We wish to acknowledge this land on which the University of Toronto operates. For thousands of years it has been the traditional land of the Huron-Wendat, the Seneca, and most recently, the Mississaugas of the Credit River. Today, this meeting place is still the home to many Indigenous people from across Turtle Island and we are grateful to have the opportunity to work on this land.

Eaton: I've been planning events, and I heard back and got a lot of engagement about the events which is awesome. I heard back from all of the speakers that I wanted to get and got their fees and we’ve entered the negotiation phase, I’m trying to get the best rate for Woodsworth students. I've heard back from students for barrier free access and WINC and they want to do a few events together this year which is exciting.

Andrade-Dixon: I’ll be sending my edited budget to the executive committee for it to be approved and I have to reach out to Yolanda as well.

Zamani: It’s been a non-hectic month for the portfolio we finally ordered our own WCSA envelopes and were in the process of planning the August board meeting and mid August I'll be sending out tentative dates to plan for the meetings of the first few months of the semester. I've also been tending to housekeeping stuff.

Dos Santos: I would like to stress how important it is to submit board reports so if you don’t submit a written report we expect you to do an oral report, but for the upcoming year we would really like written reports. It’s also important to review other director’s reports before the meeting in case you have any questions for that director.

7. Equity Committee Statement BIRT the Woodsworth BoD approve the new Equity Committee statement as presented in Appendix 1.Moved: Aghaeinia Seconded: Andrade-DixonMotion carries.

Ali: I added clubs into it. The only thing that changed is that I separated the part of people who are part of WCSA and those who aren’t. In the past, they all had the same regulations but if someone is a VP for example, they don’t have to do certain things. Other than that, I let three clubs join the committee.

8. Off Campus CommitteeBIRT the WCSA BoD strike the Off-Campus Committee for the 2018-2019 term. Moved: Lee Seconded: BolissianMotion carries.

Lee: I would like to strike an Off-Campus Committee for the upcoming academic year. Over the past few years, the Off-Campus Committee has played an essential part of the Off-Campus Directors’ mandate. This year, Katie and I plan to continue having WCSA Wednesday pancakes events on a weekly basis. This relies on a dedicated team of students to run it and having an Off-Campus Committee will ensure that it is regulated and organized. As a group, we will also aim to provide input and brainstorm events catered to off-campus students throughout the year. Since many Woodsworth college students are commuters, it is important that we represent and serve to their interests. As a committee, we can also represent and speak on behalf of off-campus students’ opinions and concerns. This committee would be chaired by the Off-Campus Directors and is open to all Woodsworth students, as well as the WCSA directors and VPs. This would be a CCR-approved role provided that students fulfill the necessary requirements such as meet the attendance and compose a reflection paragraph by the end of the year.

Dos Santos: Our office staff Stephanie who we hired has left and she will no longer will be working with us unfortunately but we did hire another candidate, Mishi, who will be working with us Tuesdays and Thursdays, so our office hours did change for the rest of the summer to two days a week.

Dos Santos: I sent you all an email with some questions for you to consider about your goals for the year. Unfortunately, we did not have time to share our goals at the end of the budget retreat but I was hoping we could all share today with the board one of your goals for next year, some challenges you anticipate, and resources you will need so I can get an idea of the plans for the year. As our college association’s presidents, I am meeting with the leaders of other groups such us the SGRT so my goal is to make sure I am present as these meetings and if I am not able to go, to make sure I have a representative and make sure our students’ voices are heard which means I need to meet with all of you, as well, so if anyone would like to meet with me please send me an email.

Gallant: Speaking on behalf of the socal portfolio, our biggest goal is to increase event attendance but more specifically we want to get more people involved in our student association specifically by targeting the first year population and this happens during orientation by getting you guys involved, interacting with the first year students and, getting them involved in our organization.

McDaniel: One of my past goals is to strengthen some of my networks and get to know with more of the people I'm working with, more of an in depth approach . a deeper collaboration with APUS is necessary for my goals.

Aghaeinia: My goal is kind of a long shot because it requires every other student association to collaborate. I want to make sure there is a network of equity directors to work together and create a network in case there is an issue that doesn't necessary relate to Woodsworth college but I am aware of it then we can communicate easily because as of right now there are only a few colleges we have direct contact with in terms of equity so finding them would be nice.

Eaton: Most of my goals are running successful events, at least four and one exercise class. I would also like to create a network and work with other colleges and strengthen relationships with other colleges’ mental health commissioners and get Woodsworth students to be a larger input in the mental health portfolio.

Bhatia: My biggest goal is to promote as much as possible. Having only two people promoting for an association is difficult. Promotions will become very busy when the year starts so it would be great if you could start submitting your requests now.

Andrade-Dixon: I guess just to stay on top of time management and making sure I have everything done knowing I have UTSU resources at my disposal.

Jeong: One of my goals is to stay as neutral as possible when it comes to the political arena of Woodsworth, trying my best to stay a good source of information about WCSA and other campus matters. If you have any questions please let me know- I’ ll stay as open as possible feel free to email or message me.

Lee: One of my biggest goals is to reintroduce the Commuter Appreciation Week and I think one way of following through on that is by communicating well with other colleges and maintaining

a solid communication with the OCC committee. Katie relayed that she wants to increase OCC membership and improve communication with other colleges.

Wu: I want to make sure that I drop by office hours as much as I can and make sure I pick up anything that needs to be expensified at least a week in advance.

Jin: I've been working on a coffee crawl, and I've been in contact with the Princeton Review. In previous years there was a low turnout and I think that was mostly due to the date and the weather. I'm thinking of doing it in September so my plan is to get this planned as far in advance and reduce the workload for next year's directors.

