The search for a global e-invoicing solution
Hewlett Packard Enterprise (HPE) is one of the world’s leading technology
companies with approximately 60,000 team members in offices around the
globe. HPE provides a diverse range of products—from high-end servers, data
storage, and networking products, to professional services such as business
process outsourcing, financial services and consulting. With a list of offerings and
clientele as long as theirs, invoicing turned into a complex web of mixed formats
and country-specific compliance regulations.
Being structured into business sectors that provide a broad array of products and
solutions made it challenging to implement one standardized invoice structure.
HPE invoices depend on customer needs and vary from highly detailed to
simple, single line item invoices. Diversity of invoice content and layouts, coupled
with customer and local market requirements, demanded significant time for
administering invoices, and ultimately led HPE to the implementation of Pagero’s
e-invoicing services.
Currently, HPE invoices in more than 30 formats, ranging from emailed PDFs to
electronic formats cXML and JavaScript (JSON). “Of course, you could ask, if you
send a standard structured file like XML or EDIFACT – why you need a company
like Pagero?” comments Mihai Chiriac, Program Manager of the EMEA & APJ
e-invoicing program at HPE.
“The fact is,” he continues, “that there are no global standards for business
messaging except for Italy, where B2C, B2B, and B2G e-invoicing has become
mandatory in 2019. In almost every case, we need adjustments based on customer
or country-specific requirements, which proves very difficult to implement without
a vendor like Pagero that performs e-invoicing enrichments.”

A thriving relationship since 2008
The cooperation between HPE and Pagero started in 2008
when the Swedish government introduced requirements
for e-invoicing. Pagero helped HPE connect to several
governmental entities and handle the significant increase
of customer demands that came with the new rules.
Working together has been a valuable learning experience
for both parties. Pagero has always been able to provide
appropriate solutions to the complex challenges that HPE
faced, developing new technical solutions along the way
in order to do so.
At the time of the companies started working together,
Pagero had ventured to other Nordic countries and had
already begun researching the remainder of the EMEA
region. The timing worked out well, as HPE soon enough
needed e-invoicing services in more countries by the month.
The two have long shared the common interest of making
sure technical, service, and compliancerequirements are
met in all markets.

Transitioning to e-invoicing made simple
Until recently, all of HPE’s offices had different
requirements and setups. Then they began to employ
Pagero’s PDF-based process. By converting PDFs to
e-invoices, the service provides the flexibility required to
issue invoices without disrupting business processes or

investing in all the formats being used across Europe,
the Middle East, Africa (EMEA), and Asia-Pacific and
Japan (APJ).
Migration from the previous version of the SAP ERP to
the more recent version, S/4HANA was a straightforward
process thanks to HPE’s new capabilities. Pagero
e-invoicing solutions have made it easier to move away
from previously PDF-based source files to adopt the more
reliable electronic cXML format.
Chiriac believes that Pagero’s involvement in
implementing the e-invoicing changes has been
instrumental: “The team assigned to this task has
properly designed, tested and deployed all the required
prerequisites, including the new connection, formats,
and layouts. Due to Pagero’s efforts, HPE customers
experienced a smooth transition to e-invoicing without
any kind of downtime or negative impact.”
Legal and tax requirements fulfilled across 29 countries
HPE is currently using Pagero services in 28 EMEA
countries and India, entailing a broad variety of business
compliance requirements as well as several customer-
specific layout demands.
“With the help of Pagero, we have been able to fulfill our
invoicing-related tax and legal requirements in all 29
countries where we use them as our e-invoicing service
provider. Legal compliance for invoice format and sub-
mission are beginning to be mandated by governments,
with each mandate bringing a new set of challenges.
Countries that have selected the Peppol Infrastructure
have been easily implemented. However, other countries
like Spain, Italy, and India have implemented more
complex designs and validation systems, for which Pagero
capabilities have shone the best,” Chiriac says.

A steadily increasing number of customers are receiving
e-invoices throughout EMEA. HPE has seen a 100%
increase in e-invoice transactions every year since 2017.
“The fact that governments around the world are
beginning to introduce mandatory e-invoicing is showing
the growing importance of e-invoicing and the impact that
Pagero’s services have had on our company,” says Chiriac.
Reducing invoice turnaround from days to minutes
Within a year, the number of HPE e-invoicing projects
increased by 250%. An influx of demand such as this
requires less time and resources spent on each outgoing
invoice.
“With Pagero, HPE has greatly decreased the risk of
invoice errors. Overall, the invoice turnaround time has
been reduced tremendously – within a few hours or
even minutes, we know if an invoice has been submitted
successfully or rejected. This turnaround time can never
be replicated with hardcopy invoicing which can take up
to seven days or more to reach the destination and be
accepted by the client,” Chiriac says.
Chiriac says that “working with Pagero and performing
customer e-invoicing onboarding is easy. Their solutions
are flexible and customizable. None of the problems
that HPE has faced have been related to Pagero, but
rather from very diverse customer requirements and a
disharmonious global market.”
