About This Guide vii
Purpose
You use Calibration to enter and track the calibration of instruments that measure process variables such as temperature, pressure, and flow.
Calibration lets you to maintain a historical record of calibration measurements for instruments and measurement and test equipment (M&TE). In addition, you can track a historical record of the calibration instrument (standard) used to calibrate a specific instrument or M&TE.
Calibration has one new application and specific tabs in five Maximo applications.

Glossary of Calibration Terminology
The following terms are commonly used by those performing calibration processes.
Introducing IBM Maximo Calibration 1
Term Definition
Analog Data Sheet An analog data sheet defines the necessary information to calibrate an analog instrument or M&TE (for example, a gauge or transmitter). You define the data sheet in the Data Sheet Template application.
© Copyright IBM Corp. 2006, 2008 1-1
Asset Function While a data sheet lets you enter calibration data for a specific asset, it also allows the user to enter calibration data for one or more functions that asset may perform. For example, a tablet tester measures both mass and length. The use of asset functions allows the user to specify the unique attributes of each function.
You can create a single data sheet that encompasses all of the asset's functions instead of creating separate data sheets.
Calibration The comparison of an instrument’s performance to a standard of known accuracy. The objective of calibration is to ensure that an instrument’s output properly corresponds to its applied input.
Calibration Point The specific calibration requirement for each asset function. For example, a three-point check at 20%, 50%, and 75% calibrations points of an input range.
Clipped Range on Nominal Limit Values
You can specify that Maximo clips or limits the Range on Nominal lower and upper limit values for analog functions to the lower and upper input calibrated range of the asset function. Selecting the Limits Clipped check box lets you calibrate an asset within its input range.
Clipped Tolerance Limit Values
You can specify that Maximo clips or limits the Tolerance lower and upper limit values for analog functions to the lower and upper output calibrated range of the asset function. Selecting the Limits Clipped check box lets you calibrate an asset within its output range.
Data Sheet A data sheet provides a template to specify the input and output values and to enter As Found and As Left values.
Deadband The difference between a switch’s set and reset points.
Desired Output The output you want to attain for a given input (for example, 0 psi input = 4 mA output).
Direction The referential direction (that is, increasing or decreasing) of the specified calibration point in the calibration process.
Discrete Data Sheet A discrete data sheet defines the necessary information to calibrate a discrete instrument or M&TE (for example, a switch). You define the data sheet in the Data Sheet Template application.

ation Terminology
Field Resolution The minimum number of decimal places required for a numeric field value. Maximo validates that the field contains the specified number of decimal places. Maximo calculates input and output functions to the specified resolution.
Note: Maximo does not apply field resolution to all fields.
Input The process variable applied to the DUT.
Input Range The upper and lower input values between which you calibrate an asset.
Input Lower Range value is the minimum specified input value. Input Upper Range value is the maximum specified input value.
Instruments Devices used to monitor and control plant processes (for example, gauges, transmitters, and switches).
Measuring and Test Equipment (M&TE)
M&TE are the tools used to calibrate instruments.
No Adjustment Made Option
The No Adjustment Made option lets the user specify a "no adjustment made" tolerance. If all As Found values are within the acceptable user-specified tolerance, the technician can select the No Adjustment Made check box on the work order data sheet. When the technician selects the No Adjustment Made check box, Maximo copies the As Found values to the As Left fields on the work order data sheet, and both fields become read-only.
Nominal Input The user specified input value for each analog calibration point.
Output The DUT’s representation of the input.
Output Range The upper and lower output values between which you calibrate an asset.
Output Lower Range value is the minimum specified output value. Output Upper Range value is the maximum output value.
Process Units Define the engineering units used for reporting calibration error.
Range on Nominal The user-specified acceptable limits for input values for each calibration point. The range on nominal value might be limited to the input lower range value and input upper range value in certain cases.