Ridley: I got done the Mature Students certificate- it was very tedious and time consuming but I finally got it done. I'd like to present it to you and I will present it to Janice and hopefully get it CCR recognized. I also would like to talk to the dean's office and hopefully plan an event in the fall introducing mature students to all of the opportunities available with them. Also, a possible collaboration with APUS as well. WCSA puts on great events and I know it's hard to get mature and part time students so I would like to advertise specifically to those students. The gala was a great time but I was one of two mature students who showed up, even if they turn up to one each term just to get the numbers up.

11. Budget Proposal BIRT the WCSA BoD approve the budget for the 2018-2019 school year. Moved: Zamani Seconded: Dos SantosMotion carried.

Saha: A screenshot of the budget is attached in the appendix(2). Mental health portfolio has asked for an additional $200 to their portfolio to reflect the speaker costs for their events. Apart from that, $250 has been added to the election budget line under the president portfolio. While increasing gala honorarium was discussed, we have currently budgeted to pay the coordinators from November to March for $100 per month and a $500 upon successful completion and coordination of the event. I believe this timeline still allows ample time for planning and booking venues and handling the other tasks related. We begin our hiring process in October and I am not sure if pushing that earlier would be something we want to pursue. If it is then we would have to add an additional $200 to the honorarium budget line to cover October. Everything else discussed including The Howl Mag’s proposal (attached as well) for their new event was approved during the budget retreat and remains to be the same unless today’s discussion leads to any amendments. Currently, both expenses and revenues are projected figures. Based on previous budgets, we have had terms were we didn’t actually end up in the black (deficit) as it was projected. Costs have increased and with minimum wage increasing, all our portfolios had to account for inflation.

Eaton: I just noticed- Shreyashi and I had spoke about adding to the mental health portfolio and she proposed that I moved a $100 from my accessibility budget to my speakers budget and they would give me an additional $100, but shes actually budgeted me $1010, that may be the buffer but I’m not sure. I think she added $200, which is fine because that can be a buffer.

Zamani: You can discuss that with her, maybe it was a miscommunication.

Dos Santos: We can pass the budget as is and then amend it at the next meeting if need be.

Aghaeinia: My own budget does include the buffer and it's not always 10%.

12. Mental Health Portfolio Budget AmendmentBIRT $100 accessibility budget is reallocated from the "accessibility" budget in the mental health portfolio to the "events" budget.

BIRT $100 additional is added to the "events" section in the Mental Health portfolio, making the tool $910, previously reported at $810.

13. Other Business

Bhatia: One of my goals is to improve communication this year, and you all have your own portfolio that you know best and it’s difficult to get word across to all the demographics of students. So my question is do any of you have any recommendation of how I can better reach students? For example, Ali suggested a specific equity notation to let students know that events are accessible. Please let me know, if you’d like to meet with me. We’re going to start putting up posters around Sid Smith, if you’re going to chestnut come pick up some posters and put them up there so we can get better reach and attendance.

Gallent: I used to get a lot of updates from my WCSA social media pages so maybe we should be taking steps to get better following on social media. We could promote as an ad on instagram if we have the money.

Bhatia: If there’s an event that needs a little more promotion on facebook, we already pay for it as an ad. That’s a great idea thank you.

Ridley: In terms of social media, how would you rank them in popularity?

Bhatia: Instagram. It’s pretty close with Facebook. On instagram, our engagement is usually the same from post to post. On facebook, it fluctuates. I don’t remember the last time we used twitter. We used snapchat a lot but we don’t have a lot of people on there.

Gallant: We should promote the social media handles during orientation.

Bhatia: One of our giveaways asks people to follow us on instagram, snapchat, etc. We try to lead all traffic back to our website, it’s what we pay the most for so we want people going back to our website.

Ridley: Does the newsletter go to everybody?

Bhatia: Yes. Right now, it only goes to summer students, those who are registered for summer semester and same for the fall. We only send it out when we have enough content.

Eaton: We cant pay to advertise to like our page but we can invite people to like our page as board members. On our posters, we can also include the accessibility options that are available. I was speaking with a member of APUS who was saying that events in the evening and events with alcohol are difficult for mature and indigenous students, so for frosh we should clarify which events are dry events very clearly. We can make it clear if there will be ASL translators, where the nearest gender neutral bathrooms, etc.

Bhatia: That’s a great idea. The alcoholic events are mostly red party, our formals/semi formals, and boat cruise. Invite students who are not just Woodsworth students because lots of our events are open to everyone. Try sharing our events and encourage your friends to come as well.

Jeong: For orientation last year we really utilized the opening ceremony since all the first years are there and we can get them to follow all the social media. You can say first three people to like all of our social media get a gift certificate to the bookstore and that way you can really help to jump start our following.

Aghaeinia: I've talked to a lot of students who don't follow us anywhere and in order to get those involved maybe we should use older methods of advertising. A student who thinks being part of Woodsworth is just for the registrar, they would look past our posts. Putting up posters is a great idea for people passing in the halls, but also maybe handing fliers to them the way we do in election season, actually stopping them. Maybe for some events that we want to advertise like that we can get some directors involved.

Dos Santos: Maybe during WCSA Wednesdays. Or during other events, we can advertise for future events.

Bhatia: I do like that but we do want to be eco friendly. We do have cards that we can hand out and you can talk about all of our extensie services.

