Joe is looking to bid a job.

First, he builds a list of trade packages.

Next, Joe builds packages of plans and specs for each trade in PlanWell.

A CSI trade is assigned to each package.

Joe then builds a list of bidders in PlanWell based on those same CSI trades.

Finally, Joe chooses a template to broadcast his ITB via email and fax.

Joe sends a broadcast out to a minimum of 3 bidders per trade

When John Subcontractor gets his invitation via email, he can respond “YES”

And chooses the bid package media.

AIR Graphics downloads or sends out bid package.

When Bill Subcontractor gets his invitation via fax, he can check “YES” and send a response back to Joe

Joe changes Bill’s status to “yes” and chooses what kind of media to send Bill – either hard copy plans or a CD.

AIR Graphics sends out bid package.

In the first example there is some flexibility in what kind of media the bidder will receive.

Joe the estimator may choose to remove these options, making the decision himself with regard to what kind of media a bidder will receive.

Conclusion:

Hard copy plan and spec distribution is expensive and time consuming. Send hard copy to only the bidders that require them.

CDPlan Option

Shipping cost based on $10.00 per bid package

All CD’s include all plans, specs and bid docs

Conclusion:

Far cheaper than hard copy plan distribution, it is still time consuming. A plus is that all bidders get all documents.

Conclusion:

By far the least expensive and fastest method of plan distribution.

The big drawback is download time. Big sets and slow connections can cause a multitude of problems for bidders.

In the real world, there will be no one media solution for all your bidders.

Download Option will work for about 30% of bidders. Those who are technically savvy or need only a few drawings.

CD Option will work for about 50% of bidders. Those who need most or all drawing to complete their bid.

Hard Copy Option will be necessary for about 20% of bidders. “A” list vendors and specialty bids.
