Welcome from your Chief Executive Welcome to your workplace here in the Western Sydney Local Health District (WSLHD). The Your Employee Journey Department Handbook provides you with practical advice and information to help you find your way around your department, and to learn about how we work in WSLHD.
To begin with, it’s important you know how much we value a constructive culture at WSLHD, focusing just as much on the how we do things (CORE Values: Collaboration – Openness – Respect – Empowerment) as compared to just what we do (activity, tasks, achieving KPIs, etc.).
The Employee Journey is one part of a wide range of initiatives we have in place and will be continuing to develop, to influence and guide our organisation as we continue to evolve our culture.
One key message of our culture work is how to ensure every person, whether they be staff, patients,
families, carers and others we engage with while delivering our services have “the best day possible” when they’re here in the workplace and in our facilities.
Another significant part of our ongoing culture work is to grow our identity as a high performing organisation.
As you embark on the “onboarding” stage of your employee journey, a combination of your orientation and induction into your work area, we’re asking you to partner with us to co-create the culture where you are able to have consistent “best day possible” experiences, while also contributing to a high performance team!
What does this mean for you? It means amongst other things, that you are asked to make sense of the
ebb and flow of pressures, priorities and successes which make this a lively responsive workplace. Welcome from your District Director Allied
Health Firstly, welcome from myself and the Allied Health leadership team and congratulations on joining the
WSLHD Allied Health team, regardless of what profession you are. We thank you for joining WSLHD in
an unprecedented time for health and for helping the people of WSLHD stay healthy, out of hospital
and safe. It is a big step to have you join the team – both for you as a new person coming on board
and for us as your new colleagues and supervisors – and we welcome this.
COVID-19 presents a unique challenge for the Allied Health professionals to work in partnership with
colleagues and consumers to provide value based health care focused on crisis aversion, prevention,
out of hospital care and responsiveness to the needs of vulnerable and diverse patient groups. The
key theme for us is ability and the need to adapt to the environment and clinical demands as they
change while remaining focused on our core business.

An Introduction to WSLHD Allied Health
Allied Health Workforce in New South Wales (NSW) comprises of 23 individual professions in addition
to some other small but critical workforces such as medical physics, radiopharmaceutical science and
sonography. The Allied Health workforce is similar in size to the medical workforce in NSW Health so
they are not small and their diversity is a strength in the system particularly in the climate of rising
socio-economic health impacts, chronic disease, complex co morbidities and the pressure on inpatient
hospital beds and patient flow. In WSLHD, there are over 1,100 FTE (full time equivalent) Allied Health
staff which will expand with yourself and others joining the team during the COVID-19 pandemic.

Workplace Culture WSLHD shares the NSW Health CORE values, which is built upon the public sector core values of
integrity, trust, service and accountability.
NSW Health Core Values
Collaboration: Improving and sustaining performance depends on everyone in the system. An

NSW Health Code of Conduct
The NSW Health Code of Conduct PD2015_049 defines the standards and professional conduct that
are required for everyone working in HSW Health and behaviours, which are unacceptable and will not
be tolerated. The Code of Conduct assists with building a positive workplace culture based on the CORE
values. The intent of the code is to provide a framework to promote ethical day-to-day conduct and
decision-making. It does not and cannot cover every situation that can arise in the workplace. The Code
does not replace the need for common sense in how staff conduct themselves.

Allied Health in WSLHD What we are Striving to Achieve
The mission of Allied Health professionals is to deliver high quality, patient-centred care that improves
the health and well-being of the people in Western Sydney. We are committed to delivering a world
class Allied Health service which is underpinned by the NSW CORE Health Values and our service values
of patient-centred care, professionalism and innovation.
Roles and Responsibilities In broad terms, Allied Health professionals provide services to enhance and maintain functions of
patients and are a critical workforce in public health services. The Allied Health COVID-19 recruitment
is intended to assist with workforce needs across the system during the COVID-19 period, therefore
roles and responsibility will depend on the need of the team or department where you are rostered.
The respective department manager should make your specific roles and responsibilities clear to you
during your site orientation. Please also refer to your position description for more roles and
responsibilities.
Get to know what the other Allied Health professions do below:
Allied Health Assistants An Allied Health Assistant works under the supervision and direction of an Allied Health professional
to perform clinical and non-clinical duties. The Allied Health Assistant may be engaged to work in a
discipline specific area or assist in the delivery of allied health services across a multi-disciplinary team.
Allied Health Assistants may find themselves working with dietetics, diversional therapy, mental
health, occupational therapy, physiotherapy, podiatry, radiography, social work and speech pathology.
Dietetics Dieticians are an integral part of a multidisciplinary team, providing quality services to patients in
WSLHD in order to meet their health and wellbeing needs. A dietician may carry out work involving the
assessment of patient’s health needs and diet, guide patients on healthy eating habits and develop
plans for patients both while in hospital and for their home.
Nuclear Medicine Nuclear Medicine involves the application of radioactive substances in the diagnosis and treatment of
disease. A Nuclear Medicine Technologist may carry out work that includes administering tests such
as CT scans and MRIs, preparing and administering radioactive chemicals, perform imaging procedures
on patients and analyse biological specimens.
Occupational Therapy Occupational Therapists support patients to fully participate in everyday life activities. Typical work
for Occupational Therapists may include assessing patient needs, assisting hospital discharge through
assessments, develop plans to support motor skill improvement and supporting and advising on
assistive technology.
Pharmacy Pharmacists within public hospitals are responsible for ensuring safe use of medications, filling and
dispensing medical prescriptions, having discussions with patients about medication prescriptions,
ensuring a patients various medications are safe to be used in conjunction and work in