Calibration Components
Asset (Cal) Application
You use the Asset (Cal) application to create asset records for instruments, measurement and test equipment (M&TE), and standards. You can designate that any of the proceeding is a tool by selecting a Rotating Item that has been defined with an Item Type of Tool. This designation allows you to preform the following:
assign a unique identifier to the tool for traceability purposes
Scaling Factor The conversion factor from output engineering units to user specified units. For example, an I/P convertor might represent a temperature signal (current and pneumatic pressure). The user might want to show error in temperature engineering units (°C or °F).
Set Point The input value at which a discrete device should actuate.
Set Point Action The desired behavior of the discrete device (for example, a switch) at the specified set point (for example, open and close).
Standard A standard is a tool used to calibrate assets. A standard has a higher degree of accuracy than the asset being calibrated.
Tolerance Tolerance defines an acceptable value or value range for a specified output value.
Generally the asset's manufacturer establishes tolerance limits.
For each asset function, Maximo allows up to four tolerance levels:
Tolerance 1 is the tightest tolerance.
Tolerance 4 is the widest tolerance.
You define the status for each tolerance level. By default, Maximo assigns a status of PASS if the output value does not exceed Tolerance 1.
Traceability The historical record of which instruments you calibrated using a standard. Also, the historical record of the standard used to calibrate an instrument (reverse traceability).

create a work order for the tool
You also can assign the asset an owner and a status.
You can associate one or more data sheets with an asset via the Attach Data Sheet Template action of the Asset application.
The Asset (Cal) application also has the following new capabilities or features:
A Description field has been added to allow you to define an actual physical location for the asset within your facility. If the instrument is calibrated externally, the Calibration Vendor can be defined.
Asset Tab
The Asset tab of the Asset (Cal) application displays the main record for an asset. You use the tab to add new records to the database and view and modify existing records.
You can indicate that an asset is a M&TE tool by selecting the Is M&TE? check box. You can assign an owner of the tool by entering a value using the Action Menu item Associate Users and Custodians. You can assign a status to a tool by entering a value in the Status field.
Data Sheet Template Application
The Data Sheet Template application is an integral component of Calibration. You use the Data Sheet Template application to create data sheet templates for instruments and M&TE or standards, any you can define input and output parameters and accuracy tolerances for an associated piece of equipment.
You can associate data sheets with assets via the Attach Data Sheet Template action in the Asset (Cal) application.
You can associate work assets with an approved data sheet via the Work Assets tab of the Data Sheet Template application or in a calibration job plan via Work Assets tab of the Job Plans (Cal) Application.
A technician uses the Work Order Tracking (Cal) Application to view an asset’s associated data sheet and enter calibration data for the asset.
Maximo generates work orders with attached data sheet(s) for assets via the Preventive Maintenance application, if the work asset was associated to a data sheet(s) in the Data Sheet Template or Job Plans (Cal) Application. In addition, you can add one or more data sheets to a PM generated work order via the Data Sheet tab of the Work Order Tracking (Cal) Application.
You can create an ad hoc calibration work order and attach one or more data sheets to it via the Data Sheet tab of the Work Order Tracking (Cal) Application. You can also attach a job plan with approved associated data sheets to the work order. In addition, you can associate a work asset with a data sheet via the Work Assets tab of the Data Sheet Template application.
You can configure a data sheet for analog devices (for example, gauges, transmitters, control valves), discrete devices (for example, switches), or for

an asset with multiple analog and discrete asset functions (for example, a recorder with a local alarm).
See the Data Sheet Template Application section of this document for details about this application.
Job Plans (Cal) Application
You use the Job Plans (Cal) Application to create, modify, or delete job plan records. A job plan is a detailed description of work to be performed for a work order. You can copy job plans to PM records, routes, and directly to work orders. After a job plan becomes a work plan on a work order, you can modify the work plan without affecting the job plan.
Job plans generally contain tasks (procedures), along with lists of estimated labor, labor hours, materials, services, and tools required for the work. To ensure that work on an asset is performed in a safe manner, you can add work assets and associate safety plans that can be used when work is performed.
You can specify which organizations or organizations and sites can use the information on the plan and/or its tasks. If you do not specify this information, the job plan can be used in any site of any organization.
NOTE You also can create a job plan from a work plan that you use frequently. You might need security authorization to create a job plan from a work plan. For more information, see the Work Order Tracking Help.
New features added include:
Work Assets: Allows you to associate work assets to a data sheet via the Data Sheet Template for Work Assets table window.Revision Control allows you to view historical records of job plans. You can see who made the changes and what changes were made.
Job Plan Tab
You use the Job Plan tab of the Job Plans (Cal) Application to create, modify, or delete job plan records. When job plans are used on work orders, they become work plans. You can modify the work plan on a work order without affecting the job plan.
You can enter estimated labor, materials, services, and tool information for the job plan as a whole. You can also add tasks, or operations, needed to complete the work and associate labor, materials, services, and tool information with each task. You can also associate a task with a meter name.
You can specify site and organization information for the plan and/or its tasks and select responsible parties for the work.
After adding information to the Job Plan tab and its subtabs, view estimated costs by using the View Costs action.

