Dear Members of Founder Region, It is that time of year again! I invite you to “Share the Joy of Soroptimist” by attending our 39th Annual Founder Region Conference to be held at the San Ramon Marriott May 1-3, 2015. We will continue to celebrate change as we come together for education, inspiration, fellowship, and friendship. We will meet new and old friends.

We are excited to announce that our official visitor this year will be Soroptimist International of the Americas (SIA) President Poco Davis!

The theme for our 2015 Conference is “This One’s For the Girls” – a fitting phrase that shows we are ready to take on a new challenge with our new federation program “Dream It, Be It!” I have heard about clubs all over the region embracing this new program – figuring out ways to use existing programs to implement the new ideas, as well as completely new “out of the box thinking” for how to design programs in our communities that focus on career education and planning for girls. This isn’t just an awards program – it is a service project where we can truly make a difference in the lives of girls that are embarking on their journey to live their dreams. The Region “Dream It, Be It” Committee is putting on a presentation Saturday afternoon that will provide the latest information about the program, and will have a panel discussion with members of clubs that already do mentoring or have had teen conferences that fit with the goals of “Dream It, Be It.”

Everything begins on Thursday morning with the Founder Region board meeting, which you are cordially invited to attend as a silent observer. Simply fill out the Silent Observer form in the Call to Conference and send it to Secretary Charlene. That evening we will have some fun by playing Soroptimist Bingo and eating dinner together planned by Soroptimist International of the East Bay.

Friday we will hear from the Legislative Advocacy Committee who will be presenting information on the topic of Human Trafficking – we have some great speakers lined up. We will conduct Leadership workshops in the afternoon, and then celebrate our Founder Region identifying project – Founder Region Fellowship. Friday evening all Founder Region Fellows are invited to a special reception to meet our 2015 Fellowship Recipients. Be sure to note on your registration form that you are a Fellow so you will be on the list to attend this reception. The awards will be presented that night at a “Glitzy” dinner – the Fellowship board has a lot of amazing surprises in store for all of us!

Saturday brings a full day to our conference. We start with more leadership workshops, and our Fellowship business meeting. We will have reports from our pillar chairs, hold an election for Nominating Committee members, hear from our official visitor, SIA President Poco Davis, as well as hear from a United Nations representative about our work there, and reveal the Soroptimist Celebrating Success region winners. Later that night we will honor past governors and have a Dream Factor III party – “This One’s For the Girls!”

Sunday morning we will celebrate the service of members who have passed away over the past year, recognize our award program recipients and conduct our annual Dream Program fundraiser. As we close the conference, we will reflect on all that we are doing to continue our Soroptimist legacy – after all, it started here in Founder Region in 1921!

I look forward to seeing all of you and hope I get a chance to talk to everyone! Always remember that on Friday and Saturday nights after the festivities, everyone is welcome to stop by the Region Suite and kick back with all of the board members – it is one of our favorite parts of conference!

DELEGATES: Each club may be represented by 3 delegates pursuant to SIA Bylaws. After completing registration, any alternate selected by the club board of directors to fill a vacancy in the club’s representation shall present a statement signed by the club president showing that she/he was duly approved giving the date of such approval and certifying that she/he is a regular member. Delegates (only) must be seated in the delegates section 5 minutes prior to the opening of the business session.

CREDENTIALS: Credential Cards for each delegate shall be filled out by the Credentials Chair and will be made available at the Credentials desk. We will not be mailing them to you. VOTING BODY: The voting body of the Conference shall be the Region Board members and the accredited delegates of each club in good standing. A club shall be deemed in good standing if all requirements of the Founder Region bylaws and those established by the region conference, region board, and federation bylaws and procedures have been met at the time its delegates register. A delegate shall represent only the club in which the delegate’s membership is held.

NON-DELEGATES: All Soroptimists and guests are encouraged to attend.

Comfortable business attire is recommended for business sessions (no shorts). Friday workshops – Soroptimist logo wear is encouraged; Friday evening - dressy attire; Saturday day – business casual; Saturday evening – casual attire; Sunday – business casual.

NOTE: Remind club treasurers that the SIA 5008 forms and Founder Region New Member forms must be received by Vicki Ham, Region Treasurer, by March 31, 2015 to qualify for the Julia "Bess" Combs Membership Increase Award.

Tentative Agenda (see enclosed agenda on page 6 for detail): You will not want to miss any of the events we are planning for the 39th Annual Founder Region Conference. We begin on Friday with a Legislative Advocacy Workshop, luncheon speaker, Leadership Workshops and continue into the evening with the Fellowship Dinner and celebration of new Fellowship recipients. Saturday we continue with Leadership Workshops, conduct the business of our region, elect the 2015-2017 Region Nominating Committee, hear from our Soroptimist International of the Americas (SIA) official visitor, share the success of region clubs, acknowledge one new member sponsor and draw one club name from each district to send money in their name to Club Giving, announce Soroptimist Celebrating Success region winners, and have some fun with Soroptimist Dream Factor III – “This One’s for the Girls”. On Sunday we have our memorial tribute, honor region awardees and end with our annual basket raffle.

Delegates' Credential Cards: Credential Cards will be filled out by the Credentials Chair and will be at the desk when you register at conference. Contact Credentials Chair Cheryl Poncini at 510.268.7554 or email: [email protected] with any questions.

