`Rotary InternationalDistrict 2451 Awards 2016-2017

District 2451 Awards Committee in its fourth year tried to update the rules and criteria of the Awards so that it would reflect the RI and District goals, emphasize on the 6 areas of focus and support Public Image.

Awards competitions for 2016-2017will be as follows:

1- Membership Development and Rotary Awareness Award.2- Public Image Award.3- The Rotary Foundation and Peace Award.4- Vocational Service Award.5- Club Administration Award.6- Humanitarian Service Award.7- New Generations Award.

Rules and Regulations:I- All Clubs in District 2451are eligible to participate, provided that they have no

pending financial obligations towards Rotary International or to our District.Note:In a modest effort to keep our Rotary image up to the desired standard, the District Governor might decide to disqualify any club from receiving certain and/or all awards if the club has engaged in any activities against Rotary, this might include publishing articles or speeches in the media or newspapers against Rotary.

II- All Club reports should cover the service period from 1st of July 2016 until the 30th of April 2017. (In case that the club will have ongoing projects after 30 th of April 2017 , these projects can be reported provided that proving documents will be attached).

III- Participating Clubs should download the required forms from the Awards page on the District website www.rotaryd2451.org using the user name and password of the Club Administrator.

IV- Clubs should thus submit their reports “in English or Arabic Language”only to the Club Awards page using the correct procedures and forms.

V- Other documents of any format such as photos or audio-visual materials can be uploaded as project’s attachments to the Awards page by a maximum of 10 word file attachments (maximum total size is 12 MB for every Award, including attachments).Or these documents can be added as hyperlinks to the desired materials, where they are uploaded to the district club page or club google drive (unlimited)

VI- The schedule of reporting and deadlines is as follows:

May 1 st : Membership Development and Rotary Awareness Award. May 3 rd : Public Image Award. May 5 th : The Rotary Foundation and Peace Award. May 7 th : Vocational Service Award. May 9 th : Club Administration Award. May 18 th : Humanitarian Award May 20 th : New Generations Award

VII- This schedule should be followed in order to avoid system lag. Kindly note these deadlines carefully. We are sorry to emphasize that by the end of each of the deadline periods, uploading of new documents will not be permitted. Please upload the awards before the deadline. The Club AG will review them and state their comments no later than 48 hours after deadline. If for any serious unforeseen reasons the AG won’t be able to comment on the awards, the AGC will comment on the awards presented. The club president has to make sure that the club AG has been notified that the club has submitted an award for his comment.

VIII- No hard copies are required. As stated in the Club Admin Award criteria, it is encouraged that club bulletins should be sent regularly through mail to the DG; AG’s; other clubs and District Awards Committee Chairperson.

IX- The attached photos to the awards questions have to include the photo date and the projects photos have to include the club name and Rotary wheel.

X- Clubs are encouraged to start submitting their awards reports on the District website as early as possible and on completion of each of their activities. Any reports and/or documents uploaded to the District website can be edited, changed or deleted anytime, before the reporting deadlines.

NB: All Clubs should comply with the Ministry of Social Solidarity rules and have no financial or administration liabilities .

XII- Assistant Governor (AG) must log in to the District website.www.rotary2451.org using his/her user names and passwords, at the Awards page and for each award, AGs can:- Add their comments directed to and seen by their assigned clubs.- Add their comments directed to and seen by the District Awards committee

chairperson “must”.

XIII- Website Chairperson issues the required passwords for every Club. The Club Administrator may use his/her email address as the username in order to retrieve the password.

XIV- After celebration and distribution of awards, the details of all awards will be available online for downloading by all Clubs to enhance sharing of experiences and to facilitate training.

XV- High Awards of Recognition would be awarded to each of the clubs whose contribution was outstanding and attained at least 85% of the total criteria points.

XVI- Certificates ofExcellence will be awarded to clubs whose projects are outstanding and attained at least a score from 75% to 84% of the total criteria points for the award.