ation Components
Locations (Cal) Application
The Locations (Cal) application lets you enter and track locations for assets and organize these locations into logical hierarchical systems or network systems. Using hierarchies or systems of locations and specifying the location for assets on the asset record provides the groundwork for gathering and tracking valuable information on the history of an asset, including its performance at specific sites, as it is moved from location to location. With locations organized into systems, you can quickly find a location on the drilldown page, and identify the asset at that location.
You use Location (Cal) to work with Loop Calibrations.
Master PM (Cal) Application
You use the Master PM (Cal) application to create and modify master PMs, which are templates for other PM (Preventive Maintenance) records.
A master PM does not generate work orders like other PMs. Instead, it is used as a template from which to generate other PMs, called associated PMs. Associated PMs are managed in the Preventive Maintenance (Cal) application.
You can create associated PM records from master PM records, or make associations between existing PM records and a master PM. You can use the scheduling information on a master PM record to update its associated PM records.
Using this application, you can extend a date on all assets associated with a Master PM.
Organizations (Cal) Application
Within the Organizations (Cal) application you set defaults for a wide variety of options relating to Maximo applications or groups of applications, such as work orders, inventory, purchasing, PMs, assets, and so forth. You access these options from the Select Action menu. The How Do I topics in the Organizations Help cover all these options. You can also access the Help from the associated dialog boxes. Refer to the corresponding Help topic for information on a particular action.
NOTE In the various dialog boxes you use to set application options, you sometimes have to select a site and sometimes you do not. If you have to select a site, then the setting applies at the site level. If you do not select a site, then the setting applies at the organization level, except for system and set level autonumbering, and for settings in the System Settings dialog box.
Preventive Maintenance (Cal) Application
You use the Preventive Maintenance (Cal) application to create, modify, and view preventive maintenance plans for work assets and locations. PM records are templates for work orders.
Calibr
Introducing IBM Maximo Calibration 1-7
On a PM record, you schedule job plans to be performed for preventive maintenance work. The application generates work orders from the PM. If you have multiple PMs for an asset, the application determines the next due date. You can also extend the due date and override the extended due date. The number of times that it can be extended is configurable in the Organizations (Cal) application.
You can also group PMs into hierarchies that model your asset hierarchies and generate sequenced work order hierarchies.
Tools (Cal) Application
You use the Tools (Cal) Application to manage information about the tools used to perform work. Tools are typically non-consumable items for which you charge an hourly rate for their use. Some examples of tools include air compressors, nail guns, calibration equipment, and heavy equipment such as cranes and excavators. You catalog these tools in an Item Set, which can then be shared by the organizations using that Item Set. You can add these tools to storerooms, and use them on job plans and work orders. When you use a tool on a work order, Maximo can reserve the tool in the specified storeroom. You also can issue, receive, and transfer tools from storerooms.
When you create a tool record you are defining the main attributes of the tool (such as commodity codes, issue unit, whether the tool is lotted, or rotating), along with any alternate tools that can be used in its place and a list of the qualifications necessary for a person to use the tool. All tools are marked as capitalized.
The Tools (Cal) Application also maintains information on tools, including measurement and test equipment (M&TE). You can create a tool storeroom (tool room) in the Storerooms application, which lets you move a tool in and out of a tool room.
For each tool, you can also:
add the tool to one or more storeroomsspecify the tool rate, GL accounts, associated vendor, and tax codes that vary by organizationadd a list of vendors that carry the tool list the specifications for the tool duplicate or delete a toolattach documents outside of Maximo that relate to the tool
New features added include:
Added a Buffer Solution check box. hourly rate for their use. Tools are any items that are used to perform work, such as building, maintenance, and repair work. Some examples of tools include air compressors, nail guns, calibration equipment, and heavy equipment such as cranes and excavators.
Each tool can have an associated hourly rate charged for its use. After you create a tool, you can refer to it on a job plan, work order, purchase requisitions, and purchase orders. All tools are financially accounted for as capitalized costs.
When creating a tool, you can choose to further define it with one or more of the following attributes:
commodity group and commodity codemeter and meter grouplot type material safety data sheet (MSDS) whether the tool is rotating, meaning that you want to track it as an asset whether to inspect the tool on receipt, meaning you require the tool to be examined during the receiving process before it is acceptedwhether the tool is outside, meaning that it is owned by an outside supplieris the tool part of measuring and test equipment (M&TE)is the tool calibrated in house
You also can manage a list of other tools that are interchangeable with this one, and manage a list of the qualifications needed for someone to use the tool.
Stocked Tools (Cal)
You use the Stocked Tools (Cal) Application to view tools that are stocked in your tool storeroom. Rotating tools have a unique asset number and an inventory item number. The item number lets you track M&TE tools as a group as it is moved in and out of inventory and locations, while the asset number is useful to track individual instances of the M&TE tool as it is moved from one location to another and from one site to another.
New feature added:
Stocked Tool: You can view a tool as an M&TE tool and see if it is calibrated in house.
Work Order Tracking (Cal) Application
You use the Work Order Tracking (Cal) Application to plan, review, and approve work orders for assets and locations. When you create a work order in Maximo, you initiate the maintenance process and create a historical record of work being performed. You can create work orders in several Maximo applications. See Creating Work Orders for more information.
You also use the Work Order Tracking (Cal) Application to view and use data sheets associated with the work order via the Data Sheet tab.
In addition to the standard Work Order Tracking actions, there are three calibration related actions that allow you to perform the following functions:

Calculations
The calculations used to determine the various values are different depending on if you need the tolerance levels based on output or input information. And the desired output calculations change depending on direction of values and whether the value is increasing or decreasing. Maximo does all of the calculations for you based on the values you enter. The calculations are shown below for reference only.
As well as the legend table, there are separate tables for desired output, single value calculations, and summed value calculations.
Use this legend when referring to the calculations.

Single Tolerance
There are two calculations that can be used to calculate the desired output. Which one you use depends on the direction of the input and the output. Desired output is calculated and then applied to the formulas to calculate tolerance limits.

Value Criteria Tolerance Based on Input Tolerance Based on Output
EU Tolerances based on Input are expressed in Input units. The Tolerance Levels are always expressed in Output units; therefore, a conversion must take
place. The conversion is
If the tolerance is based on output then no conversion is required.
Tolerance
%SPAN For the % Span criteria, the values are calculated from the asset’s calibrated inputspan, converted to output units, and are added to or subtracted from the desiredoutput value to determine the range limits. The span is the algebraic differenceof the input upper and lower range values divided by 100.
If the tolerance is based on output then no conversion is required.
Data Sheet Template Application 2-5
Summed Tolerance
The calculation converts the individual terms to corresponding output units and then sums all of the output units. Essentially, it is a summation of single tolerance expressions.
Summed Tolerance = desired output +EU + %Span + %URV + %Reading
The formula based on input becomes (where T = tolerance):
The formula based on output becomes (where T = tolerance):
%URV The %URV is the upper range value divided by 100. If the upper input range value is used, the value must be converted to output units before calculating tolerance. The converted tolerance is then added or subtracted from the desired output valueto determine the range limits. If the upper output range value is used, the value does not require conversion.
If the tolerance is based on output then no conversion is required.
%READING For the % Reading criteria, the values are calculated from the nominal input value applied to the asset, divided by 100, converted to output units, and then added to or subtracted from the desired output value to determine the range limits. These values are not constants—they vary with nominal input.
If the tolerance is based on output then no conversion is required.