Gallant: If we have the time for it and people who want to do it, in person promotion can be a very valuable asset to us. Forcing people to interact with an actual person as opposed to a flier on the wall, I think there's a lot of stuff we can do with that

Dos Santos: Promoting by word of mouth is one of the most valuable things we can do.

Ridley: Last year, while were in the office, if we were to take just 15 mins and going into Kruger hall and just chatting with people...

Bhatia: Maybe we could set up a table out there, put our cards and pens.

Dos Santos: Yeah, we can think about having our office hours outside the office.

Zamani: The TVs in Kruger Hall are very effective. People come in there to study, there’s other organizations events. We could put WCSA wear and events up there. People will see it whether somewhere can be there or not.

Bhatia: I’ve already reached out to someone about Kruger hall, we haven't used it in a long time so I’m trying to get the tech stuff and content together.

Eaton: Word of mouth is so important. And the online version of that is people making their own posts. A photobooth with a frame with our handle could be great since other people like those photos and we could grow our following that way.

Andrade Dixon: A geofilter would be great.

Eaton: Even if it was just on WCSA wednesdays.

Bhatia: we usually have geofilters for events but we don't have an ongoing one because it's very expensive

Gallant: I know we were talking about sid smith but have we thought about promoting WCSA outside of Woodsworth where we would have big groups of Woodsworth students, like con hall.

Bhatia: We only have access to certain bulletin boards so that’s not something we can do. Even in the residence, it needs to be approved we can't just go in and put up our posters.

Eaton: I work at chestnut now, and last year they had a woodsworth floor and I can find out who that is this year and get them in contact. If we can have that person pick up posters every so often, that would help with their job and promote our events

Gallant: I was residence director last year and I tried to hammer home collaboration between WRC and WCSA and I've amended both bylaws to promote that and hopefully we can hammer that home when we get a residence director. But I like the idea of targeting groups that would include a lot of Woodsworth students, such as the criminology programs. The more we can do “trendy” events like WCSA wednesday, the more we can spread word of mouth.

Ridley: Speaking of trendy, have we ever done a toga party?

Zamani: They usually tend to get out of hand and they give off a bad image.

Eaton: We could think of something similar, a themed party.

Gallant: send me and Pooja any idea about themed parties.

Dos Santos: Let Sanaya and Matthew know about any other ideas.

UpdatesBhatia: I have a meeting with Janis next week to discuss WCSA on the new Woodsworth website I’ve been talking to Bamdad about promoting WCSA on e-mentorship, etc. I’ve been working a lot on orientation- we just finished taking photos with OMC and OEC. We’ve talking about how to get more WCSA execs out there in terms of promotion, maybe their photos put up outside the door. We’ve been managing a lot of internal communication lately. I’ve been meeting with Matt, we were working on the budget. I finished the budget- it’s a bit different than last year. I wanted to get your opinion on one thing.

Dos Santos: Since we had our last executive meeting and we had our board meeting where we appointed an upper year director, Adrienne, part time students, Michael, and financial affairs, Jenny. I as well as Sarah will be meeting with them to go over their roles and goals for the summer. I had a meeting with Janice and Lisa to go over our goals for the year, and we will be working closely with the dean’s office over the year. We discussed charging stations and we will hopefully have more information about that in August. Hopefully we will have these charging stations around the college and in the residence lobby by the end of the summer. We also discussed the opening of room 107 where there are some new study rooms and resources. That will be a great area for our meetings, club meeting- I will have more info for you coming up on that space. Let me know if there is anything you want me to bring up. I did meet with Principal Jo today- we talked about a lot, especially the moving of criminology and legal studies to the

college. I finalized my budget as well . I’ve been helping my mentees with their budgets and I’ll speak more about our office staff and hours later on.

Navlakha: There's not much for the athletics portfolio- the flag team is in the semi finals now which is awesome. Apart from that I will start planning the welcome barbeque which I’m thinking of having that a week after orientation for a change. I’m also looking at game options.

Murali: It’s been hard for me to attend OEC meetings because I’m working full time now. I’m making a point of meeting the OCs every week and keeping in touch with the rest of OEC to make sure they’ve been working. Andrew seems to be on top of sponsorships. I submitted my budget to Shreyashi. My question is how much we should budget for winterfest.

Bhatia: Take a look at Christine's budget since I know she took part in it a few years ago.

Dos Santos: For homecoming, most colleges set aside $500-1000, but take a look at past budgets. I think we need to participate in winterfest this year since it’s one of the only events for everyone to collaborate. I have set aside funds for homecoming, personally I think we should be collaborating for it. I know there has been some criticism of the way it’s been organized in past years but this is one of the events that all the divisions on campus participate in. Homecoming is in the fall-in the past we had a varsity football game. Last year the theme was corn-coming. There were a lot of students who did come- it was a nice social event at the beginning of the year.

Navlakha: Do any colleges owe us any money for any collaboration events?

Dos Santos: Last year, we were waiting for some funds back from other colleges since we made some purchases, but we did receive all the money.

Bhatia: What other major events do you have planned at the start of the year? If she has a first year social, thats why she probably doesn't want to do homecoming. Since homecoming’s collaborative, I think we should do it.

Murali: Should I budget for it then?

Dos Santos: I have budgeted for homecoming.

Saha: I have been busy reviewing budget proposals and discussing about them with our directors. Along with this, I have been getting our new associate director acquainted to our system with the help of Sara. We have sold 89 early bird tickets, 59 boat cruise tickets and 13 residence add ons. I have also been in discussion with our OC’s regarding the financial aspects of the week and we

have been making deposit payments for many of our events scheduled for the week. Budget retreat is on July 18th at 5pm in waters lounge. I am hoping everything goes smoothly!

