Office 365 App Launcher
• The Office 365 App Launcher opens when you left click the app launcher, or “Waffle”, icon from the Office 365 Portal.
• It's a menu of Office 365 web apps and services for which you are licensed.
• The app launcher makes opening and switching between your apps easy by highlighting your most used Office 365 apps and providing quick access to your recent online Office documents from anywhere in Office 365.
• Also available on your DOI Office Portal is access to all the Evolve365 On-Demand, 24/7 training
• This includes narrated, short demo videos with step-by-step demonstrations of your licenses applications

Office 365 Notification Settings
• Office 365 provides notifications for email
and calendar events from the browser,
much like the Outlook desktop client
• These notification can be seen by
selecting on the bell icon in the Office 365
menu bar
• Notifications can be configured to limit

Navigation bars in Office 365
Each application has a navigation bar on top with some subtle differences.
The App Launcher is always available in the left corner to allow you to open
other apps. When a different app is selected, it will replace the current app.

What is it?
OneDrive for Business: OneDrive for Business is a place where
you can store files from your computer into the cloud, and access
them from any device, or share them with others.
When should I use it?
• Don’t plan to share them – Documents you place in OneDrive
for Business are private until you share them
• You plan to share files individually and with a limited scope or
lifecycle
• You can’t identify an existing team site where your document
belongs, and you don’t think the purpose of the document
warrants creating a new one

Sharing DocumentsMultiple Office 365 applications use the Share function. Sharing a document allows others to view the document and gives them permission to edit in the same document.
1. To share a document, select Share in the application that you are working in. The Share button is typically displayed in the top right corner, above the ribbon, as shown below.
2. Save your document in OneDrive for Business, if it if not already there.
3. Enter email addresses of the people you want to share with, and make choices for permission you want to allow.
4. The people you're sharing with will get mail from you, with a link to your document.

What is it?
Microsoft Teams: Microsoft Teams is a chat-based workspace. In
addition to being a place to have conversations via persistent chat
and meetings, Teams is a hub for teamwork where users can
interface with other Office 365 apps, such as SharePoint Online,
Planner, OneNote, and Office applications.
When should I use it?
• When using Teams, you should have multiple collaboration
needs, such as chat, document management, and task tracking
• You should use Teams when you're interested in having a single
interface that connects collaboration tools
• When you want to separate workstreams within a Team

What is it?
SharePoint Online: A SharePoint Online team site is a
place that users can collaborate on files, documents, and
ideas. It is set up to facilitate two-way communication
between team members.
When should I use it?
• You want team members to recognize the document as
being relevant to an ongoing project
• You want to spread ownership and permissions across a
wider collection of people
• You want permissions to be granted on a site basis,
instead of on individual documents
• Other project-related documents are already saved to
the team site library, and others expect to find it there

Things to Know About Chat
1. Chats can be one-on-one or in a group.
2. One-on-one and group chats the same way:
Select New chat at the top of Teams.
3. Select Format to see all your formatting
options.
4. Chat happens in channels, too. (When you go to any channel in Teams, the
very first tab is Conversations. Think of this as one big group chat.
Everyone who has access to the channel can see messages on the
Conversations tab.)
5. There are a few ways to search for and find messages.
6. Hide or mute chats to keep them out of your way.

One-on One Chat
1. Enter the person’s name, compose your
message in the box at the bottom of the chat.
2. To open your formatting options, select
Format Expand button beneath the box
where you type your message.
3. When you're ready, select Send. This starts
the chat.
4. Add people to the chat.
Once the chat has begun (whether group or one-
on-one), just select it in the chat list to dip back
into it and send more messages.

1. Start and name a group chat
2. Select New chat at the top of Teams. Select the down arrow to the far right of the To
field and type a name for the chat in the Group name field. Then, type the names of
the people you’d like to add in the To field. This starts a new conversation.
3. Everyone who has access to the group chat can send messages.
4. You can include up to 100 people in a group chat.
To add people to the conversation, select Add people to team button in the top right corner
of Teams. Type the names of the people you'd like to chat with, select how much of the chat
history to include, and select Add.

OneDrive for Business (OD4B) is a place where you can store files from your computer into the cloud, and access them from any device, or share them with others. As part of Office 365, OneDrive for Business lets you update and share your files from anywhere and work on Office documents with others at the same time.