multidisciplinary teams to advise and prescribe the best medications for the whole of patient health.
Pharmacists work closely with pharmacy technicians and pharmacy aides.
Physiotherapy Physiotherapists are involved in assessing and diagnosing a patients musculoskeletal, neurological and
cardiothoracic conditions, develop tailored treatment plans, they may provide massage therapy,
hydrotherapy, breathing and relaxation techniques, may conduct complex spinal and joint
mobilisation techniques, and educate patients on musculoskeletal conditions and injuries so patients
can lead healthy lifestyles.
Psychology Psychologists provide high quality and comprehensive assessment, treatment, supervision, and
research across the district. Psychologists provide integral support to various multi-disciplinary
services including Mental Health, Drug Health, medical services, and rehabilitation across the lifespan
and within community and outpatient settings.
Podiatry Podiatrists examine patient’s feet to determine the nature and extent of conditions, deformities and
injuries, examine and treat foot and leg abnormalities caused by diseases such as diabetes, prescribe
and organise corrective footwear, advise patients about continued treatment and foot care, provide
rehabilitation services and may treat foot wounds to prevent hospital admissions.
Radiation Therapy Medical radiation therapists work varies based on the areas they may work or specialties. They may
provide radiation treatment for cancer patients, perform safety and risk activities to ensure the risk of
providing radiation in incorrect areas is minimised, review treatment plans regularly and prepare the
required equipment.
Radiography Radiography involves the controlled used of radiation to produce images that assist with diagnosis and
management of disease and injury. Radiographers work with patients to produce X-rays, CT scans, MRI
scans, ultrasounds and other medical images that assist diagnosis.
Social Work Social workers in public health are involved in a wide range of work. They may conduct counselling
and targeted therapeutic interventions, conduct psychosocial assessments of patients, their families,
carers and significant others, conduct capacity, functioning and development assessments and partake
in case management and service coordination.
Speech Pathology Speech Pathologists work in a range of clinical settings, treating both children and adults.
They diagnose and manage communication disorders including difficulties with speaking, listening,
understanding language, reading, writing, social skills, stuttering and voice. Speech Pathologists
also assess and manage feeding and swallowing disorders (dysphagia), with aims to optimise a
patient’s ability to eat and drink safely.

Safety in the Workplace Safety is the responsibility of everyone in the workplace. Safety should not be viewed as something you
do in addition to your work, but something to be considered and incorporated into everything you do.
During induction and throughout your employment at WSLHD, take time to make yourself familiar with those things in the workplace that are there to reduce the likelihood or prevent harm to yourself and
others, damage to plant and equipment or the environment. These include:
Procedures, e.g. Safe Work Practices (SWP) and Safety Rules,
Equipment e.g. fire extinguishers, trolleys and ergonomic seating,
Personal Protective Equipment (PPE) e.g. goggles, gloves and earplugs,
Signage, labelling and documentation e.g. Safety Data Sheets,
Education, training and supervision,
Fatigue management.
When a workplace incident, accident or near miss occurs, report it on a Staff, Visitor and Contractor
(SVC) form on the online Incident Information Management System, commonly known as IIMS.

When a notification is submitted on IMS+ an email alert is sent to the responsible manager.
The manager may require your assistance to investigate and complete the management tab of the
form in order to identify contributing factors and to prevent the occurrence of further incidents.
For advice and assistance on the management of work, health and safety (WHS) matters, including
the notification and management of IMS+ for workplace incidents and near misses contact the
facility/service WHS Coordinator or the WHS Unit on Tel. (02) 9840 3770.
For assistance on clinical matters, technical issues with IMS+ clinical notifications/incidents and
manager access contact the Clinical Governance Unit on Tel. (02) 8890 9924.
Fatigue is a factor that can impact your performance and the safety of yourself, your team and your
patients. You may be at greater risk of fatigue if you are working casual shifts and or working across
multiple areas. Please be mindful of your workload and not overloading yourself to prevent fatigue.