3. OMC Updates

Dos Santos: We met with our OCs yesterday and they gave us updates about what their OECs are working on. Andrew has been reaching out to sponsors- we did receive coupons from one of our sponsors already. We will be checking in with him who he has contacted by email. He did go in to all of the local sponsors to meeting with them in person. Faye has been keeping track of ticket sales and helping with social media outreach and promotions. She has been working with Noah and Andrew as well. Sean had a meeting today with Janice and Caroline to discuss the head leader session at the end of this month which is more of a social. They were meeting to discuss the head leader social- the dates have been confirmed were just waiting on location confirmation. The head leaders will be reaching out to their groups and talking to the leaders about JOLT. Videa is waiting for our shirts to come in so we can take more photos. We are confirming if the Howl will be having an orientation week edition and if they will be putting an edition in the kits. We will be having a separate guidebook. I will follow up with Simran to see which clubs will be participating in our clubs fair. RISK, WINC, and ASL have confirmed, were just awaiting some other responses. We have been in discussion with the OCs about how to organize registration. We will be changing some things from last year to make sure it runs smoothly and students aren't confused. We were also discussing at the door ticket sales. We were able to promote orientation at the e mentorship meetup which happened past Saturday. We are hoping to sell out of early bird tickets soon. We have also been finalizing details for photobooth. Noah confirmed that we don't need to apply for a noise permit this year and we finalized communications plan. I have a parade meeting tomorrow to discuss the UTSU parade.

Bhatia: At the door ticket sales will be at WCSA office even though registration will be in student lounge.

Dos Santos: The UTSU will be attending the blue jays game instead of having a club night. Noah attended first aid training, every one else who needs to will be attending training in August. There will be a few adjustments made to the schedule- our mystery event will be taking place after bed races and we will include the blue jays game in the schedule which is on Friday.

4. WiNC Budget ReallocationSaha: In their preliminary budget, WiNC had budgeted $250 for their pride picnic. However, the event got cancelled and they would like to reallocate this fund to their orientation supplies budget line. I have included their budget for your perusal. The team had initially incorrectly estimated the number of orientation kits they would need to prepare, hence through this move they would be able to accommodate for the necessary supplies.

5. Summer Office Staff and WCSA Office HoursDos Santos: We’ll have a more detailed update at next meeting but i just wanted to let you know this situation. Steph, who we hired in May, has asked for some time off for personal reasons. She will be returning on the 16th, and we’ve decided to hire a second office staff just in case something comes up and we need to have the office open. We hired Mishi, she was one of the applicants in May so due to last minute, she was well qualified having served on the board in previous years she was familiar with services and office functions. She will have our office open for regular hours for this week. She will be covering Tuesdays and Thursday’s when Steph returns. We are hoping to have the office open for the regular 20 hours splitting those hours between the two. Sarah trained Mishi on Monday when she started and we are really happy to have her working here. We may be changing the hours slightly based on Mishi and Steph’s schedules but again keeping it open for students to come in and ask about our services and have access to the office.

6. WCSA Promotional Video Bhatia: On our site we have a promotional video made by Amanda last year- it's a great video and I don't want to remove it but it doesn't have our current executives in it- I want to make a video that can stay for a long time so I want to make it not focused on execs and directors. What is your opinion?

Dos Santos: A promotional video is a great idea- it was a great way for students to know who the execs and directors are but I do understand why we wouldn't want to use it again this year since many of the directors graduated. Maybe we could have executives as well as other students.

Bhatia: It costs us close to $300-500 every year to make a video so I don't think we should make a video every year- I think we should make one that we can use for several years.

Dos Santos: Maybe we can talk generally about WCSA is and what it does. If we have directors speak, maybe we don't have to have their name and title and they can speak more generally about WCSA rather than what they do specifically so we can reuse it. Dos Santos: Maybe have for example Keshini talk about athletics but not what she’s specifically doing this year.

Bhatia: The camera WCSA has is old but it’s pretty expensive to buy a new camera. We’re budgeting money to make a video so would it make sense to put that budget toward a new camera rather than the video every year. Perhaps a new lense.

Dos Santos: We did buy this camera fairly recently so I'm not sure if we want to do so yet.

Bhatia: A good enough lense would cost us $200-300.

Dos Santos: I like the idea of having a video that we can use in future years but it is nice to have a video that introduces specific directors for the year.

Bhatia: I want to do a promotional video but I don’t know if the next VP of public relations will, so I think it's something we should have. We can table this since we have to have all of the directors present for the video anyway, which will be in August.

7. Howl Event ProposalSaha: Sena has reached out to Simran and I regarding an arts and culture event that she passionately wants to organize. She wants to rent a venue and put together an arts and culture event showcasing up and coming artists. Her proposal included expenses such as venue, artist fee, decorations, food and disposable camera/instax rental. From the initial proposal she has provided, the event did not appear to be something that we could possibly finance without having collaborators. We did not have accurate quotes and just vague estimations, however I can imagine it to be more expensive than we would like. I had expressed this issue to Sena and she is now in discussing with her team to reduce her printing costs to accommodate the expenses of this event. She wants to cater her event to 100 people at least to start off. I am thinking of recommending to only print one issue then produce the rest online. I think her idea is interesting and different and not something we have under our current event repertoire. I would like to hope I can accommodate this expense in her portfolio and that we can all arrive at a pleasant conclusion. Does everyone think this is something we should encourage for the Howl? What are your thoughts/opinions.