Registration and Meal Form: Complete the forms ASAP and send to Kathy Griffin, Conference Treasurer. A late fee of $50.00 applies to club registrations received after the April 9, 2015 deadline . Vegan meals are available for each meal.  If you want a vegan meal, please indicate that choice by inserting "Veg" for each meal on the registration form. Responsibilities of Club Delegates

The elected club delegates should have a working knowledge of Soroptimist International and Federation Bylaws, Region Bylaws, the objectives and ideals of the organization, and experience as a member of a club board or committee. An understanding of parliamentary procedure and a spirit of goodwill and understanding will help the delegate, the club, and the conference body.

The Club President, who serves as a delegate and the leader of the club delegation, should:1. Allocate time at a business meeting to discuss proposed candidates and bylaw changes (if any) and

solicit club opinion or direction.2. Arrange with the other delegates for assigning sections of the report on conference to be given to

non-attending club members.3. Attend Caucus (if applicable) to learn about the Proposed Bylaw changes (if any).4. As soon as possible after conference, schedule time at a club meeting for delegates to present their

reports.

Prior to Conference Delegates Should:1. Study the Call which indicates the tentative agenda listing business to be transacted, forms,

workshops, and social events.2. Verify with Club President or Treasurer that Registration Forms and payment have been submitted

for all attending members in a timely manner.3. Attend Caucus (if applicable) to learn about the Proposed Bylaw changes (if any).4. Determine which delegate will attend which workshop, etc.5. Study the Proposed Bylaw changes (if applicable); review Resume of Candidates and discuss with

your club.6. Bring Call to Conference, Region Bylaws, & Soroptimist pin.

During Conference Delegates Should:1. Register promptly. Wear your name badge so others can identify you and your club.2. Check in at the Credentials Registration Table at conference to receive credentials materials.3. Attend the Delegate’s Briefing. (If scheduled.)4. Be on time. Time schedules at conference are important. Don’t leave early. Guests invited to address

the conference body deserve consideration.5. Attend all sessions and take notes for precise reporting back to club.6. Vote with the club viewpoint in mind.

After Conference Delegates Should:1. Prepare a report to club that may include action taken during the business meeting and the reason

for each action.2. Discuss awards – who won them and why? How can your club participate next year?3. Present their personal evaluation of the conference and encourage increased club attendance at

future meetings and conferences.

WOW!! What a beginning for the new Fellowship year. It began with six District Meetings and thanks to all of you; we netted over $15,000 and gave 17 “Fellows”. What an accomplishment.

You heard at District Meetings some of the things the new Fellowship Board has undertaken. The new pin has been given to two “Fellows” and everyone seems to like them. Talk to your District Director to see how you can get one of these new pins. It is exciting!

The second item the board came up with is the reception on Friday night to honor all “Fellows” together with the new recipients. Be sure and note on the Registration and Meal Form that you are a “Fellow” – this will get you a badge ribbon so you can get into the Fellow Reception. Remember this is a “Glitzy, Sparkling and Exclusive” event.

Third item the board undertook was to print new brochures. If you have not seen them, ask your District Director. They are a great way to show off our Region’s identifying project.

Fourth item was to set up a monthly giving plan for those that cannot give the full amount at one time. Your District Directors will have the new Pledge Cards available to you. Ask for them to ‘SIGN UP”.

Fifth item the board will present at conference. TWO SURPRISES!

The games will be exciting! The Directors will be sharing these with you at their visits and President’s Roundtable. The items for purchase will be another way to display “GLITZ”. Our goal is to sell 10 games with 10 new “FELLOWS”. Please purchase these necklaces, bracelets and charms as another way to support the Fellowship program.

Please join with the Fellowship Directors and myself as we honor the outstanding women who will be receiving our grants at the Fellowship dinner Friday evening.

Trade Fair

Clubs and non-Soroptimists are invited to participate in selling items at conference this year. Remember that all items, especially items that use Soroptimist’s registered trademarks, are to be pre-approved by Governor Bobbi. Please observe the licensing rules/fees due to SIA if you have used the Soroptimist registered trademarks. Contact your District Director if you have any questions. Please have a raffle permit if you are conducting a raffle.

If you wish to take part in this fundraising activity, complete this form so that the conference committee can plan the space effectively. Space is limited, so register early. Every effort will be made to accommodate registrations on a “first-come, first-served” basis; however steps will be taken to limit the number of vendors selling similar types of merchandise.

Subject: Invitation to Host Region Conference 2018

According to Founder Region Bylaws, it is time for clubs to submit invitations to host the region conference to be held in May 2018.

Article VI – Meetings

Section 6.1 – The Region shall hold an annual conference the first weekend in May that does not include Mother's Day for the purpose of conducting the business of the Region, promoting Soroptimist projects and programs and in order to provide opportunities for leadership and personal development of members.

a. Final venue will be approved by the Region Board.

b. Every sixth year conference shall be held at a site located within the boundaries of District VI.

Please mark your calendar: The 2015 Redwood Grove Memorial Service will be held on Sunday, June 7, 2015 at Prairie Creek State Park in Humboldt County. Traditionally, the service begins at Noon and is preceded by brunch at 11:00 am, hosted by the Soroptimist Clubs of Eureka and Crescent City. The service is moderated by Past Governor Catherine “Kate” Burns and presented by members of the Founder Region Board. The drive to the Grove may be long from the Bay area, but it is spectacular. All members should consider attending this inspiring and moving service.