Security WSLHD security services offer the following support:
• Issuing of WSLHD ID badges,
• Manage boom gates,
• Regular patrols of car parking areas,
• After hours escort to car,
• Emergency call outs to aggressive/potentially aggressive situations within the perimeter of
a WSLHD facility,
• Work as a member of a multi-disciplinary team.
Check with your manager, if you need to move your car to a safer location after dark.
Compliments/Complaints in relation to security are to go to:
Most of our buildings have public and employee only spaces. The employee only spaces generally
require WSLHD card access. Do talk with your manager if your card access does not allow you into the
work areas you need. Do not prop open usually secure entry ways as this compromises our security.
If you have an emergency and are not sure what to do, then remember you can always call Emergency.

Communication Systems Departmental Communication
A range of communication systems are utilised within WSLHD. During your employment, you may use
day books, electronic boards, white boards and other systems. Paging systems and mobile phones may
be used. You will be orientated to the required and used communication systems during your local
orientation.
Microsoft teams may be used as a means of regular communication regarding confidential
information. To participate you will need to download MS Teams to your device. More information on
MS Teams, including access, will be provided during your induction.
Email Access and Etiquette
An automatic archiving system clears emails after 3 months. You can access archived emails by:
• browsing to the Applications page on the intranet site -

• scrolling down to then clicking on the State-wide Email Archive Manager link (see
attached screenshot)
• clicking on the Accept link on the Conditions of Access screen
• on the Quest Archive Manager Portal page login using your Novell network Username &

• We all know this but…..Breathe and think before you send any emails. Email is best for
simple, straightforward matters that follow a conversation. Do make the tone clear, limit

The EAP is a work-based, early intervention service which provides appropriate, timely, professional
and confidential counselling and referral services for WSLHD employees (and their immediate family) in order to assist them to identify and resolve professional, personal or work-related issues. Employees
can make appointments directly, and only need to notify their manager if appointments have to take place in work hours.
Where serious personal matters, such as domestic violence or other complex family matters are impacting on your ability to work, please discuss options with an EAP counsellor and/or your manager

Parking Currently, staff access to carparks has been enabled at all WSLHD hospitals. To request access please
contact your parking office at the facility or facilities you are working at. While staff access to parking
has been enabled, this is only temporary. Once the temporary access for all staff has ceased, there
are waitlists for parking across the district. The waitlists do not apply for staff with disabilities.

Allied Health Casual Pool Rostering
HealthRoster used as the rostering system across NSW Health. Casual staff can view their timesheets
and rosters, notify their manager of their availability or unavailability to work and directly book shifts
by logging in to Employee Online (EOL) account via the following link:

Attend Supernumerary shifts

Induction You will be required to attend an Orientation Day at Blacktown or Westmead Hospital. This day will be
dedicated to facility orientation, completing practical mandatory training, meeting your team and
undergoing discipline or facility specific induction and training.
Once you have attended your Orientation Day, your manager may offer you additional supernumerary
shifts, which will allow for ongoing induction and training. You may be offered a clinical supervisor or
mentor to support you during your employment at WSLHD.
Patient Feedback Patients and carers will at times complain about aspects of their care or situations within the department that concerns them. To deal with these situations the following is recommended in order
of priority:
Listen to the complaint and if relating to immediate patient care or lack of information, resolve
the issue or concern as quickly as possible
Notify your team leader/one up manager if you have not been able to address the concern.
They will be able to support the patient, carers and you.

have a direct conversation with the person concerned to resolve the issue. A CORE chat is a great NSW
Health model for a targeted conversation with colleagues.

a CORE Chat. Through listening, you know what to say to generate connection and rapport – listen for
common feelings and words that resonate for you both during your CORE Chat.

Making a Complaint to your Manager
If you feel you need support to resolve an issue you have with another employee, you can see your
manager to discuss the best way forward.
You can just give a verbal account to your manager and receive some coaching to help you take the
next step.
If you decide to formalise your complaint, then you may be asked to describe the situation in writing.
This will ensure your manager has understood the exact issues and concerns. It is best to provide
specific examples where possible. If you are dissatisfied with the management of your complaint or
feel the need to escalate further, you may contact your Human resources business partner.

Performance Management WSLHD has a Performance Framework which has an emphasis on how well you are performing, rather than what you are not doing well.
It is expected that managers will be clear in their expectations, give you regular feedback, and ensure you have Work and Development plans if you are either a part time or full time employee, which are reviewed regularly. You will have an annual performance review conversation, which will focus on the achievements as well as areas to strengthen. Casual staff may be given task lists on shifts to clarify expectations during that shift.
If you are not meeting expectations, then WSLHD expects your manager to let you know as soon as possible, and to plan with you how to do better. This is “business as usual” in WSLHD, explaining, coaching, reflecting, striving – it is all part of being in a place of high performance. See Performance - Guide for Employees 2016

Yes, that is what it means – it is said repeatedly but we just really want to guard against the temptation some colleagues may have to find and disclose other people’s private business.