Dos Santos: I think an arts and culture showcase is a great idea. The social portfolio a couple years ago organized this event but they weren't able to get enough students there. There was food at the event and they ask artists and performers to showcase their work. It's a good way for the Howl to showcase up and coming artists. It's a thing Simran and Shreyahsi need to discuss in regard to the budget. I think it's a great event I’m hoping it’s something we can have. One of the major issues a couple years ago was promotions to get artists and attendees interested. I do understand the concerns of not being able to fund it, though.

Bhatia: I think it’s a great idea but the Howl needs to first establish itself as a publication before having a huge event with 100 people. They are not very active on their Facebook page. They need to try to update their website more. I dont think its makes sense to have this event now, I think we should table it at this stage. We could have a social at kruger hall.

Dos Santos: Maybe we could have an event like this in the middle of the year when they are more established and students know about them more- the are more inactive during the summer which makes sense. They are our official publication but they are trying to focus more on arts and culture now- it has been revamped, it used to be our newspaper reporting on the college but now their focus is more on art. They need to present Shreyashi with a more detailed outline of what this event will require, since she only has a vague idea now.

Bhatia: I think we should talk to the Howl and tell them this is a good idea but they need to first have some events within the college and if they need help with funding we can talk about that.

Dos Santos: They need to set up a meeting right away so they can discuss this before finalizing the budget before the retreat. It looks like the Howl is still in discussion with its own team maybe they can set aside some funds or an event or a buffer.

Bhatia: If she can budget the money we don’t have to use it, but we probably won’t be able to sort this out before the budget retreat.

8. Budget Retreat Food

Saha: I need to take a call on this. I have 3 regrets so far and 2 of them will be Skyping in. Since it’s a workday, I feel ordering in will be easier however I do understand the need to get to know all our directors. As long as it is within our budget, I am alright with whatever is decided upon unanimously.

Dos Santos: I know Shreyashi was not present but at our last BoD meeting we decided to order in dinner, maybe in the waters lounge- we just need to decide what food to order. We can decide with the other execs what to get, Sarah has a budget for it so we have just over a week and we will figure out what food to order, taking into consideration everyone's dietary restriction.

Dos Santos: The budget retreat is on July 18th at 5pm- most directors will be present and have sent in their budgets. I have met with my mentees to discuss their budgets, and I have been meeting with our newly appointed directors to discuss their plans for the portfolios so we are working closely with their budgets and recommendations.

McDaniel: I’ve been getting in contact with Val about some ideas I’ve had. I will be developing a draft for some of my ideas since I believe there are some worth investigating.

Eaton: im working on my budget based on last year;s and the events that went successful and some of Adrienne's feedback. I’ve been in touch with campus groups such as WINC in to get a speak reagrding pody positivity in the LGBTQ community. I’ve been doing a lot of activism related to UMLAP. I was down at Simcoe Hall talking to activists and students. I’ve been in touch with UC’s mental health commissioner and a lot of different students. I’ve been trying to get students’ input to get ideas for events for next year.

7. Collaboration with Love146 University of Toronto ChapterEmail sent in by Aghaeinia on behalf of Adele Zhang from Love146: Dear members of WCSA board of directors,

Regrettably I, Adele Zhang, one of the two co-presidents of Love146, cannot attend this event. Nonetheless, Ali will speak on my behalf. I would like to present a great opportunity for a collaboration between Woodsworth Equity Commission and Love146.

We are an official branch off the international organization, Love146, who work on anti-human trafficking initiatives. Our club specifically focuses on spreading awareness about the realities of human trafficking and raising funds for rehabilitation programs for trafficked youth victims. People may not know that Toronto is actually a hub for youth trafficking activities, and thus, this directly affects University of Toronto students.

The event we have proposed for this collaboration is Love146's annual Red and Blue Gala. It is a semi-formal to be held on campus (likely Hart House, Great Hall). What we ask of Woodsworth is a financial contribution of between $500-800's, and social media promotions. This estimated range depends on whether or not we are able to apply for the UC Student Initiative Fund, which we have inquired about, and are currently waiting on for a response. This money would be used to rent the Great Hall at Hart House, our ideal venue for the event. Woodsworth's Equity Commission would also make back money based on ticket sales. Love146 will provide a 50% discount on tickets for all Woodsworth students as an act of appreciation for the collaboration with Woodsworth Equity, and Equity will receive a cut of the profit made by your own ticket sales.

If Woodsworth sells 150 tickets, which is lower than the expected selling rate of 200-300 tickets due to the discount we have offered, the Equity Commission would make back $300. With good promotions in consideration, Woodsworth would likely break even after calculating profits from ticket sales on this event. To be able to be a part of this initiative against human trafficking which directly affects UofT students at such a low financial cost makes this collaboration beneficial for all participating parties.

Aghaeinia: Love 146 is an international organization spreading awareness regarding anti human trafficking. They want to host a gala in hart house in November. Two years ago they had an event in collaboration with new college, last year they couldn’t do it because new didnt want to collaborate again. This year they're reaching out to us and UClit. UClit still hasn't responded. I pointed them toward Innis college. they would want around $500 from us in order to be able to get the venue and everything. in return if we sell enough tickets we will get $300 back. this statement is based on their president assuming the equity portfolio would want to collaborate but I wanted to see if any other portfolios would be interested since its not really equity related.

Dos Santos: Simran is not present but I would assume this would be part of the external portfolio. I'm not sure if we would be able to make a financial contribution- this would need to be discussed with Shreyashi and whichever portfolio decided to collaborate. Are they asking other colleges for contributions as well?

