TEAM INVITATION On behalf of the Austrian Ski Federation, the Stubai valley and the Stubai Glacier ski resort, we are pleased to invite all teams to attend the FIS Freeski World Cup Stubai. The event will be held in accordance with the International Ski Federation (FIS) rules for competitions & World Cup from November 18-21, 2020. The event starts on Wednesday, November 18, with the first official practice. Another official training is scheduled for November 19. Friday, November 20 is the qualification day for men and women. Finals take place on Saturday, November 21, 2020. There is no reserve day in case of bad weather.

COVID-19 SITUATION In order to ensure the health and safety for the athletes and team personnel, the LOC is working in accordance with the Regional and National Health regulations as well as with FIS in accordance with the FIS COVID-19 Prevention Organiser Guidelines together with the World Health Organisation (WHO) information and recommendations. The LOC and FIS Event Task Force has been established and is monitoring all developments. The corresponding arrangements are currently being put together in a separate document. This will be published and communicated by the LOC at a later stage. All competitors must have their own medical insurance(ICR art 212) which shall cover COVID-19 medical treatment expenses. Updated COVID-19 relevant medical procedures that may be required will be communicated whenever relevant.

REGISTRATION Entries will only be accepted from National Ski Associations following FIS

quotas and rules for slopestyle events. Entries are open now and must be

submitted to the OC using the FIS online registration system within the

mentioned deadlines and please keep in mind the 60 day deadline (21 of

September) as maximum field sizes will be applied if needed as by new W.C

rules. Please read carefully the W.C. quota sheets and procedures.

Please make sure that all athletes have a valid FIS license.

The World Cup rules are available on the FIS website.

LOCATION The Stubai valley is located roughly 15 km from the Tyrolean provincial capital, Innsbruck. The valley extends more than 35 km deep into the mountains cape of the Stubai Alps, where the glacier ski resort „Stubaier Gletscher“ is located. The Stubai Glacier is home to one of Europe's finest terrain parks, the “Stubai Zoo”, which has earned an excellent reputation within the international freestyle scene.

MORE INFORMATION

ACCOMODATION Team accommodation at CHF 80,- per day per person according to the FIS

World Cup rules will be offered for the dates of the official program. Additional

officials or accompanying persons and staff will be charged with CHF 110,-

per day per person. According to World Cup rule 2.2.1.3.

For all bookings please contact the tourism office directly.

Please note that accommodation at the FIS rate is available for the dates of

the program only:

Early arrivals and late departures are subject to availability and are not

available at the FIS rate.

The rate has to be paid directly to the tourism office. Any extras must be paid

by the teams or athletes themselves. A credit card is requested at your arrival

at the hotel for deposit. If applicable, parking fees have to be paid at the hotel

directly.

The FIS rate can only be guaranteed for bookings made until September 21,

2020.

PARKING & TRAFFIC Parking at the bottom station of the 3S Eisgrat cable-car is free of charge. On the competition days, there will be a dedicated parking area close to the

entrance for athletes and officials only.

The required parking permit will be handed out at the registration.

Please be aware of traffic jams in the mornings on the road from Neustift to

the lift station (20 km distance).

Without traffic jam it takes around 30 minutes to get from Neustift to the

bottom station. From there to the venue it’s another 30 minutes.

ACCREDITATION Registration and accreditation will be held at Location to be announced, on Nov. 17 and 18. Please see the official event schedule for registration times.

All competition participants (including competitors and officials) must report to

the registration office for check-in before proceeding to the competition venue.

If you are planning to bring a media team with you or know of someone

wishing to cover the event, please note that they must be accredited by the

Stubai Freeski World Cup media office. This applies whether they are editorial

media or filming for promotional purposes.

Media accreditation requests prior to the arrival would be appreciated.

ENTRY FEES An administrative fee will be charged for each World Cup competitor.

This fee will be refundable should the event be cancelled.

All fees will be collected upon check-in at the registration office.

We accept debit and credit cards as well as cash.

The administrative fee is CHF 120,- (as per FIS rules) per competitor.

LIFT TICKETS Lift tickets will be provided to all competitors and team officials for official

training and competition days and will be distributed at the first team captains’

meeting.

The number of free lift tickets given out to team officials will be relative to the

team’s size (as per FIS World Cup rules).

Please note that we have to collect € 2,- per lift ticket as a key card deposit

(cash only). Old Stubai Glacier key cards can also be returned.

BIBS All competitors must wear bibs during all scheduled official trainings,

competition and at the award ceremony. Training and competition bibs will

also be allocated at the team captains meetings. A deposit of € 20,- per bib will be required in cash at the first team captains’

meeting.

COMMUNICATION & SOCIAL MEDIA We would love to share your stories from the first ever FIS Freeski World Cup

Stubai and would thus be grateful for you to join in on the conversation by

using the hashtags #stubaiworldcup and tagging @stubaiworldcup in your

social media activities. If you would like to distribute your highlights of the

event, please don’t hesitate to get in touch with our media managers, who will

try their best to make footage available to you.

ANTI-DOPING Anti-doping control testing may be conducted in accordance with the rules

and regulations set forth by FIS.

ACCIDENT INSURANCE All competitors must have their own medical insurance.

The organizing committee, sponsors, suppliers, their agents, employees and

volunteers, the FIS and the Austrian Ski Federation decline any responsibility

for accidents, damaged or lost equipment and second and third party claims

during the event.

LIABILITY All athletes, officials and members of National Associations who attend and

participate in the event shall do so at their own risk.

The organizing committee, sponsors, suppliers, their agents, employees and

volunteers, the FIS and the Austrian Ski Federation shall not be responsible

for any losses or injuries incurred or suffered by any athlete, official or other

person in conjunction with the organizing and staging of the event.

