the premises. Anyone not following the Code will be asked to leave the property.

FIELD CLEAN UPLet’s be courteous to our fellow teammates and surrounding neighborhoods by making sure our teams do not leave behind any trash at either the games or practices. Please bring a bag with you to each game or practice and have the kids’ pickup their trash before leaving practice field and game field.

If everyone helps just a little it will help those that work all day at the baseball field to get home a little quicker.

ACTIVITIESActivities away from the playing field can contribute a great deal to team spirit. It also can make a season more fun, no matter what happens out on the field. Some traditional activities are pizza parties, swim parties, picnics, and barbecues. Make sure when you plan your event you call for reservations. Be sure that everyone has a ride and money even if the parents cannot make it. With older teams there will be more kids without parents at the party therefore don’t forget to set ending times for pick-ups.

Swim parties, picnics and barbeques can also be fun. If one of the parents volunteers their pool, great! Make sure someone is responsible to watch the children at all times. These parties can be done potluck or even bring in pizza. Provide a sign up sheet and remind parents the week prior to the party what they volunteered to bring. Plan some activities to keep things interesting. Use your imagination and get the parent’s input. Maybe even put a parent in charge of an event.

Above all else, all the board members of the West Covina Youth Pony Baseball League want for you to all have a great time. Taking on all the responsibilities yourself can make a not so happy Team Parent. The key to having a good time as a Team Parent is to utilize all of the parents. Ask for help; put them to work, delegate responsibilities. You volunteered to organize

the team functions; you did not volunteer to do everything involved in making these functions work. Spread the work around and have fun. Get everyone involved. Keep them informed and most of all HAVE FUN!!!!!

The key to your success is to get the other PARENTS involved. Delegate, Assign, Plead, Beg, do whatever it takes, to get the job done. Most parents are willing to help out they just need to be

asked, so……GET YOUR TEAM’S PARENTS INVOLVED!!!!!

Important Sponsorship Information

MANDATORY LEAGUE SPONSORSHIPAs a Team Parent you may need to help your team secure a sponsor. A good place to start is by asking the parents on your team. Each team is required to turn in a $200.00 sponsorship . The sponsorship money goes to the league to help with operating expenses and to keep the fees down. Sponsors should have their name on the team banner, and will receive a letter for tax purposes. Your coach was given the sponsorship information sheet and an extra one is included in this packet too. It is a nice idea for you as the Team Parent to also send the sponsor a “Thank You” note and have the coach and all of the players sign it. You may want to include a game schedule and invitation for the sponsor to attend a few games. The sponsor monies are due March 15th, 2011. This year the sponsorship amount is $200.00. Any sponsorship money turned in after your initial sponsorship will go directly to your team. No % Percentage will be going towards West Covina Youth PONY Baseball.

Failure to turn in Sponsorship monies on the due date will result in the manager being removed from coaching his team until Sponsorship is turned in. Sponsorship money may be submitted after March 15, 2011 however, managing and coaching an All Star Team privileges will be forfeited. Sponsorship money and forms should be turned into our Ways & Means Michelle Romero or Treasurer Tony Torres.

The first sponsor will be given a plaque at no charge. Each additional sponsor plaque will be $5.00 each. You are required to purchase a plaque for each additional sponsor.

LEAGUE FUNDRAISERS

FUNDRAISERSDUE TO PAST UNFORTUNATE CIRCUMSTANCES, WE WILL ONLY BE ACCEPTING MONEY ORDERS or CASHIER’S CHECKS PAYABLE TO WCYPB FOR CANDY BUY-OUTS, CANDY SALES, AND PANCAKE BREAKFAST TICKETS. CASH/COINS/PERSONAL CHECKS WILL NOT BE ACCEPTED.

PANCAKE BREAKFAST TICKETSPancake Breakfast Tickets will be given to you. There is a mandatory minimum of 2 tickets per player that must be sold. Please use the appropriate form when turning in money. Additional tickets will be available for purchase at the snack bar February 5th-10th. Please turn in money orders for pancake breakfast money by Thursday, February 10th. A Board Member will be available to collect money on Thursday, February 10th from 6:00pm-8:00pm & Friday, February 11th from 5:00-8:00pm

TEAM BOOTH FUNDRAISER – Feb. 12, 2011 – OPENING DAYThe purpose of the “Team Booth” fundraiser is for each team to raise money for their individual teams. With this money the team can purchase jackets, baseball bags, sweatshirts, etc., whatever the team decides they would like. This is a team effort and will take place right after opening ceremonies. This is NOT MANDATORY. We are asking for all drinks/beverages to be purchased through the snack bar so please do not bring any beverages to sell.