Aghaeinia: It depends if Innis also collaborates then our costs would be cut down. She originally came to me with $400 but in case UC doesn’t come through then they would want $800. They have an idea of exactly what they want but the reason it’s not certain is because they’re not sure about how many collaborations.

Dos Santos: I think this is a great idea, this would raise awareness for human traficking. So in exchange they’re willing to offer discount tickets to Woodsworth students?

Aghaeinia: They're thinking $10 tickets, so our tickets would be $5. So based on selling enough tickets, we would get some of that money back. The issue that they had several years ago was attendance.

Dos Santos: Maybe set up a meeting with Simran as we’re discussing budgets.

Aghaeinia: I think it doesn't fit equity portfolio but i'm more than happy to be apart of their event or help- not financially, just because of our budget.

Dos Santos: If we weren't able to contribute financially, would they still be willing to work with us? maybe for promotions or volunteers? I would think not.

Aghaeinia: Yes. What i understood from their description is that they want to do most of the planning on their own and they have the people to do it- this is their signature event they just need money. They asked us if they have any grants we can give them.

Dos Santos: we don't have any grants for clubs at this point, and the only way they would be able to receive money is if they were one of our clubs. This is something to discuss with Simran as she is finalizing the external portfolio for the year. Thanks for sharing this initiative.

Zamani: The honorary directors positions- we opened them up since we have a lot of open positions. We thought it would be a good way to open up positions before the elections. These positions would be ex officio meaning you have no voting rights but you are able to have your ideas heard but you would be able to sit in meetings and taking on the work of members as if you are elected members. The term would be ratified today if appointed and your term would last until before our bi-elections, which will hopefully be in September. You are welcome to run in the elections so you can become voted members and you would be full members, having voting rights, and be able to carry out your work. We just put out a call out for individuals to apply. They will be presenting their reasons today and we will be able to vote on that today. Two of the people did not show up but I would read out their statements for them.

Jeong: We will have Jenny and Adrienne present their statements and then ask you to leave the room for a discussion and vote.

Jenny Wu: I’m a second-year student studying Math and Statistics and English, and I’m interested in the Associate Director of Financial Affairs position. I pride myself on being organized with a keen eye for detail as well as a quick learner, developed throughout my many leadership positions such as the VP of Finance of Alpha Omicron Pi where I was responsible for the management of a budget over $35,000 and achieved the highest level of financial administration. As I will be joining Woodsworth as an orientation leader, I’m committed to integrating students into the community through being diligent and punctual for financial administration so that more events could be planned and more outreach we could do as a student association. If not for Woodsworth, I wouldn’t have my closest friends, and I hope to provide the same support and more for incoming and existing students so we can all be proud and happy to be a part of Woodsworth.

Dos Santos: It was very impressive the experience she has, especially in her sorority. and for Adrienne, she has great qualities to offer especially with her previous experience in our association as mental health director. Adrianne Jin: I am applying for this position because I am an upper year student myself entering third year. As the past Mental Health Director, I’ve shown my capabilities and experience with events. I have had experience planning and running events for festivals, WCSA, fashion shows, and other big events. I would love to be given another opportunity to work for WCSA and expand my range of skills.

Eaton: If they get this position they still have to run in elections?

Dos Santos: yes. now, they can make suggestions but they don't have voting rights or control over the budget. if they are interested, they have to run in the bi-elections.

Aghaeinia: If they decide to run, can they advertise that they have had this position? It will give them an advantage in some sense.

Dos Santos: It could give them a benefit, but they would have to run again against other candidates.

Aghaeinia: A person who says they have experience in some field in WCSA will have the benefit of saying they held this position.

Zamani: They can’t say they were elected and don’t have the same experience, but they can say they held that experience.

Dos Santos: Because it’s summer there won’t be as much experience or activity.

Kunal Kasturia: Hi. I would like to be a part time Student Director. As a student going into my second year I would like to get more involved with my college. In first year the WoodsWorth staff made my year very fun and exciting. I would like to do the same for the future students. I would be very excited help plan fun events and get closer to the WoodsWorth community! Thanks.

Michael Ridley: My name is Michael Ridley and I am applying for the position of WCSA's Part-Time Students’ Director. I am a mature part-time undergraduate student entering my last year of a double major Honours B.A. As a mature part-time student who has school, family, and work responsibilities, I can relate to the demanding responsibilities and stresses that many part-time students deal with. As director I would work with APUS executives, many of whom I know from last year when I was elected as an APUS class representative, hosting workshops meant to inform part-time students of opportunities available to them through UofT. I would also collaborate with APUS to create events that would allow part-time students to come together for

the purpose of socializing and networking. My past WCSA experience includes Director of Mature Students’ (2017-18) where I completed two major projects that I am very proud of.

11. Mental Health CommitteeBIRT the WCSA BoD creates the Mental Health Committee to be chaired by Eaton. Moved: Eaton Seconded: Aghaeinia Motion Carries.

Eaton: One of my promises before being elected was to create Woodsworth's first mental health committee. This committee would be Chaired by the Mental Health Director and would not only provide input for mental health and wellness related events WCSA should provide on campus, but also inform WCSA's activism as a student organization representing student interests. I think the input of students when it comes to mental health policies and resources needs to be heard, and as we have seen with the UMLP consultation policy, the administration seems unwilling to listen to student voices on this issue. I think in fulfilling our mandate to serve, represent and advocate for the students of Woodsworth College, a mental health committee seems necessary. The concerns that some might have are that the equity committee may already be dealing with some mental health policy and activism, and while I agree the equity committee has done an excellent job in the past, I think it is necessary for a committee solely dedicated to mental health. I think that a larger student input in planning mental health related events will also increase turnout at these events, and ensure they are representative of student interest. In addition, I see a large part of the Mental Health Director's role as also an advocacy position, and in order to advocate for student's I believe WCSA should create a space where students can be heard, potentially also informing President Valerie's position on the SGRT. In short, I believe this committee would be highly beneficial and I move that we introduce this committee.