Upload Files and Folders
You can upload your files and folders in various ways
1. Select Upload > Files or
Upload > Folder.
2. Select the files or folder
you want to upload.
3. Select Open or Select
Folder.
To save and open files in your
Office apps:
1. Select File > Save As >
OneDrive - [org name] to save
a work file to OneDrive.
2. Select File > Open and then
select OneDrive, to open a file
saved to OneDrive.
You can also upload files by opening File Explorer, selecting the files
you want to upload, and dragging them to OneDrive for Business.

Share Files and Folders
You can use OneDrive to share Microsoft Office documents, other files, and entire folders with people. The files and folders you store in OneDrive are private until you decide to share them.
You can see who a OneDrive file is shared with or stop sharing at any time.

Stop or Change Sharing Documents
If you are the file owner, or have edit permissions, you can stop or change the
sharing permissions.
1. Select the file or folder you want to stop sharing.
2. Select Information in the upper-right corner to open the Details pane.
3. Select Manage access and:
• Select the X next to a link to disable it.
• Select Can Edit or Can View, and then select Stop Sharing.
• Select Can Edit or Can View and then select Change to….

Delete and Restore Files and Folders
When you delete a file or folder, it goes into the Recycle bin, where you have a
chance to restore it.

1. Select the file or files you want to delete.
2. Select Delete. The files move to the Recycle bin.
Restore a file or a folder
1. Select the Recycle bin.
2. If you want all of your files back, select Restore all items.
3. Or, select only the files you want and click Restore.
The file is returned to its original location.

Sync Files Between Desktop and OneDrive
Sync the files in your Office 365 or SharePoint Online site libraries so they’re always available on your computer, even when you’re offline.
If you add, change, or delete a file or folder in your OneDrive folder, the file or folder is added, changed, or deleted on the OneDrive website and vice versa.
You can work with your synced files directly in File Explorer and access your files even when you’re offline.
Whenever you’re online, any changes that you or others make will sync automatically.
You now have a new white or blue cloud icon (or both) in your notification area and your files are synced to your computer. Your blue cloud icon will appear as OneDrive – DOI when you hover over the icon.

When you view your files in Windows Explorer, file status is
indicated by one of the following:
• File is only available online.
• File or folder has been shared with other people.
• When you open an online-only file, it downloads to
your device and becomes a locally available file.
• Sync is in progress. This includes when you are
uploading files, or OneDrive is syncing new files from
the cloud to your PC.
• Files that you mark as "Always keep on this device"
have the green circle with the white check mark.

What is a Delegate?
There are three types of Delegate permissions:
• Reviewer
• The Delegate can read items in the manager's folder.
• Author
• The Delegate can read and create items, and change and delete items that he/she creates. For example, a Delegate can create a meeting request directly in the manager's Calendar folder and then send the item on the manager's behalf.
• Editor
• The Delegate can do everything that an Author has permission to do and additionally can change and delete the items that the manager created.

Add Delegates
To add a Delegate:
1. Select File tab > Account Settings >
Delegate Access.
2. Select Add. Type the name of the person
whom you want to designate as your delegate,
or search for and then select the name in the
search results list.
3. Select Permission rights.
4. Select one of the following checkboxes, as
needed:
• Delegate receives copies of meeting-related
messages sent to me
• Automatically send a message to the
Delegate summarizing these permissions
• Delegate can see my private items
5. Select OK.

Change / Remove Delegates
1. Select File tab > Account Settings > Delegate
Access.
2. Select name of the delegate for whom you want to
change permissions, and then select Permissions.
If you want to remove all Delegate Access permissions,
do not select Permissions but instead select Remove
and skip the rest of these steps.
3. Change the permissions for any Outlook folder that the
delegate has access to.
4. To send a message to notify the delegate of the
changed permissions, select the Automatically send a
message to delegate summarizing these
permissions check box.
If you want copies of meeting requests and responses that you
receive to be sent to a delegate, ensure that the delegate is
assigned Editor (can read, create, and modify items) permission to
your Calendar folder, and then select the Delegate receives copies
of meeting-related messages sent to me check box.70

Overview
SharePoint Online is a cloud-based service that helps organizations share and manage content, knowledge, and applications to:
• Empower teamwork
• Quickly find information
• Seamlessly collaborate across the organization
Before you dive into building and configuring your
organization's SharePoint Online environment,
there are a few things you should think about. For
example, how will you manage sites with the
objective to collaborate (team sites) and those
with the objective to broadcast and share content
for viewing (communication sites)?