If your team booth is found selling beverages – your team will forfeit 1 game. Please comply by the rules to avoid such consequences for your team.

CANDY FUNDRAISERAll players in the WCYPB league are required to sell candy or pay a buy-out fee. If you are choosing the buy-out option, money & form is due FEBRUARY 19TH from 9:00 a.m. to 4:00 p.m. for all divisions. Candy will be distributed on February 26 th from 9:00am-4:00pm for all divisions. Each Team Parent is responsible to pick up his/her candy for their respective team and to distribute accordingly. In order to minimize pickup time, please arrive for candy pickup during your scheduled time. Please use the appropriate form when turning in money for either buyouts or when turning in candy sales. The top sellers per division (3 box minimum) will be eligible to participate in the Money Booth!!!

Candy money is due for all divisions (EXCEPT PONY) on: March 11th 6:00-9:00pm & March 12th 9:00am-5:00pm. Candy money for Pony will be due on April 2nd 9:00am-5:00pm.

**For those not selling candy, the buy-out cost will be $34.00 and is due on February 19, 2011.NO EXCEPTIONS WILL BE MADE**

PICTURE DAY

Picture Day is FEBRUARY 27, 2011. Your team’s picture time is on a separate flyer in this packet. Players need to be in full uniform and will need to be there 15 to 20 minutes before the scheduled time. The cost for the basic picture package is included in the registration fee. It is always a good idea to remind your players of their picture times, so we will not have any disappointed players left out of their team picture. Please come prepared for your team picture which means have your team line up together, from tallest to shortest. Please check in the board member on duty to let them know your team has arrived.

Additional picture packages will be available on picture day at an additional cost. Have parents come prepared with order forms already completed, check and/or money are in envelopes. LEAGUE PICNIC, COACHES GAME & HOMERUN DERBY

This day is all about family & fun. It’s like having one big family picnic!!! We have manager/coach’s games for the adults and a homerun derby for the kids. The picnic will be on Sunday April 10, 2011, so mark your calendars for this fun-filled all day event! ***You are welcome to bring e-z ups, lounge chairs, bbq’s, ice chests, food & music.

Our league has been invited to attend the Quake’s game on Sunday May 8, 2011. Starting at 10:00am they will be hosting a clinic for all W.C.Y.P.B players attending the 2:05 pm game. IMPORTANT PICTURE DAY INFORMATION

Attention: Coach and Team Parent

1. The league is providing a set of team and individual photos for each player on the team. No forms are necessary for receiving this basic package. Simply show up at your team’s time to have the team and individuals taken.

2. Please bring the correct size and appropriate props to picture day. Example: baseball bats, gloves, banners, etc.

3. The picture day order forms are for extras only (trading cards, extra photos & plaques). Please distribute the picture day order forms to the parents BEFORE picture day so that they may decide which items they want to purchase.

4. Do not collect the forms for your team. Each player must have his/her own form with the payment attached. After the team & individuals are taken the forms will be collected at the product table.

5. Have each player turn in his/her order form to us separately! Additional photos need to be taken for certain items like trading cards, magazine covers, additional picture sets, buddy shots, etc. The child must be present at the time the order is being placed.

6. Payment terms: CASH (obviously preferred), personal check or money orders. Sorry, no ATM cards or credit cards. Parents can pay for all orders of their children using one check. Simply write the check number at the bottom of each form and inform our staff at the product table.

Attention Bronco Graduates

In order to help insure that you are included in the Bronco to graduate group picture that is traditionally included in the yearbook, please make sure that you are available for the group photo on picture day. We will not be taking the group picture later in the season as we have found it difficult to work with the game schedules once the season has started. THERE WILL NOT BE A MAKEUP PHOTO. Please make sure that you are present on Sunday, February 27th in front of the snack bar at 3:30 p.m.

The Bronco Graduate layout traditionally shows a past Shetland and current Bronco photo of your child. Please begin looking for the Shetland picture now. Do not wait until the last minute to begin looking for that hard to find photo.

Bronco Team Moms: Please provide the name of your Bronco graduate and the team he is on no later than February 18th. A list of graduates will be put together so we know who we are looking for on picture day.

Also, please provide your Bronco graduate’s Shetland picture no later than March 20th.

Team Uniforms and Dress Code

FOAL / SHETLAND / PINTO / MUSTANG / BRONCO / PONY DIVISIONS

Players:

Must be in FULL DRESS BASEBALL UNIFORM. Full uniforms for players include league approved pants, league issued jersey, “WC” logo hat and baseball cleats.