Eaton: I was at Simcoe hall talking to students about resources for mental health on campus and the general sentiment surrounding UMLAP was the general lack of consultation with students regarding the policy. students are looking for a place where they can have their voices heard. our mandate is to hear students’ voices and this can only be done if we listen, so this committee would give students a place to speak- since I have a budget as a director I would love student input in spending that money so I want to hear where that would most benefit students. I think this should start in the fall and advertise in the summer and then perhaps we could give students a CCR - that’s something we can talk about at the first meeting. I would work with Sanaya on advertising this for the fall I don’t think there’s enough students around in the summer to have committee meetings yet. we could start advertisements along with orientation.

Zamani: would the committee be open only to Woodsworth students?

Eaton: I think this should be open to all students like the equity committee based on that model. Students in other colleges feel the lack of consultation as well and hopefully we will create more interest to start similar committees as part of their colleges.

Aghaeinia: I would like to say that is is a great initiative. in my position I know that things like this need student support, so thank you. Also, my quick question given that this is open to students should it be an ad hoc committee?

Aghaeinia: we decided to add clubs to the equity committee, each club gets one seat. the three clubs are ASL, WINC and RISK. If any club want to be a part of it they can contact me.

Zamani: our budget retreat it coming up on july 18th most likely at 5pm in waters lounge. I wanted input if you all want to go out after or want to have food here instead of going out.

Dos Santos: the time will be confirmed, you will all receive an email. it’s during the middle of the week which is why we were thinking of having food here, in the past they were on the weekend so we would normally go out after. please submit your budget proposals to Shreyashi by July 1. she will be meeting with you to discuss your budget in detail before you will be presenting your budget to the board. if you have any questions please email her. Sanaya wanted me to remind you all to send her your sizes for board sweaters.

Bhatia: Sizes will be unisex, I would say to get one size smaller than what you usually wear. Last year’s were very loose.

Zamani: Also, please follow the 48 hour policy for emails- reply or take action if the email requires action in 48 hours.

Bhatia: For the directors- there are some business cards left in 105 if you need them for office hours feel free to use them. There are two kinds- one for general inquiries and one with a small space to put your name.

I hope you are all enjoying your summer and your course selection went well. I have been busy planning for the upcoming year and meeting with directors to help them plan their events and initiatives. I would like to congratulate Jenny, Adrianne and Michael who have been appointed to the WCSA Board of Directors for the summer term. I would also like to welcome Mishael to our team as Services and Initiatives Assistant. We are excited to work with each of them over the next few months.

This month I met with the Dean’s Office and Principal Joe to discuss our goals for the year and how we will be working together. I also attended Orientation meetings with other divisions and the OMC has been meeting weekly. The Woodsworth Orientation team has been working hard to plan an amazing Orientation Week. You can check the Woodsworth Orientation website www.woodsworthorientation.com for constant updates, the official schedule, blog posts and more. We have sold all our early bird tickets at the beginning of the month and are selling more tickets each day. I will be meeting with other student society leaders and the SGRT next month and will provide an update on all that we have planned.

Finally, our budget retreat took place earlier this month and each portfolio presented their budget proposals. WCSA’s budget will be passed and available to be viewed by our students on our website www.mywcsa.com. The Social Portfolio has been planning the Welcome Back Social which will be held on Friday,September 14th 2018. This is a great opportunity to recruit Woodsworth students to our committees as well as make lasting impressions and connections with new first year students. It will be held in waters lounge – please let me/Andrew know about food/activities you would like included, and feel free to decorate your tables as you see fit. Andrew has been working hard with procuring and following up on sponsorships and has assisted me with coming up with the budget for the Social Portfolio this year. I have also been assisting the OC’s with Orientation who have been giving attention to every single detail and doing a thorough job that will definitely be showcased during Orientation this year. Further updates regarding Orientation will be given by the OC’s themselves.Apart from the above tasks, the Social Portfolio has been occupied with planning ahead for the events of the year, which we hope will be a huge success.

Upper Year Students Director

Hi everyone! Hope everyone’s summer is great so far. It’s been a rather non-chaotic month but I have a few things to mention for the Upper Year Students Director portfolio. First off, I have been in contact with the Princetown Review and we have drawn up a renewed contract for the 2018-2019 year. This will provide students the resources they need for LSAT, MCAT, etc. Secondly, I have been starting to plan the Coffee Crawl for September rather than October because I know the Coffee Crawl is a popular event but it ended up having a low turnout due to the weather. I have been in contact with various cafes and dessert shops in Kensington Market for the collaboration, and hope to have more cafes join us this upcoming year.

priority, and therefore, it is important that WCSA’s board of directors are made aware of the issues at hand. Such awareness ought to allow WCSA to be informed, and thereby being able to attend to the issues in question, and resolve them as soon as possible. Woodsworth College is a diverse community and the Equity Committee represents a wider range of this community than just one person, the Equity Director.All students are welcome to join the committee, this way we will try to facilitate and serve for such a diverse population. Committee members are not required to represent any specific group or be from the community they support themselves. In other words, a member of the equity Committee can support any viewpoint at any time and, is not require to only be representing one portion of the community.This Committee is meant to create a platform for students to engage with WCSA and express their concerns in a more effective and efficient manner. It also assures that the Equity director of the time is open to all issues concerning all the different groups that constitute the student body at Woodsworth College.The Equity Committee may also serve a function of upholding WCSA’s accountability regarding matters pertaining to equity. Such implication may rise from the fact that the equity committee may act as a platform for those students who are not on the board of directors to closely observe events being held by WCSA. This will help in keeping the Equity Director informed about issues that may exist and will allow them to act accordingly.Ultimately, the equity committee is going to expedite the advancement of WCSA and Woodsworth College toward creating a safe space that is friendly for its entire constituency. This goal will be achieved by bringing light to issues that exist and allowing different voices to be heard. This committee will allow all groups, especially those of which are considered as minority, will get an opportunity to express their concerns, thereby allowing WCSA to take necessary action in resolving issues at hand.Role ExpectationsUniversity of Toronto Students who fulfil the following requirements will receive a Co-Curricular Record (CCR) for their participation in the Equity Committee:1) Have an active role in the committee and bring new issues to the table as well as proposing innovative solutions to the issues.2) Attend Equity committee meetings regularly. Meetings will be for one hour and half each and every month. dates, time and location can vary.

a) Those who join the committee from September to December of each year must at least attend four of the eight meetings to receive CCR.

b) Those who join the committee from January to the end of February must attend at least two meetings to receive CCR.

c) Anyone who joins after the end of February will not receive CCR unless deemed appropriate by the Equity director

3) They must monitor at least one WCSA event for equity related matters and report to the Equity Director through a brief statement once a month.

● Their monitoring and reporting is subject to the conditions outlined later on in this statement.● The monitoring can be done while being at an event for a different purpose (e.g. Promotion of

Equity Committee and/or WCSA).● If there is an instance where there is no free event being run by WCSA in a given month and a

committee member is not attending the paid event by choice, monitoring in that month will not be mandatory.

Representations of Clubs in the committeeWoodsworth College clubs that are affiliated with Woodsworth College Students’ Association can participate in Equity Committee as a Club. Each club can have one representative present in the meetinga. Other members of that club are also welcome to participate in the meetings, however,they can participate as individuals, therefore, not representing that organization.2. Club representatives are subject to the same requirements as other members however, they candivide those between up to two individuals all of which will receive CCR.An Equity Committee member must...a) b) c)Feel free to express their concerns and opinions, as long in so far as they do not offend others. Be respectful of others’ opinion, especially during the committee meetings.Is subject to abiding by WCSA’s Community guideline. The member must especially strive to create a Safe Space.As stated in WCSA’s Community guidelines, a Safe Space is defined as:“A safe space is where all participants feel safe to express their identities, opinions and sharing their lived experiences, free from discrimination and harassment in overt or discrete forms. Building a safe space means recognizing the privileges we experience. Privilege canmean not being conscious of our race, gender, sexual orientation, ability or other identities we have, how we are perceived or whether we may face discrimination or harassment for who we are. Privilege also means recognizing that each of us has multiple, different identities and we may not always know how others choose to identify or how they might experience discrimination. As such, participating in a safe space requires us to not presume one’s identity.” (WCSA Community guidelines, March 2018)In an event in which the aforementioned regulations are not being followed, the Chair of the committee may give the respective person(s) a warning. Repeated violation of the aforementioned rules may lead to the removal of the respective individual from the Equity Committee, whereby the discretion shall be up to the Equity director.Monitoring Events

4. It is in our best objective interest, if committee members are not identified while monitoring. This is in order to ensure reports represent the true nature of the events.

5. Committee members must sign up before monitoring an event to ensure all events are covered, if necessary limits will be imposed on how many members can monitor each event.

Note: All aspects of this statement are subject to amendment at any time, given that respective changes are deemed as necessary by the equity chair. 5. the howl mag: EVENT PROPOSAL

Hi everyone! I am excited to share a project that the Howl masthead has beenworking on for the upcoming year. One of The Howl Mag’s goals this year is to expandand reach beyond our printed issues, as well as provide a bridge between WoodsworthCollege and the local Toronto arts community at large. As Woodsworth’s arts andculture magazine, hosting a concert and art showcase will work towards these goals aswell as highlight some of the artistic talents in the Woodsworth community alongsideup and coming artists from the Toronto music & arts scene. I am inspired by the eventand concert programming that many other universities do, and would love to bring thatto Woodsworth and U of T. This event would take place during winter semester at theArt Square Gallery, which will allow the Howl team to work on the event throughout firstsemester alongside publishing the issue. During this planning period, we will put out acall for submissions for the student art show portion for the event, of which the Sightseditor will be responsible for managing and curating. The Sounds editor will beresponsible for helping to select and coordinate up and coming local artists/bands forthe concert portion of the event. This year the Howl will be focusing on producing onlyone issue (in the past we have budgeted for 2-3 issues per school year). The issue willbe published by the time of this event so the event can also serve as a launch party. Therelease party will also be part of the Howl’s expanse into a more multi-media approachto producing content as there are many ways we can tie together creating a liveexperience via the event with our more traditional content creation through print andonline. Some ideas include interviews with artists featured at the party, social mediatakeovers, event recaps and photo diaries, etc. ensuring that this event will createcontent for our magazine before, during, and after. While this is a change from what theHowl has done in the past, this is a project I am personally very passionate about, andwhat I believe is a step in a new and exciting direction for both the Howl and Woodsworth College. I can’t wait to work on it this year. Everyone is invited and I hope to see you all there!
