But FS&S Does Not Address All Users’ (Content) Collaboration Needs §  Users need seamless integration with productivity tools (e.g.

Microsoft Office)—especially on mobile devices §  Information needs to be more “findable”—with relevant content

pushed or recommended to users in context (“content finds the user”) so users don’t need to search for it. (This helps with expert identification too, and knowledge management.)

§  Users need access to existing enterprise information •  FS&S requires information to be uploaded to the cloud before it’s accessible •  This means information workers are forced to use multiple UIs/applications

to find/access information

§  Content that’s uploaded to the FS&S cloud loses all of its context: •  Links to enterprise applications (and other systems of record) •  Metadata (when created/changed, by whom; when accessed, by whom; ranking/rating/

commenting and activity via social graph •  Access rights •  Triggers/workflows/notifications •  Any business process context is lost

§  Cloud copy and original copy are two different and entirely unrelated files: •  Storage duplication, bandwidth costs •  Users are left to organize information to make it more findable using folder hierarchies and

file naming conventions •  Users also have to essentially reimplement access rules on the content they upload •  The cloud copy can’t be linked back to the original, so the audit trail on the original content

is broken

And FS&S Is Certainly Not a “System of Record”

§  Missing: •  Governance and compliance •  Metadata management •  Workflow •  Advanced security

§  Growing awareness of FS&S limitations: •  About half of companies say FS&S solutions create new silos of information—

and fresh governance challenges •  About half agree FS&S needs to be integrated with ECM systems •  Information leakage stories in the press that demonstrate importance of

enterprise-grade security—and the difficulty of entrusting sharing rules entirely to users