The league provides jerseys, pants and hats for players in all divisions. These league issued uniforms including the hat must be worn during all games throughout the season, including play offs. Any team or player not wearing league issued uniforms will not be allowed to play.

Only the following optional uniform modifications will be permitted: Hats in all divisions may be embroidered on the sides or backs ONLY with the individual players name or number. Any Divisions may personalize the back of their team jerseys which shall be limited to the player’s LAST name in BLOCK style lettering only.

**Players are not allowed to wear jewelry or sweat bands on the field. Medical Id’s are the only exception.

Managers / Coaches:

Must be in FULL DRESS BASEBALL UNIFORMS with league issued “WC” logo hats. Full uniform consists of league approved baseball pants, athletic shirt or matching team color t-shirt tucked in, “WC logo hat and athletic type shoes.

Once the game begins only the managers and coaches who are in full dress baseball uniforms will be permitted on the playing field or in the dugouts. Please do not put anyone in the position to stop the game to address improper uniform or too many coaches on the field.

Please Note: Due to particular size requirements of individual player’s exceptions to wearing the mandatory league issued uniforms may be granted. However, any exceptions or modifications to the league dress code for either players or managers/coaches must be approved in advance by their Division Player Procedure and the Purchasing Agent.

FOAL/SHETLAND:The rule is 4 maximum coaches/adults per team. You may have 3 on the field & 1 in the dugout.The team mom may be in the dugout if she is in a matching team color t-shirt & “WC” logo hat.

PARENTAL AUTHORIZATION MEDICAL RELEASE FOR PARTICIPATION IN PONY BASEBALL OR SOFTBALL ACTIVITIES

I, as the parent or guardian of (player’s name) __________________________________,do hereby give my approval for their participation in any and all WCYPB league activities. I hereby grant my permission to managing personnel or other league representatives to authorize and obtain medical care, at my expense, from any licensed physician, hospital or medical clinic should the player become ill or injured while participating in league activities away from home, or where neither parent or legal guardian is available to grant authorization for emergency treatment. I assume all risks and hazards incidental to my child’s participation, including transportation to and from the activities; and do hereby waive, release, absolve, indemnify and agree to hold harmless WCYPB, the organizers, sponsors, supervisors, participants and persons transporting the player to and from the activities, for any and all claims arising out of an injury to the player. I further agree to furnish a certified birth certificate for the player, upon request of league officials, and to return upon request the uniform and other equipment issued to the player in as good a condition as when received, except for normal wear and tear in league activities.

A. NO BOARD MEMBER, MANAGER, COACH, PLAYER OR SPECTATOR SHALL:

1. At any time lay a hand upon, push, shove, strike, or threaten to strike an official.2. Be guilty of objectionable demonstration of dissent at an official’s decision by throwing of

gloves, helmets, hats, bats, balls or any other forceful unsportsmanlike action.3. Be guilty of heaping personal verbal or physical abuse upon any official for any real or

imaginary wrong decision or judgment.4. Be guilty of using unnecessarily rough tactics in the play of a game against the body of an

opposing player.5. Be guilty of physical attack as an aggressor upon any Board Member, official, manager,

coach, player or spectator.6. Be guilty of abusive attack upon any Board Member, official, manager, coach, player or

spectator.7. Not use profane, obscene or vulgar language in any manner at any time.8. Appear on the field of play or in the stands at any time in an intoxicated condition.9. Be guilty of gambling upon any play or the outcome of any game with anyone.10. Smoking while on the playing field or in the dugouts.11. Be guilty of discussing publicly with spectators in a derogatory or abusive manner any play,

decision or his personal opinion on any players during the game.12. Managers or coaches should not mingle with or fraternize with the spectators during the

course of the game, but shall remain on the player’s bench or on the field of play throughout the game.

13. Speak disrespectfully to any manager, coach, official or representative of the league.14. Be guilty of tampering or manipulation of any league rosters, schedules, draft options or

selections, official score books, rankings, financial records, or procedures.

B. The umpire(s) shall have the authority and discretion to penalize the offender according to the degree of the infraction. This would include a warning to the removal from the game and/or field area.

C. Removal from the game or causing a forfeit is an automatic shift in the snack bar. This shift cannot be served while suspended and must be completed before being allowed to return to your normal duties.

D. The Board of Directors will review all infractions. Depending on the seriousness of the frequency of the infractions(s), the Board of Directors may assess additional disciplinary action. The guidelines for handling disciplinary action are outlined in the PONY Baseball, Inc. Rules and Regulations.

E. Repeated infractions may result in dismissal from the league.
