• Currently have received over 1770 events this calendar year

Planning Processes

1. Online application as early as possible www.westminster.gov.uk/events

2. Applications reviewed

3. Once application approved, it will be assigned to an officer – requests for further info, site visit, etc if required

4. Estimate of costs sent to applicant

5. Non-complex events (such as rope and post red carpets etc) dealt with by email or on site discussion

6. If complex, an event plan document is sent detailing info required from applicant

7. Once payment received – letter of no objection sent setting out conditions once this has been accepted by the applicant the “authority” is complete

8. WCC notify street management teams, police and local business or resident assns where necessary

Essentials• All legal requirements MUST be complied with – licenses permissions etc.

• Adjoining premises – businesses or residents MUST be consulted if your event is going to affect them in any way. – If not affected then we request that you inform them of your intentions and provide them with a contact number for

organiser and Westminster Special Events Group

• Risk assessments – consider risk of your event to public, participants and staff – carry out dynamic assessments throughout your event

• Consider Impact on – visually or mobility impaired

• Stewarding/security – sufficient staff to ensure a safe event

• Public Liability Insurance – minimum £5m cover

• See event plan document for all other options

Application Processing time

Covers the time it takes the Special Events Group to process your request, notify the relevant serviceprovider or stakeholders, and deliver your request on your required date

Parking suspensions and permissions 10 working days Events requiring a Temporary Structure Licence (for less than three days) This includes stages. 12 working days Film premieres 6 weeks Events requiring a Temporary Event Notice (TEN) 10 working daysOr multiple TENs 4-8 weeks

Events requiring several Temporary Structure Licences for structures to be in place for more than three days (including hanging decorations) 12 weeks

Planning Events requiring planning permission 12 weeks Events requiring road closures or traffic management 12 weeks
