1 General rules and remarks The scope of this book is to create a clear structure for Part numbers and descriptions within the Hyva group.
Language:
All descriptions in the General Item Data of BAAN must be written in the English language. For specific markets
special language modules can be filled in later.
Definitions:
• A KIT is a group of one or more products and their materials needed for mounting and connecting.
• The definition SET will no longer be entered in BAAN.
• Obsolete parts code “OBS.” in front of the current description
• Will be obsolete parts code “*” in front of the current description.
• A new part that is not ready for usage (has item signal 040) will always be marked with the sign “#” at the
start of the description. The #-sign will be removed when the part is released .
Part numbers:
• Reserve enough space. Try to estimate how many variations of the product there are. Then reserve a
sufficient range of part numbers. This way all needed variations can be put in the same range of part
numbers later.
• Try to implement a key in order to make the numbers more logical. For instance the oil volume or flow
could be integrated, increased size should be reflected in an upwards coding.
• Part numbers starting with 320 are made for one time use only. So they cannot be re-ordered later! The
customer cannot ask Hyva to support such a part either. No drawings; specification sheets or other
documentation will be made for such a part.
Descriptions:
• Start the description with a keyword from the keywords list (see next page).
• Identical descriptions are not allowed. Make sure that each description has at least one unique character;
feature or dimension.
• For Product line specific parts (such as pop rivets for seal) should have a recognizable PL marking in the
description. So; rather “POP RIVET AL/ST FOR SEAL 3,2 X12MM” then “POP RIVET AL/ST 3,2X12MM
K9,5 (7-9MM)”
• The material Aluminium will be shortened to “AL” in descriptions that need this (like OIL TANK AL) unless
the full material description is needed (like BRACKET AlMgSi0.5)
• The material Steel will be shortened to “ST” in all descriptions unless a more specified material description
is needed (like S355JR).
• Male will be shortened to ML; female to FM.
Search Keys:
• Search Key I in the BAAN system always contains the keyword from the description. The character $
sometimes used in the description; will not be used in the search keys!
• Search Key II is currently not in use. It automatically contains the first 16 characters of the part number.
• When a part is made obsolete; the letters “OBS.” are put in front of the description.
Item signals:
• Add 020 into item signals when an old part has become obsolete.
• Add 040 into item signals when a new part number is created but it is not ready for usage yet.
• Add 060 into item signals when a part will become obsolete and should not be ordered again.