Considerations
• You can switch to Classic View to view the full ribbons.
• Depending on the site, you may have a better SPO experience using
browsers other than Chrome.
• Make sure to set up an email for site access request if you will have a
restricted site – otherwise you will never know when someone is trying to
access your site.
• You can check a users specific permissions from Site Permissions.
• The “Open in Internet Explorer” feature is only available when using IE (it’s
still useful for modifying some areas of sites).
When editing sites, use two different browsers to view changes as they
are made, as it is a tremendous time saver.

Site Permissions
By default, each kind of SharePoint Online site includes certain SharePoint groups. For
example, a Team Site automatically includes the Owners, Members, and Visitors group.
A Publishing Portal site includes those groups and several more, such as
Approvers, Designers, Hierarchy
Managers, and so on. When you create a
site, SharePoint automatically creates a
pre-defined set of SharePoint groups for
that site. In addition, a SharePoint admin
can define custom groups and permission
levels.
The SharePoint groups and permission
levels that are included by default in your
site may differ, depending on:
• The template that you choose for the site
• Whether a SharePoint admin created a unique permissions set on the site that has a specific
purpose, such as Search

Document LibrariesA SPO document library provides a secure place to store files where you and
your co-workers can find them easily, work on them together, and access them
from any device at any time. Adding files or moving files between folders is as
easy as dragging and dropping them from one location to another.
The default site in SPO includes a document library and
one is created automatically when you create a new site.
You can add additional document libraries to a site as
needed. To add a document library or list:
1. Open the site to which you will add the list or library.
2. Select New.
3. Select List or Document library.
4. In the Create pane:
5. Type a name for the list or library (and a
description, if you want).
6. Select Create.

New Pages
New pages are a great way to share ideas
using images, documents, and web parts.
You can create and publish pages quickly
and easily. To create / add a new page to
add to the site:
1. Open the site that you want to add a
page to.
2. Select New.
3. Select Page.
4. Type the name of your page.
5. You can publish your page now, or use

Views
Custom views of libraries and lists can be created to organize and show items.
You can create a view to save different sort, filter, and grouping selections you've
made from the column headers or filters pane. The columns you've shown or
hidden and the column widths will also be saved with the view.
To create a view based on an existing view, such as the default view:
1. Select All Documents > Edit current view
2. Modify the view by selecting how columns and groupings are to be displayed.
You can add or
remove columns,
add sort or filter
criteria, configure
folders, and more.
3. Enter the new
name, and then
select OK.

User Experiences Delegate Permission Issues
Problem: User reports having problems accessing another mailbox or calendar
after migration.
Cause: Migration team is working to ensure that groups of mailboxes for people
who work together are migrated at (or very close to) the same time. However,
the following situations may be affected by the staggered mailbox schedule:
• Delegates
Having a delegate means the user has granted someone additional
permissions, such as allowing the ability to create email messages or
respond to meeting requests on their behalf. If a user and their
delegates do not migrate at the same time, the delegate will temporarily
lose access.

• Granted Permission (View, Edit, Contribute)
Like delegates, if a user has given someone access to a portion of their
account (for example, view permissions on their calendar), the other user will
temporarily lose this access until both users are migrated.
• Shared Mailboxes
To maintain access to shared mailboxes, both a user’s personal mailbox and
the shared mailbox must be migrated to Office 365 on the same night. Only
staff with granted permission can view emails in shared mailboxes.
Workaround is to add mailbox as a separate profile.
• Full mailbox access
User has the ability to log into a mailbox and send messages as if they are
that mailbox. If the mailbox does not migrate the same night, workaround is
to add mailbox as a separate profile.

Resolution: In some cases, the user may be satisfied with using a separate
profile workaround. However, if the user continues to experience a work-
impacting issue, this can be escalated to the BisonConnect Team.

Offline Address Book
Problem: A user reports that changes made to their mailbox or AD account are not
showing up in the Outlook Address Book.
Cause: Changes to the Global Address List may take 24 hours to appear in a user’s
Offline Address Book.
Resolution: Tell the user to wait 24 hours to see changes. You can also assist the user
with the following process:
1. In Outlook, click the Send/Receive tab, then
click Send/Receive Groups.
2. Click Download Address Book, and then click
OK.