FIRST TEAM CAPTAINS’ MEETING The first team captains’ meeting will be held on

Tuesday, November 17 , 7:00pm CET at

Hotel Happy Stubai, (location tbc) Wiesenweg 16,

6167 Neustift im Stubaital.

TRAINING The official training days are scheduled for November 18 and November 19.

Additional training will take place before each heat during competition, on

November 20 and 21.

SANCTIONING Athletes must have a valid FIS license to compete.

AWARD CEREMONY Flower and medal ceremonies will take place on the mountain immediately

after the competitions’ final. Podium placing athletes are obliged to attend

these ceremonies and should be available for media interviews and athlete

signings immediately after the awards.

PRIZE MONEY The total prize purse for Slopestyle is CHF 50,000 per FIS rules and

payments. The prize money breakdown is in accordance with the FIS rules

and all money transfers will be made electronically within 3 days after the

event.

In order to make the money transfers, we ask all athletes who qualify for the

finals to provide their bank details, home address and a copy of their passport for verification. These details need to be provided to the organizing

committee in written form on the evening before the finals.

Data Protection Declaration FIS / IBU World Cup- and World Championships-Events in Austria

1. Personal data:

Protecting your personal data is important to the Austria Ski Veranstaltungs GmbH, in particular, protecting your personal rights when we process and use your personal data.

Below, we inform you about the collection of personal data when you are participating in FIS/IBU World Cup- and World Championships- Events in Austria. The term “personal data” includes all data relating to you personally.

We process personal data in accordance with the provisions of the EU General Data Protection Regulation (GDPR) and the Austrian Data Protection Act (DSG). We inform you below for what purpose we do process your data (purpose of the processing) and upon what legal basis.

2. Affected persons, purpose, legal basis

Team members (athletes, attendants, coaches, service people, etc.) for accreditation and room booking

All team members (athletes, supervisors, trainers, service, etc.) attending the event will be processed as follows:

• Personal data: name, gender, date of birth, address, country, contact details (e.g., telephone, mobile, fax, e-mail) • Results lists and other data necessary for the practice of competition sport • Data for arrival and departure • Flight data / flight number regarding pick-up / shuttle service • Bank data for travel expenses • Photos

The processing of these data is for the purpose of preparing for and conducting sporting events, in particular World Cup- and World Championships- Events, as well as the result and information service. The data is needed for administrative tasks such as event registration, accreditation and room booking.

The legal basis for this is the consent of the data subject pursuant to Article 6 (1) (a) GDPR and our legitimate interest in accordance with Article 6 (1) (f) of the GDPR. Our legitimate interest lies in the above purpose. The above data will be stored for 7 years if needed for future accreditation, otherwise the data will be stored according to legal requirements.

Athletes for prize money payment

We process the following data of the athletes who receive prize money:

• Personal data: name, gender, date of birth, address, country, contact details (e.g., telephone, mobile, fax, e-mail) • Cash settlement and payment data (e.g., cash settlement, bank details) • Results lists and other types of data necessary for the practice of competition sport • ID Card Copy

The processing of this data takes place for the purpose of paying out the defined prize money of FIS / IBU World Cup- and World Championships- Events.

The legal basis for this is the fulfillment of a legal obligation pursuant to Article 6 (1) (c), the consent of the data subjects pursuant to Article 6 (1) (a) GDPR and our legitimate interest pursuant to Article 6 (1) (f) GDPR. Our legitimate interest lies in the above purpose. The above data is stored by us for 7 years (as provided in § 132 BAO).

3. Data security

Austria Ski Veranstaltungs GmbH has taken appropriate technical and organizational measures to protect your personal data, which protect the data, against accidental or intentional manipulation, loss, destruction and unauthorized access. The measures taken are subject to regular review and are constantly updated.

Notwithstanding the efforts to maintain a consistently high level of due diligence, it cannot precluded that information you share with us over the Internet will be viewed and used by others.

Please note that we therefore accept no liability whatsoever for the disclosure of information due to non-caused errors in data transmission and / or unauthorized access by third parties (eg hacker attack on Email account or telephone, interception of faxes).

4. What rights can you assert?

Every data subject has the right to access in accordance with Article 15 GDPR, the right to rectification in accordance with Article 16 GDPR, right to erasure in accordance with Article 17 GDPR, the right to restriction of processing in accordance with Article 18 GDPR, the right to object arising from Article 21 GDPR and the right to data portability arising from Article 20 GDPR. The data subject has the right to revoke the data protection declaration (Article. 7 para. 3 GDPR). Please note, that in order to exercise these rights, you must prove your identity in an appropriate form. Without this evidence, there could be a risk that unauthorized persons may access or dispose of your data.

5. Disclosure of data to third parties / data recipients

Basically, we do not share personal information with third parties. However, due to the association's agenda, legal obligations and the complexity of today's data processing processes, it is sometimes essential that we pass on data to third parties (see also point 2 above). If you would like to know more about how and to what extent we process or pass on your data in your specific case, please contact [email protected].

For the processing of personal data, we sometimes use processors. We have concluded a processing contract with all of our processors in accordance with Article 28 (3) GDPR. In addition, we have assured ourselves that we only work with processors who have implemented appropriate technical and organizational measures to ensure processing of the data in accordance with the requirements of the GDPR and the protection of the rights of data subjects.

Depending on the case, the personal data mentioned in point 2 may also be transmitted to the following third parties who are not our processors:

As part of the preparation and execution of sporting events, you must provide us with the personal data necessary for the preparation and performance of sporting events. Your personal data may be used for the promotion of events and without this data you cannot participate as a team member in the sporting event.