Calibration has the following MAXVARS:
PLUSCAUTOSTATUS: Automatically or Manually Set Status on Work Order Data Sheet
PLUSCTOLWARN: Display Warning Message Upon Save, Upon Tabbing from a Field, or Never
PLUSCPASTDUEVAL: Allow or Prevent Past Due Tools on Work Order Tracking (Cal) Actuals Tab
PLUSWORKTYPECAL: Work Type of Calibration
PLUSCQUALTECH: Allow or prevent non-qualified technicians to use tools.
PLUSCEXTDATE: Sets the amount of times a user can extend the date of a PM without a supervisor’s override
PLUSCVALTOOL: Sets whether you can set the status of a Work Order Tacking to ‘CLOSED’ or ‘COMP’ without having to enter in a Tool into the Actuals Tools tab.
PLUSCAUTOSTATUS
This MAXVAR determines whether Maximo or the user sets the As-Found Status and As-Left Status on the Work Order Tracking Data Sheet. The status values are based on the as-found and as-left calibration point values that the user enters and the widest tolerance limit that is exceeded. For example, if a user enters three as-left field calibration points that are in the "pass" range and one as-left field calibration point that is in the "adjustment required" range, Maximo would set the As-Left Status to "adjustment required."
For Maximo to automatically set each Status field, the user must enter data for all the calibration points for that field (as-found and/or as-left).The status is set upon saving the record.
When you select this check box, the system sets the value of the As-Found Status and As-Left Status fields on the data sheet (default).
If you clear the check box, you can manually set the value of the As-Found Status and As-Left Status fields on the data sheet.
If a user has the correct signature security, he can override an automatically-set status.

PLUSCTOWARN
This MAXVAR determines when, if at all, to display a warning message that a value entered in either the As-Found Output field or the As-Left Output field exceeds a user-defined tolerance limit.
Select the appropriate option:
Display message upon saving the record.Display message upon tabbing from each Output field (default).Never display the message.
PLUSCPASTDUEVAL
This MAXVAR determines whether or not you can add tools that are past due to the Work Order Tracking (Cal) Actuals tab. Maximo checks the Calibration Due Date of the tool to determine if the tool is past due. When you select a tool that is past due, a warning is displayed.
When you select the check box, a past due tool may be added to the work order.
When you clear the check box, Maximo prevents a past due tool from being added to the work order (default).
PLUSWORKTYPECAL
This MAXVAR provides 'CAL' (Calibration) as a value in the Work Type select value list. It is used by Maximo to identify calibration-specific work orders.
The VARVALUES for PLUSWORKTYPECAL are:
CAL = Calibration (default)
CAUTION Do not change this MAXVAR
PLUSCQUALTECH
This MAXVAR sets how the relationship between a technician and a tool is handled.
If you select "Validate but with a warning message" an unqualified techni-cian can still be entered, but a warning message will be displayed.
If you select "Validate and enforce the relationship between tool and technician" then you cannot enter an unqualified technician. This option is enforced only when a technician is entered; not all tools require a qualified technician.
You can also select to have no validation between a technician and a tool.
PLUSCEXTDATE:
In the Default Amount Allocated to Extend Date in PM (Cal) Aplicatin field, set the amount of times a user can extend the date of a PM without a supervisor’s override. The default value is 1.
3-2 IBM Maximo Calibration: Maximo User’s Guide Addendum
PLUSCVALTOOL:
This MAXVAR sets whether you can set the status of a Work Order Tacking to ‘CLOSED’ or ‘COMP’ without having to enter in a Tool into the Actuals Tools tab.
Select the appropriate option:
No validation between the Tool and the status of the Work Order.
Validation but a warning message.
Validate and enforce the relationship between a tool being added and setting the status of the Work Order to CLOSED or COMP.
To View and Change MAXVARS Settings:
To view and change the MAXVARS setting:
