Budget Comments Less exhibitors & sponsors than expected More early registrations than expected (> 250) Under-estimation of various expenses (“imported” editors,
computing & networking, security, audiovisual) Currency ratio changed (1$ = 3.5 NIS 1$ = 4 NIS) Local VAT changed (16% 17%) Over-attendance of opening reception (double of estimation…) Supported 35 students (w.r.t to standard ~20)… … Was possible due to a 42k$ contribution from LINAC10 IAEC provided a “balancing network” to the conference… … Overall balance = 0

Scientific Program
26th Linear Accelerator Conference
Sep 9 - 14, 2012, Tel Aviv, Israel
11
Scientific Program Committee First meeting, CERN, 19-20/1/2012, 28 members
“To select the best/appropriate recommended titles/abstracts/speakers from the given list in order to build an attractive program for LINAC12”
Second meeting, CERN, 29/5/12, 11 members “To select the best/appropriate abstracts, from a
given list, for short (5 min) oral presentation, in order to build an attractive program for LINAC12”
12
Topical balance of invited talks LINAC04
Electron, Hadron, Other = 330, 360, 430 min
LINAC06 Electron, Hadron, Tech, Extreme = 350, 260, 270, 270 min
LINAC08 Electron, Proton/Ion, Tech, Extreme = 290, 440, 170, 200 min
LINAC10 Electron, Proton/Ion, Tech, Extreme = 260, 380, 300, 170 min
LINAC12 goal Proportion reflects the recommendation list but not far from LINAC10 Electron, Proton/Ion, Tech, Extreme = 280, 350, 250, 220 min
13
30 minute vs. 20 minute talks
LINAC04 23x20 min + 22x30 min = 1120 minutes
LINAC06 23x20 min + 23x30 min = 1150 minutes
LINAC08 32x20 min + 17x30 min = 1150 minutes
LINAC10 30x20 min + 17x30 min = 1110 minutes
LINAC12 33x20 min + 16x30 min = 1140 minutes

New session numbering concept Posters of students that were presented in the Student Poster Session
received the numbering SUPBXXX (in addition to their standard poster session numbering)
Posters that were granted a 5-minute oral presentation received the numbering YYPLBXXX (in addition to their standard poster session numbering)
In Conference Guide and Online Proceedings, abstracts of above posters appear twice, both in special and regular session…
... A headache for the Editors but better service to the delegates (we hope)
As part of above change, opted for a A4 Conference Guide with all abstracts, including posters
